School Receptionist A school receptionist acts as the vital first point of contact, managing the front desk and ensuring the safety, organization, and smooth communication of the school. Duties and responsibilities include: Greeting visitors, students, and parents Maintaining visitor sign-in/out logs, issuing visitor passes, and enforcing school safety and security protocols Demonstrating patience and empathetic communication with parents/guardians, caregivers, and students Keeping the front lobby and conference room supplies and materials neat, organized, and fully-stocked Acting as the hub for the main multi-line phone and intercom system, routing calls, taking messages, and assisting with parent inquiries Communicating with staff, parents, visitors, and students Handing out tardy slips, tracking late arrivals and early dismissals Tracking students not picked up on time at the end of the school day and after-school activities Following procedures for contacting parents/guardians and emergency contacts Supporting administration by receiving mail and packages, preparing envelopes for mailing, sorting materials and supplies, laminating materials, and preparing bulletin board and classroom materials Following safety and security protocols, assisting with all emergency drills (fire, safety and security, weather, etc.), assisting with First Aid if needed, and providing assistance with communications when directed Maintaining and operating office machines and equipment Maintaining confidentiality of records and information Assuming initiative for carrying out all assigned duties Performing other duties as assigned by the individual office or department Technology requirements include gaining and maintaining proficiency in Microsoft Office (Word, Excel, PowerPoint), web navigation, email management, computer network knowledge applicable to the position, knowledge of and adherence to computer security expectations and acceptable use policies. Physical demands include being physically active while conducting various building activities, handling equipment, materials, and supplies, and demonstrating manual dexterity to manage office equipment. At times there may be some carrying and lifting between 15 to 30 pounds. Work environment requires excellent listening, oral and written communication skills, organizational skills, and a desire to work in an urban environment. Most work is performed in a school setting. Education and qualifications include a minimum high school diploma, 13 years in administrative support, customer service, or a busy front-office role, and all required clearances.
