Key Responsibilities and Duties
Greet clients and ensure a warm, welcoming office environment.
Financial Support and Processing:
Accounts Payable and Receivable: Manage and process invoices, and payments. Assist with deposits and monitor accounts.Bookkeeping and Data Entry: Accurately enter financial data, transactions, and accounting information into software programs (e.g., QuickBooks, Excel, proprietary systems).Reconciliation: Assist with bank and account reconciliations to ensure accuracy.Reporting: Compile, organize, and prepare financial reports, spreadsheets, and documentation for audits, financial statements, and budget tracking.Document Management: Organize, manage, and securely file financial documents (both physical and digital), such as receipts, contracts, and reports.
Administrative and Clerical Support:
Office Coordination: Coordinate team meetings, manage office resources, and ensure the office is organized.Communication: Answer and screen telephone calls, respond to emails, and act as a liaison between the office and external vendors/clients.Clerical Tasks: Perform general clerical duties, including copying, scanning, faxing, and handling mail distribution.Scheduling : Manage calendars, schedule appointments,Customer Service: Provide professional customer service and respond to internal and external inquiries regarding financial policies or procedures.
Qualifications and Skills
Education and Experience:
High school diploma or GED equivalent is typically the minimum requirement.An Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field is often preferred.Previous experience (1-3 years) in an administrative, clerical, or finance-related role is commonly required.
Required Skills:
