Position Overview:
As an Administrative Assistant, you will be the backbone of our office operations, helping to ensure that everything runs smoothly so our team can focus on what matters most—helping veterans find meaningful careers. You will handle a variety of administrative tasks, including managing schedules, organizing files, coordinating meetings, and supporting recruitment efforts. This role requires excellent organizational skills, attention to detail, and the ability to juggle multiple tasks.
Key Responsibilities:
Office Management: Provide general administrative support to the team, including answering phones, managing emails, and scheduling meetings. Document & File Management: Organize and maintain digital and physical files, ensuring important documents are easily accessible and up to date. Recruitment Support: Assist with the recruitment process by managing candidate communications, coordinating interviews, and preparing necessary materials for candidates and hiring managers. Data Entry & Reporting: Help maintain and update candidate databases, tracking applicants through the recruitment process. Assist with preparing reports or summaries for team meetings. Event Coordination: Help plan and organize career fairs, recruiting events, and other activities aimed at connecting veterans with job opportunities. Client & Candidate Interaction: Serve as a point of contact for clients and candidates, providing exceptional customer service and support. General Administrative Support: Provide support for day-to-day office operations, including managing office supplies, handling mail, and maintaining a clean, organized workspace. Qualifications:
Previous Experience: At least 1-2 years of experience in an administrative or office support role. Experience in a recruiting, HR, or staffing environment is a plus. Strong Communication Skills: Excellent verbal and written communication skills. Ability to communicate clearly and professionally with both internal team members and external clients or candidates. Organizational Skills: Ability to manage multiple tasks and priorities in a fast-paced environment. Detail-oriented and able to follow through on tasks. Tech-Savvy: Comfortable using office software (Google Workspace or Microsoft Office), applicant tracking systems (ATS), and other digital tools to manage daily tasks. Experience with CRM systems or job boards is a plus. Team Player: A positive attitude and willingness to help wherever needed. Enjoys working in a collaborative environment and supporting others. Veteran-Friendly: Passion for helping veterans transition to civilian careers and understanding of military-to-civilian translation is highly preferred, but not required.
