    The Opportunity

    We are seeking an Administrative Specialist to join our Firm. This position will be based in our Los Angeles office (hybrid). The Administrative Specialist handles diversified administrative duties and works closely with the Office Administrative Director and in collaboration with the Los Angeles Management Team department heads, Business Services Professionals, and Attorneys on a wide range of projects. They assist in designated administrative details using initiative to increase efficiencies and maximize quality of technical resources and operational matters, handle the primary responsibilities for all office wide events and assist with the planning and coordination, assist the Wellness Program for the Los Angeles Office and works in collaboration with the Office Administrative Director and Attorney Recruiting and Development Administrator on the annual program. The position requires advanced technological skills, which are utilized skillfully in performing assigned tasks and coordinating information. Additionally, they will propose and assist with initiatives related to the evolving work environment and employee engagement.
    Electronic Communication, Publishing and Information Retrieval Skills: Effectively utilizes technology including the Microsoft Office Suite (advanced Word, PowerPoint, Excel (pivot tables, charts and calculations) and Microsoft Outlook). Skilled in various applications, including Chrome River (Accounts Payable), Aderant (Finance), SRM, Photo Editing Software, Publisher, Paint, Adobe Acrobat and advanced PDF skills. Utilizes graphics skills to assist with design and produce in-house marketing materials and brochures. Understanding and ability to create surveys utilizing the Firm's survey software tool. Screens telephone calls, incoming mail, publications, legal documents and other correspondence. Application of effective communication, publishing and electronic skills. Advanced skills regarding processing usage statistics for the intranet, as well as coordinating the oversight, updates and maintenance of the LAO intranet page. Understands database structure, access and reporting capabilities. Effectively utilizes on-line document management systems to set-up and maintain administrative files and records. Assists with security related aspects of the operation, including assisting the Office Administrative Director and the department heads with the Business Continuity Plan.Event Planning - Primary point person for researching and coordinating internal office events. Collaborates with department heads on other events and works closely with the Catering Manager on catering needs, concepts and décor. Primary liaison with building management team and assists with the certificate of insurance requirements. Collaborates with Office Administrative Director regarding budget and contract requirements. Coordinates all related marketing/graphics for internal office events. Ensures all employees complete yearly Fire and Safety Training requirements in accordance with the Fire Department and building security. Updates and maintains LAO intranet. Reviews and tracks monthly reports of the intranet page usage. Responsible for all Crypto.com Arena and Intuit Dome event and ticket allocation and distributes tickets to attorneys and business services professionals, along with coordinating catering requests. Creates analysis of usage data for the Office Administrative Director seasonally.Facilities Management Interact (FMI) - Assists with Facility Management, including reporting of facility issues and operation of FMI software. Coordinates with the Support Oversight Senior Manager and Office Services Coordinator to implement and handle on-line service requests through FMI and building work orders through Building Engines. Vendors - Collaborate with Office Services Coordinator to maintain relationships with facility vendors and subcontractors. Schedules and oversees maintenance issues, as needed. Tracks expiration of contracts in Contracts database and works with the Office Administrative Director and department head regarding contract preparation and updates.Space Planning - Assists Office Administrative Director with space planning matters, materials, and reports. Asset Allocation - Coordinates the asset allocation tracking in collaboration with the Office Administrative Director, and the Accounting Manager.Art Inventory - Develops, coordinates, and tracks the art inventory and maintains catalog of photographs of the artwork. Handles art transport, as necessary.Technology/Security - Assists Technology and Security by keeping up-to-date on security procedures, editing handbooks, graphics for signs and Floor Warden, CPR and First Aid duties. Collaborates with the Senior Security Manager and Building Security to maintain and track employee badges.Marketing - Assists Marketing Department by completing follow-through with business development sponsorship and coordination of tribute ads through the New York marketing department. Obtains attorney approval of tribute ads and completes submission to organization. Administrative - Prepares and maintains administrative expense reports as applicable. Coordinates arrangements for meetings, travel, conference rooms and conference calls. Understands how to effectively utilize the AV equipment in conference rooms and coordinate specific technical resources. Performs administrative functions of scanning, photocopying, proofreading, working group lists and filing associated with administrative work product. Maintains client and administrative contact requiring discretion and confidentiality.Responsible for quarterly carbon data collection from Building Management and Accounts Payable, maintaining sustainability tracking spreadsheet for NYO.Has knowledge of attorney practice areas, including basic documents, terminology, etc.Knowledgeable of Firm resources and shares this information with attorneys and colleagues.Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.Manages Firm resources responsibly.Complies with and understands Firm operations, policies and procedures.Performs other related duties as assigned.

    The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law. This position is eligible for overtime pay and may be eligible for a discretionary year-end bonus.

