Join SYZYGY Global
At SYZYGY Global, we blend luxury design with operational precision to create extraordinary outdoor living environments. If you have an eye for beauty, a passion for client experience, and a drive to elevate every interaction to a luxury standard, we invite you to apply and help us continue to shape the future of outdoor design.
Company DescriptionWe are an innovative company with boutique design/builds in the luxury outdoor market.Join SYZYGY Global as Office Operations Manager
Run the engine of a luxury brand. SYZYGY Global is a boutique company redefining the luxury outdoor-living experience. We're small, fast, and high-standard — and we're looking for the operator who will make sure the whole business runs like clockwork. This is the right hand to our ownership and General Manager: the person who owns our systems, documents how we work, trains the team, keeps every department on time, and removes operational weight from leadership so they can focus on growth.
This is not an office-manager or receptionist job. Keeping the office sharp is part of it — but it's a small part. The heart of this role is operations: process documentation, training, systems, finance coordination, reporting, and accountability. If you're an operator who also happens to run an immaculate office, keep reading. If you're looking for a front-desk or admin role, this isn't the one.
What You’ll Own
Operations & Systems (the core of the job)
Own how the business runs day-to-day — the connective tissue between sales, project execution, field, finance, and admin.Enforce SOPs, timelines, and processes across departments; hold the team accountable and keep work moving without micromanaging.Build and run an internal audit system that both verifies our standards and uncovers smarter ways to work.Own adoption of our operational stack — Salesforce, Trello, Slack, Paycom, QuickBooks, and Google Workspace — and make sure they're used correctly.Spot where things slow down or break, and fix them. You solve, you don't just flag.
Process, SOPs & Training (a flagship part of this role)
Be our process and policy owner. Whenever something changes or a new process rolls out, you write the policy, build the SOP, and make sure it's trained and followed.Document how we work using Scribe (screen capture), turning real workflows into clean, repeatable SOPs.Own Trainual — our training platform. Build and continuously update Trainuals so they always reflect current process.Run weekly trainings, track completion, and hold the team to 100%. If it isn't documented and trained, it isn't done.
Leadership Support
Be the operational shield and right hand to the owner and GM — anticipate needs, manage follow-ups, and keep them out of the weeds.Bring real operational insight and recommendations to the table; be a thought partner, not just a status-reporter.Hold everyone — including senior leadership — to our standards, with judgment and discretion.
Finance, Reporting & Compliance
Partner with accounting on biweekly payroll, time-and-attendance accuracy, weekly vendor payments, and expense approvals.Own the master reporting calendar and deliver weekly operational-health and audit summaries to leadership. Zero missed deadlines.Keep licenses, insurance, registrations, and contracts current with a proactive renewal system.
Office & Environment (~15%)
Keep the office and shared spaces immaculate, stocked, and running — largely by overseeing the receptionist and managing vendors, not by doing it all yourself.Be the point of contact for building issues, and keep an emergency / hurricane-preparedness plan ready.
Culture, Standards & Brand Integrity
Be a steward of SYZYGY’s culture: high standards, accountability, professionalism, and mutual respectEnsure the internal experience matches the external luxury brand promiseLead by example—organized, prepared, decisive, and calm under pressureMaintain a workplace where high performers thrive and low performers self-select out
What You Bring
5–8+ years in operations, business management, chief-of-staff, or senior operations roles — ideally as the #2 to an owner or executive at a small, fast-moving company.Real experience writing SOPs and running a training platform (Trainual or similar), ideally with screen-capture tools like Scribe.A track record of owning systems and process company-wide, not just executing tasks.Comfort with CRMs, project-management and payroll tools, QuickBooks, Google Workspace, and Apple/Mac — or the ability to ramp fast. The ability to build order out of ambiguity and hold a team accountable with tact and trust.Sharp organization, sound judgment, discretion, and excellent communication.
Who You Are
You don’t wait to be told—you take ownershipYou are decisive, grounded, and highly accountableYou move fast, but you don’t break things unnecessarilyYou expect excellence and are comfortable enforcing itYou understand that leadership means responsibility, not perksYou thrive in smaller teams where impact is immediate and visible
Benefits & Culture
Paid Time Off: Begins after 90 days of employmentFully Paid Insurance: Health, dental, and visionPaid Holidays: Includes all major holidays and an extended holiday closure from Christmas through New Year’s DayWellness Wednesdays: Weekly yoga, mindfulness, and chiropractic care sessionsWellness-Focused Workplace: Mindful of both mental and physical well-beingDowntown Delray Beach Location: Enjoy working in a modern space in the heart of the city
