Position Overview
The Administrative Executive Assistant provides high-level administrative, organizational, and operational support directly to the President. This role requires exceptional professionalism, strong organizational discipline, minor accounting capability, and the ability to manage fast-moving priorities across multiple business units. The ideal candidate is proactive, detail‐oriented, and comfortable operating in a dynamic, entrepreneurial environment.
Key Responsibilities
Executive Support & Administration
Serve as the primary administrative point of contact for the President.Manage calendars, schedule meetings, coordinate travel, and prepare daily agendas.Draft, edit, and organize professional correspondence, reports, and internal communications.Maintain confidentiality and handle sensitive information with discretion.Anticipate needs and proactively resolve issues before they reach the President.
Operational Coordination
Organize workflows, track deadlines, and ensure follow-through on key initiatives.Coordinate cross-department communication and relay directives from the President.Prepare meeting materials, summaries, and follow-up action lists.Support operational tasks across multiple business entities as needed.
Minor Accounting & Financial Support
Process invoices, receipts, and expense reports with accuracy.Assist with basic bookkeeping tasks, account reconciliations, and vendor documentation.Maintain organized financial records and support the accounting team during audits or monthly closes.Monitor budgets for small projects and report variances.
Organization & Record Management
Maintain structured digital and physical filing systems.Track contracts, renewals, compliance documents, and operational records.Ensure the President has immediate access to accurate, up-to-date information.
Qualifications
3–5+ years of executive assistant or administrative support experience; experience supporting C‐suite preferred.Strong organizational and time‐management skills with the ability to prioritize effectively.Basic accounting or bookkeeping experience (QuickBooks, Excel, or similar).Exceptional written and verbal communication skills.High level of professionalism, confidentiality, and reliability.Proficiency in Microsoft Office Suite; comfort with digital workflow tools.Ability to work independently, take initiative, and operate with urgency when needed.
