Controllers Office Job Description Job Summary: As a member of the payroll team this position participates in all aspects of the bi-weekly payroll. Responsibilities include monitoring of weekly time submission, understanding and validating complicated data elements for entry, and processing payroll. This position will support the Smith community throughout the payroll process responding to questions, explaining procedures, and training employees. The Senior Payroll Specialist will have a meaningful role in the configuration and ongoing maintenance of the Workday system. This position will also supervise student workers. Take appropriate actions to support a diverse workforce and participates in the Colleges efforts to create a respectful, inclusive, and welcoming work environment. Essential Functions Payroll (70%): Process all aspects of the payroll in a timely and accurate manner which includes data entry and evaluation, running processes, and reviewing payroll calculations before processing. Preparation and review of internal and external payroll reports. Work closely with human resources, the provosts office, and other departments to support the time entry and approval process as well as administer payroll changes and deductions. Participate in annual workers compensation audits. Process periodic and quarterly tax filings, reconcile discrepancies, and ensure data accuracy and filing timeliness. Prepare amendments as required. Audit payment requests for accuracy and proper authorization, and perform account reconciliations between payroll and the general ledger. Respond to inquiries, investigate and resolve problems. Reconcile compensation and process year-end W-2 tax reporting. Audit payroll records to ensure compliance with college policy and federal and state laws. Student Employment (10%): Support the student employment processes and all aspects of student hiring. Assist faculty, staff and students with the creation and posting of student positions and the hiring of student workers. Support students in onboarding in Workday and assist with Central Check-in for first year students. Payments to Foreign Persons (10%): Administer government regulations regarding payments to non-resident aliens. This includes calculating tax withholding for both payroll and accounts payable payments. Support the year-end tax reporting and production of 1042-S Forms. Other Duties (10%): Reconcile general ledger accounts and participate in month-end closing processes. Participate in fiscal year-end audit, Form 990 preparation, and IPED submittal. Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses): Associates degree plus three to five years of relevant experience with payroll, including the payment of foreign persons or an equivalent combination of education/experience. Knowledge of accounting, general ledger, IRS guidelines, and withholding information. Experience working with diverse backgrounds. Preferred Qualifications: Advanced degree and/or payroll certification(s) Experience with Workday, a union workforce, payments to foreign persons and tax treaty assessment, payroll amendments, financial accounting and reconciliations preferred. Finance Job Description Job Summary Support the daily budget operations of the College. Assist in ad-hoc analysis and modeling in support of all units across the college. Act as a member of the colleges central Budget Office, and support central planning activities. Financial management & oversight primarily encompass planning, forecasting, accounting, and the financial evaluation of key strategic initiatives. Provide support to budget partners in assigned areas within the College. Responsibilities include, but are not limited to, multi-year financial modeling, stakeholder support through the execution of the annual budget process, and the monitoring of expenditures in the operating budget. Essential Functions Analytics & Central Planning: Provide support to Finance Leadership by architecting and maintaining routine and ad-hoc analysis and strategic modeling. Support college-wide analytical tasks as needed. Maintain and refine routine analysis, such as but not limited to, FTE analysis, budget to actual variance analysis, and assessment of restricted funds usages. Perform ad-hoc modeling and analysis at the guidance of team members. Act as a conduit for relaying pertinent financial information within Budget Office, as well as between the Budget Office and other areas of school operations. Review and make recommendations on requests to fill, modify, or create positions; analyze and prepare reports on historical trends in staffing; and maintain current position authorizations and salary budgets within human resource/payroll systems. Reporting & Operations: Support the Budget Office in process improvement initiatives across campus, such as report development and the rollout of new analytic technologies. Support the operations of the department such as the collection, loading, and reconciliation of the colleges annual plan. Support the annual planning and strategic initiatives cycle. Additional duties include management reporting, financial training for various constituents, and the support of the schools financial systems, tools, and processes with various stakeholder groups. Develop and maintain models and tools for projecting key balance sheet and operating line items, including net student income and compensation. Other Functions Support new projects and key financial initiatives as necessary with analysis and reporting to support ad-hoc requests.
