    Summary

    Reporting directly to the Chief Operating Officer, the Medical Billing Associate – Credentialing Specialist supports the overall mission of The Warren Center by ensuring the agency and therapists are properly enrolled and compliant with insurance payers, managing applications, licenses, renewals and re-attestations.

    Essential Duties and Responsibilities

    To perform this job successfully, an individual must be able to perform the following satisfactorily.

    Compiling and Maintaining records of licenses, credentials, and insurance contractsAdvising staff on renewal proceduresCompleting and submitting new provider enrollment applications required for Medicaid, and commercial payersConducting primary source verification (licenses, education, certifications)Managing re-credentialing and license/certification renewal deadlinesEnsuring compliance with regulatory standards Preparing reports required by regulatory and accrediting agenciesCommunicating clearly with providers, their liaisons, and/or representatives Capturing primary source documentation in computer databases
    Liaising with providers, payers, and internal departments.
    Ensure that all internal and external customers are treated with respect, provide knowledgeable answers, and a welcoming attitudeResponsible for data entry and maintaining provider information in online credentialing databases and systems such as NPPES, CAQH, and TMHPAudits applications for accuracy and completeness
    Responsible for revalidation requests issued by payers
    Responsible for monitoring application progress and following up with payers as needed until confirmation of “in network” status has been receivedTracking all required documentation and expiration dates, insurance re-attestation dates, etc. and ensuring that all is current and submitted in a timely manner to appropriate entities Utilizes strong research skills to gather pertinent information regarding providersOther duties as assigned

    Education and Experience

    Required: High school diploma or General Educational Development (GED) diplomaRequired: 3+ experience in medical billing with focus on credentialing and recredentialing requirements

    Summary

    Reporting to the Chief Executive Officer (CEO), the Director of Finance is responsible for the strategic leadership and day-to-day oversight of the Finance and Medical Billing departments. This position oversees all financial operations, including accounting, budgeting, financial reporting, cash management, compliance, and revenue cycle activities. The Director of Finance partners with organizational leadership to ensure sound financial stewardship, maximize revenue collection, and support the organization's mission through effective financial planning and analysis.


    Essential Duties and Responsibilities

    Financial Management

    Supervise accounting and medical billing personnelFollow and ensure compliance with all relevant Generally Accepted Accounting Policies (GAAP) and other technical accounting updates and interpretationsMaintain a documented system of accounting policies and proceduresOversight of the accounting department, including the design and implementation of processes adequate for achieving the company’s financial goals and objectivesDevelop, implement, and maintain comprehensive accounting and billing systems for the agency, including all current and future programs.Develop a reliable cash flow projection process and reporting mechanism which includes minimum cash threshold to meet the operating needs of the agencySupervise accounting and medical billing personnel, including hiring, firing, staff development, and staff supportManage the development of the annual budget with the Executive team for approval by the CEO and Board of TrusteesSupervise the maintenance and/or preparation of all cash books, ledgers, and general journalsSupervise accounts payables and accounts receivable recordsOversee the preparation of monthly bank reconciliationsIdentify account classification for general ledger entriesPrepare audit schedules, financial statements, and footnotes for the year-end financial statement auditProvide support to auditors during the annual auditPrepare schedules as needed for the annual financial audit and preparation of Form 990Prepare Board of Trustees and Finance committee reports as needed

    Medical Billing Department

    Develop strategic plans and provide oversight of the Medical Billing team and ensure that goals and objectives of the team are properly defined and clearly establishedTrack important Key Performance Indicators (KPI’s) to monitor operational efficiency in accordance with industry best practices.

    Government Grant Reporting

    Work with Texas Health and Human Services (HHS) to accurately manage contract reporting Complete annual Mental Health, Early Childhood Intervention, and Individuals with Developmental Disabilities (MEI) cost reportEnsure timely quarterly and annual Early Childhood Intervention (ECI) financial reportsCoordinate the provision of information to state auditors for periodic auditsWork with the program management staff to prepare annual ECI budgetPrepare monthly Early Childhood Intervention (ECI) state voucherMaintain local, state, and federal financial records