    The Opportunity

    We are seeking an Executive Assistant to join our Firm. This position will be based in our Washington, D.C. office. The Executive Assistant provides assistance to, and manages resources for, partners, counsels, associates and staff attorneys.     The Opportunity

    We are seeking an Executive Assistant to join our Firm. Within this position, you will be responsible for providing high-level, administrative support to senior partners, including managing complex calendaring, coordinating travel arrangements, and supporting business development and marketing efforts.     As the Executive Assistant you will:

    Administrative Responsibilities
    Manages complex, time-sensitive assignments, including coordinating domestic and international travel arrangements, processing visa requirements, and maintaining accurate calendaring while proactively flagging conflicts and scheduling requests.Proxies into attorney email accounts, when permission is granted, to process incoming messages, organize and maintain folder structures, prioritize action items, and ensure proper filing to retention folders and the Firm's records management system.Anticipates attorney needs by proactively identifying potential issues and conflicts, taking initiative to offer solutions and preempt needs before they arise.Enters attorney time records, prepares and submits expense reports, and assists with the processing and payment of vendor invoices.Handles all aspects of document preparation, including processing edits, generating redlines, creating and converting PDFs, and performing quality control on all work product.Utilizes software applications such as Excel and PowerPoint to support and facilitate attorney work product and presentations.Coordinates with Conference Services to arrange internal and client meetings, including audio-visual setup, catering, and engagement of external vendors.
    Business Intake and Business Development & Marketing
    Prepares engagement letters and new client and matter memoranda and maintains up-to-date active client and matter number lists to support the new business intake process.Maintains tracking charts with current records, with a particular focus on billing status and new business activity.Collaborates with Client Accounting to ensure client billing remains accurate and up to date.Supports business development efforts by entering activities, maintaining contact records, and assembling targeted mailing lists in InterAction.Proactively tracks and reports business development meetings and activities to the Business Development & Marketing team.Builds and maintains professional working relationships with executive assistants of clients and key contacts, ensures contact records are kept current, and coordinates client gifting initiatives.Receives and engages with incoming clients and visitors, delivering responsive, high-quality client service experience.

    As the Administrative Project Coordinator you will:

    The Senior Specialist, Employee Relations is responsible for fostering a positive, high-performing workplace culture by partnering with Employee Relations Senior Managers in designing, implementing, and managing employee relations and performance management processes that align employee contributions with organizational goals.     We are seeking a Client Operations Project Manager to join our Firm. This position will be based in our DC office (hybrid). The Client Operations Project Manager serves as a strategic partner and the primary point of contact for assigned partners, practice areas, their clients, and the firm's client administration and accounting teams. This role is highly partner and client-facing and is responsible for actively engaging with partners, clients, and internal teams to facilitate day-to-day administrative operations and resolve complex issues related to client accounting procedures. The Client Operations Project Manager drives the client/matter lifecycle forward, facilitating processes such as new business intake, billing rates and special arrangements, RFPs, pricing, billing, e-billing, and collections. This includes proactively tracking and coordinating negotiation of client outside counsel guidelines, requests for new engagement letters, and client audit requests. The Client Operations Project Manager is expected to serve as the single point of contact for partners and drive client administration and accounting processes to completion by following up on outstanding items, breaking down and resolving issues, and ensuring that all stakeholders are kept informed and aligned.     Oversees and manages the creation of compelling proposals, pitchbooks and presentations for existing and prospective clients.Leads the development of strategic pitches, qualification statements and responses to RFPs in collaboration with Skadden's business development team.Serves as a primary point of contact for partners and senior department business services professionals regarding the writing, production and refinement of business development materials.Ensures consistency in messaging, alignment with strategic goals and adherence to deadlines.Organizes and prioritizes multiple assignments while maintaining accountability for deliverables.Collaborates with team members to develop creative solutions to challenges and adapt to shifting priorities.Maintains high standards of quality and professionalism in all business development efforts.Works in hands-on capacity on complex pitches and RFPs; writes and edits cover letters and other copy for pitches and proposals.Crafts new materials based on the Firm's business needs and client/prospect requests.With the Assistant Director, provides guidance to global pitch team at outset of RFP, identifying best approach to first draft and offering insights into client/prospect, precedent materials, process, among other topics.Shares market and institutional knowledge with pitch team.Develops and maintains tailored, creative pitch templates for optimal content presentation.Oversees maintenance/updating of shared knowledge resources (i.e., RFP Language Collection, InterAction Pitch Tracker) for the global pitch team; identifies opportunities for new, more efficient systems.Effectively utilizes the Firm's performance management process to communicate performance expectations, monitor performance, coach employees, and manage performance.Recommends guidelines and practices to promote efficiency, effectiveness, excellent customer service and improved employee relations, in alignment with the Firm's Core Values.Develops and communicates departmental guidelines and procedures with respect to new business proposals.Ensures accurate and timely responses to requests for departmental services.Ensures current knowledge of Firm policies and practices, current knowledge of industry trends, and continued professional development for business services professionals.Coordinates and oversees department projects, day-to-day operations and long-range plans.Engages in strategic (i.e., long-range) planning by developing departmental goals and supporting objectives for assigned department(s).Forecasts financial and budget requirements for the department, prepares related reports, and monitors the budget.Manages Firm resources responsibly.Complies with and understands Firm operation, policies and procedures.
    Qualifications

    The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.
