Position Summary
The Executive Assistant (EA) to the CEO provides high-level administrative, operational, and strategic support to the Chief Executive Officer. This role requires exceptional organization, discretion, and the ability to manage competing priorities in a fast-paced engineering and construction environment. The EA serves as a trusted partner to the CEO, enabling focus on firm leadership, client relationships, and business growth.
Key Responsibilities
Executive Support
Manage the CEO’s calendar, emails, scheduling meetings, travelPrepare agendas, presentations, reports, and briefing materials for executive meetings and board sessionsBusiness & Operational Support
Manage compliance for each state in which the firm maintains licensureAssist with special projects, and follow-ups related to firm operations and growthSupport proposal coordination, contract administration, and high-level client communication as neededMaintain confidential company, financial, and personnel information with absolute discretionImprove administrative systems, processes, and documentation to increase efficiencyConference coordinationQualifications
Required
5+ years of experience as an Executive Assistant or Senior Administrative Assistant supporting C-level leadershipExperience in engineering, construction, architecture, real estate, or professional services strongly preferredExceptional organizational, time-management, and multitasking skillsHigh level of professionalism, discretion, and emotional intelligenceAdvanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)Comfortable (confident) working in a fast-paced, deadline-driven environment with shifting prioritiesKey Competencies

Responsibilities
Adhere to Sutton Engineering, LLC core values and standards. Participates in project and client meetings when required. Lead technical quality assurance reviews for all major projects. Manage and lead electrical engineers, ensuring balanced workload and utilization across projects. Provide mentorship to designers and engineers. Maintain morale, culture, and professional growth of office staff. Coordinate with team for cross-office project staffing. Coordinate to ensure all standards are being met within the discipline and coordinate with other disciplines. Proficient in CAD/REVIT to design. Takes responsible charge for the project for his/her discipline. Performs quality control of contract documents including drawings and project specifications. Collaborate with discipline’s Engineer of Record during design. Research design options and document findings. Develop design concepts. Design electrical systems for diverse markets (mission critical / data centers). Produces drawings consistent with client requirements and standards. Selects, schedules, and specifies equipment based on project needs and available technologies. Perform site surveys. Field verification and documentation of existing systems. Coordinates and communicates electrical systems with other departments and disciplines. Coordinate development of drawings with designers, production department and other engineers. Communicate with equipment vendors for selecting equipment. Documents project specifications. Recognizes potential project problems quickly and seeks advice from the Project Manager and Director when required. Identify roadblocks during design and communicate with Project Manager, Engineer of Record and Director of Engineering. Travels to project site and meetings as needed. Responsible for assisting during construction administration phase: Review submittals, RFIs, change orders. Perform site visits. Document and publish observation reports and punch list items. Electrical-specific responsibilities Document basis of design requirements for project. Coordinate building service(s) with power company. Perform energy code compliance calculations. Ensure that the electrical designs comply with relevant building codes, safety standards, and regulations pertinent to the project. Design electrical systems which include power distribution, lighting, grounding, lightning protection, fire alarm, communication, and control systems for buildings. Determine the electrical load requirements and distribution layouts to ensure efficient power distribution. Perform electrical calculations such as load analysis, voltage drop calculations, and short-circuit analysis. Prepare detailed specifications, drawings, and documents for electrical systems. Assists in preparing existing facility diligence, sustainability analyses, and feasibility reports. In addition, able to provide engineering assessment of quality and life expectancy of equipment. Coordinates design with other internal and external disciplines such as architectural, structural, civil, mechanical, plumbing, fire protection, and equipment suppliers. Interacts with vendors, regulatory agencies, and contractors.Skills
A demonstrated aptitude for managing project workloads. Expert in AutoCAD, Revit, Microsoft office and Bluebeam. Expert in equipment selection software. Expert of industry-standard and local codes.Not Required, but Preferred Skills:
