Accounting Specialist

About the Role
This is a supportive role reporting to the Controller.
General office accounting duties focusing primarily on AR & AP support. AR Functions include customer invoicing, cash receipts and daily deposits. AP Functions include Vendor bill posting, Credit Card and Expense Management. The supportive role of this position will be to reconcile accounts and to prepare various reports.

Essential Requirements:
Must be highly organized.Must be proficient in Microsoft Excel, Word, Outlook, and Adobe.Must have solid knowledge of QuickBooks.Must be adaptable to various online systems from online banking to customer portals.Prepare and enter batches of invoices and cash receipts into the accounting software and transportation management system.Manage the weekly and daily processing of depositsVendor Payable processing and Vendor payments.Prepare Driver Settlement DisbursementsRecord all credit card transactions.Work in a supportive role to management.Perform other duties as assigned.Experience:

The Logistics Administrator is responsible for managing the administrative lifecycle of premium, high-value, and white-glove shipments. This role ensures that all shipments are accurately tracked from inception to final delivery, agent costs are correctly applied, and final vendor invoices are received and verified to complete the billing cycle promptly. This position requires exceptional attention to detail, proactive communication, and proficiency in logistics software.
Key Responsibilities
1. Shipment Status Updates & Tracking (White Glove Focus)
Monitor all active shipments in real-time to ensure they are on schedule.Provide proactive shipment status updates to clients and internal teams, maintaining a high standard of communication.Verify that white-glove delivery requirements (assembly, debris removal, setup) are completed and documented.Confirm successful Proof of Delivery (POD) for all shipments.2. Agent Cost & Operational Management
Obtain, review, and input third-party agent costs (final mile, specialized handling) into the system immediately upon delivery.Liaise with agents, carriers, and drivers to ensure proper documentation and accurate costing.Ensure all final delivery costs are captured to maximize profitability.3. Invoice Processing & Billing Cycle Completion
Receive, review, and audit final vendor invoices to ensure accuracy against quoted rates and services provided.Resolve any discrepancies in invoicing with carriers or agents promptly.Update final shipment costs in the company software to facilitate the final billing cycle.Close out shipment files within the system to ensure timely client invoicing.4. Documentation & Compliance
Prepare and maintain accurate shipping documentation, including invoices, bills of lading (BOL), and proof of delivery.Ensure compliance with company standards and industry regulations.Required Qualifications
