    Under the general direction of the Assistant Director of Competition Calendaring, the Competition Operations Administrative Assistant’s primary focus is on assisting the Competition Licensing Coordinators.

    Duties and Responsibilities:

    Provides administrative assistance to Competition Calendaring team.Reviews and processes of all Competition License Agreements, ensuring all timely and accurate processing.Reviews and processes all Licensee Registrations, including managing all correspondence to competition organizers related to their Licensee Registrations.Assists the Competition Licensing Coordinators with daily tasks, including Competition License Applications, Mileage Exemption Requests, and Competition Transfer/Issuance of New License requests.Reviews the Pending, Comparable and Unapplied competitions, to ensure timely and accurate processing.Provides member service and technical assistance to competition managers, secretaries and licensees related to the online Competition Management Dashboard and US Equestrian Competition Licensing policies and proceduresMaintains documents, uploading and filing in accordance with US Equestrian Policies.Assists in the management of digital content in competition accounts in AHSD.Processes Presidential Modification Requests.Comply with the US Equestrian Document Retention Policy.Assist in the management of the US Equestrian Competition Calendar, including communicating changes with USEF Affiliates and Committees.Provide exceptional customer service to competition managers, secretaries and internal customers.Communication with members and staff is effective and professional.Special projects as assigned by the AD and Director of the department.Relationships with Directors and other staff are productive and promote a positive team environment.Provide assistance to other Competition Operations Department members as needed.

    Required, Knowledge, Skills & Abilities:

    Strong oral and written communication skills, with the ability to handle difficult conversations. Proficient in Microsoft Office applications, particularly Outlook and Word. Strong attention to detail.Excellent typing ability.Ability to handle ever-changing priorities in a fast-paced environment. Knowledge of equine and federation rules preferred.

    Education and Experience:

    High School diploma or equivalent preferred. Some college preferred.Two years clerical or customer service experience preferred. Experience in the equine industry preferred.

    Physical Requirements:

    Prolonged periods sitting at a desk and working on a computer.Must be able to lift up to 10 pounds and occasional lifting and/or moving up to 25 pounds. (Anything over 25 pounds requires a two person lift)

    JOB SUMMARY:

    This position provides direct assistance to the Chief Veterinary Officer and the Equine Drugs and Medications Program in general.

    Duties and Responsibilities:

    Assist members with equine drug and medication questionsAssist with the stall side appAssist with FEI Permitted Treating Veterinarian Acceptance ProcessAssist with FEI Permitted Treating Therapist Acceptance ProcessAssist with Horse Show Schedules Assist with Medication Report Form Searches and AnalysisAssist with development of materials and Equine Drugs & Medication Rules and presentations.Maintains records as assigned.Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.Responds to and resolves administrative inquiries and questions.Coordinates and schedules travel, meetings, and appointments.Prepares agendas and schedules for meetings.Records and distributes minutes or other records for meetings.Maintains a system for recording expenses.Exceptional member service is provided, and member relationships are enhanced.Communication with members and staff is effective and professional.Relationships with Directors and other staff are productive and promote a positive team environment.Assistance is provided to other department members when needed.Performs other related duties as assigned.

    Required, Knowledge, Skills & Abilities:

    Excellent verbal and written communication skills.Excellent interpersonal and customer service skills.Proficient in Microsoft Office Suite or related software.Excellent organizational skills and attention to detail.Basic understanding of clerical procedures and systems such as recordkeeping and filing.Ability to work independently.

    Education and Experience:

    High School diploma or equivalent preferred. Some college preferred.Two years clerical or customer service experience preferred.Equine background or pharmaceutical background preferred.Pharmacy Technician experience preferred
