    Overview
    We are seeking a highly organized and personable Front Desk / Administrative Assistant who is experienced in Salesforce CRM and Microsoft Office. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will be proficient with computer applications, demonstrate excellent communication abilities, and assist in daily business operations.

    Responsibilities

    Schedule client and prospect appointments, prepare meeting materials.Conduct appointment reminder calls and follow-up communications.Maintain client management system (CRM) and document client interactions.Prepare correspondence for advisor signature and track client materials.Process incoming and outgoing mail, manage UPS shipments and outgoing mail logs.Support advisors and team members with administrative tasks and compliance requirements.

    Qualifications

    Proven experience in office administration or clerical rolesStrong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Salesforce CRM, multi-line phone systemExcellent organizational skills with the ability to multitask effectively in a fast-paced environmentExceptional communication skills, both verbal and writtenAttention to detail with proofreading and data accuracy capabilitiesPrior administrative assistant experience is preferred Read Less

    This role provides support to financial advisors through trading and money movement, and business processing. Coordinates/tracks projects.

    Responsibilities and Time Allocation

    Trading and money movement in client accountsCompletion of forms and applications for client and advisor signatureDepositing of checks and stock certificatesPerforming other allowable duties as assigned by the financial advisors and senior staff

    Back Office Advisor Support Duties

    Researching and answering questions for clients, if requested and as allowable, related to the servicing of their accountsReview and update client information as needed for client meeting. Attending and participating in client meetings if necessaryManaging and resolving client service problemsEffective communication with clients and other advisor/staffThe above responsibilities and duties may change over time to meet the need of the practice and can include other duties as assigned by the advisor

    Key Traits of a Successful Paraplanner:

    Direct attention to detail and organizationThorough understanding of investment account types (managed vs brokerage) and tax treatment distinctions among various account typesKnowledgeable regarding features, distinctions and relative strengths of investments, term and cash value life insurance, disability, long-term care and hybrid insuranceEffective and efficient time managementPolite and clear phone manner and e-mail compositionAbility to multi-taskAdherence to rules and regulations as stated and required by advisor, Ameriprise Financial, regulatory agenciesAbility to support and provide guidance for compliance within the practicePositive attitude and sincere willingness to constantly learn and grow

    Education and Other Designations:

    2+ years of similar experiencePreferably has the following licenses - Series 7, Series 66, and State life, accident and health insurance licenses
