    Duties Description The Administrative Assistant 1 will work collaboratively with the Executive Staff, Counsel's Office, staff from other Divisions, members of the Communications Staff, and members of the Gaming Commission. The incumbent will increase the effectiveness of the Commission's Executive Office by coordinating the paper flow of the office and carrying out the day-to-day administrative support activities required to accomplish the work of the Commission. The Administrative Assistant 1 will function with a great deal of independence and will handle both confidential and sensitive material before the Executive Staff and the Commission. In addition, the Administrative Assistant 1 may oversee work done by other clerical staff.

    The Administrative Assistant 1 will perform duties that include, but are not limited, to the following tasks:

    • Perform various duties such as answering phones and directing calls to appropriate staff, filing and photocopying.
    • Assist in maintaining databases, monitoring the Commission website and tracking various requests for the Divisions.
    • Assist in arranging meetings and travel for Executive staff.
    • Organize and coordinate the administrative activities of the Executive Office.
    • Preparing and proofreading written material.
    • Coordinating, preparing, and tracking the status of office assignments, including coordination with other units.
    • Drafting response to correspondence as needed.
    • Conducting internet and other research to assist staff with unit projects.
    • Assist in SFS travel and purchasing for the Office.
    • Conduct research under the direction of Executive staff.
    • Provide review and analysis of Commission policies and procedures.
    • Update various track spreadsheets.
    • Other tasks as assigned by the Secretary.

    Minimum Qualifications Transfer Qualification:
    Transfer Opportunity: Candidates must have one year of permanent competitive or 55-b/55-c service in a title eligible for transfer under Section 70.1 of the Civil Service Law.

    OR

    Candidates must be reachable on the appropriate Civil Service eligible list.

    Non-Competitive Qualifications:

    This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

    For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

    At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination.     Open to the Public:

    Salary range listed encompasses the hiring rate of an Administrative Assistant Trainee 1 (SG - NS) through the job rate of an Administrative Assistant 1 (SG-11).

    A two-year traineeship (Administrative Assistant Trainee 1 & 2 NS= Grade 8 and 10 and leading to Administrative Assistant 1, Grade 11) is available.
    Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency.

    All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.

    Administrative Assistant Trainee 1: $40,625 - $51,533
    Minimum Qualifications: Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training at the Trainee 1, you will automatically advance to Trainee 2.

    Administrative Assistant Trainee 2: $45,260 - $57,289
    Minimum Qualifications: One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training as a Trainee 2 you will advance to the full level of this title without further examination.

    Administrative Assistant 1: $48,006 - $60,467
    Minimum Qualifications: Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.

    Minimum Qualifications substitute:
    Certification (e.g., IAAP Certified Administrative Professional) or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.

    NY HELPS:

    This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

    For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply and complete a probationary period.

    At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination.     Duties Description The primary duty of the EAP Coordinator is to assist fellow employees by providing information, assessment, and referral to community resources to address a broad range of issues and concerns. Employees voluntarily consult with the EAP coordinator by phone or in person. The EAP Coordinator must maintain strict confidentiality regarding contact with fellow employees. The EAP Coordinator does not attempt to resolve any issues on their own.

    With the full support of the NYS Regional Representative and the Capital Area DOL EAP Committee, the EAP Coordinator are expected to:

    • Provide confidential problem assessment and referral services consistent with the NYS EAP Assessment Guidelines to New York State Department of Labor employees, their family members and retirees who are experiencing personal/family problems that may negatively affect their job performance.
    • Identify local community, public and private agencies/resources on an ongoing basis. The Project Coordinator will create a resource file and become familiar with available services and any fees or restrictions associated with those services.
    • Have a general knowledge of insurance benefits as well as the ability to access information for agency employees.
    • Assist in the preparation of EAP announcements, flyers, newsletters, and other promotional materials.

    The Assistant Deputy Counsel assists the Executive Director and Commission leadership in the administration and execution of the Commission's work, including operations, personnel management and supervision, and the development and
    implementation of programs and initiatives that advance racial and ethnic fairness and improve access to justice within the New York State Unified Court System.

    Under the supervision of the Executive Director, the position involves substantial operational oversight; extensive legal, legislative and policy research; and the preparation of reports, policy recommendations, and publications addressing diversity, equity, access to justice, and court improvement. The Assistant Deputy Counsel also oversees the planning and execution of conferences, town halls, and educational programs. In addition, the Assistant Deputy Counsel assists in supervising counsel, analysts, and interns; collaborates with judges, court administrators, and community partners; and exercises sound professional judgment in handling confidential and sensitive matters.

    Preference will be given to candidates with prior supervisory experience and demonstrated work in equity, diversity and fairness initiatives.

    Some travel is required.

    Selected candidates may be required to complete a pre-interview assignment.

    Minimum Qualifications Admission to the New York State Bar; and Two years of service in the Associate Counsel title; or Equivalent legal experience.
