    We are looking for a FRONT OFFICE MANAGER to join our Front Office team at The Hoxton, Chicago. We are an ambitious company in need of someone who will take on the crucial role of supporting the success of our dynamic property through assisting in managing the operations and Front Office team and ensuring guests have a stellar Hox experience. The role reports to the Director of Rooms. While this description is meant to give you an idea of how we see the role, it is not meant to be all-inclusive. As we adjust our service offerings and model, additional responsibilities may be asked of you to meet the ongoing operational needs. What you'll do... Work with the entire Front Office team to deliver personalized service that exceeds guest expectations. Support an environment of learning to ensure all members of the team are trained to understand and follow all standards of operation. Ensure the accuracy of data in all systems and support the necessary daily reports for all departments as directed by the Director of Rooms. Manage the daily overbooking levels and work collaboratively with all departments to ensure maximum occupancy. Use a wide range of coaching skills to ensure that the team are well motivated and informed of day to day activities. Support the ambitious but realistic objectives for the team to ensure maximum occupancy and outstanding guest satisfaction levels. Monitor the performance of the team and give regular feedback to the DOR and the team members. Support recruitment efforts for the Front Office team. Help manage all costs related to the Front Office team to agreed budgets and forecast levels including inventory and productivity/payroll Support the control and management of the front desk retail. Support the management of the night team ensuring that all night audit procedures are monitored, and figures and supporting documents are given to the Finance team. Play an active role in projects that involve the development and evolution of the Front Office team. Work collaboratively with other departments to solve issues and create delightful guest experiences. Assist the Director of Rooms to manage any changes in operating procedures. Assist the Director of Rooms with any statistical analysis of the Front Desk team. Process payroll weekly and ensure that all time and attendance is recorded as it pertains to the schedule provided by the DOR Play a key role in team development and training. Be hands-on and willing to regularly work both front and back of house, maintaining lobby presence, spending time with guests and team members alike. What we're looking for... You have several years of Front Office experience, including managing a team. Minimum of High School education, post-high school education preferred You're an Opera Cloud wiz and can take a supportive role in the implementation and on-going training process. You're a great schedule maker and love to plan ahead - you'll make sure we have the right team in place at the right time. You execute. You get things done. Job Duties and Responsibilities Within 48 hours of receipt, inputs group room listings by following a detailed checklist Works with Director of Revenue Management to achieve optimum occupancy and revenue Reviews contracts for accuracy in rates, dates, billing inventory levels, and other miscellaneous information Creates and maintains complete files on all bookings reflected in Sales PMS Provides information and assistance to enhance guest service Participates in weekly group pick-up meetings Provides continuous service to hotel and guests to assure guest satisfaction Attend group pre-function meetings Answer reservation sales calls when volume dictates Posts, tracks and follows all SOP's with advance purchase/deposit reservations Perform various other duties as assigned to meet business objectives Education and Experience Minimum of six (6) months prior reservations or front office experience required in a full service hotel or related. Job Duties and Responsibilities Greet guests warmly upon arrival and ensure a welcoming, professional environment. Manage all spa reservations, including scheduling appointments, confirming bookings, and adjusting changes as needed. Answer phone calls, emails, and inquiries related to spa services, pricing, and availability. Provide accurate information on treatments, therapists, and spa policies to guests. Process payments, handle billing inquiries, and maintain accurate client records using spa management software. Promote and upsell spa services, packages, and retail products to enhance the guest experience. Assist with maintaining cleanliness and organization in the reception and retail areas. Coordinate with spa therapists and management to ensure a seamless guest experience and efficient workflow. Education and Experience High school diploma or equivalent required. Previous experience in a customer service, hospitality, or receptionist role preferred. Experience in a spa, salon, or wellness environment is a plus. Familiarity with spa booking software and point-of-sale systems is preferred. Knowledge, Skills and Abilities Exceptional customer service and communication skills. Friendly, professional, and polished demeanor. Strong organizational and multitasking abilities in a fast-paced environment. Basic math skills and comfort with handling cash and electronic payments. Proficiency in Microsoft Office and booking/reservation platforms. Ability to maintain discretion and confidentiality with client information. Count bank at beginning and end of shift. Ensure that all cash drops are done in accordance with proper cash handling procedures and report all cash over/shorts to management. Keep front desk area clean and organized. Assisting with lobby activation as needed. Utilize proper procedures when handling guest PPI data.
