This role is responsible for installing, calibrating, maintaining, and repairing industrial and commercial weighing equipment at customer sites and in our service facility.

    The Office Clerk will provide essential administrative support to ensure the smooth operation of Root Neal & Company’s office. This role includes responsibilities in Accounts Receivable (AR) and Accounts Payable (AP), along with general clerical duties. The ideal candidate is organized, proactive, and capable of handling multiple tasks with accuracy and professionalism. This position starts as part-time with the potential to transition to full-time based on performance and business needs.

    Key Responsibilities

    Administrative Support:

    Manage incoming calls, emails, and correspondence, directing inquiries to appropriate departments.

    Maintain organized filing systems (both digital and physical) for office documents, invoices, and records.

    Schedule appointments, meetings, and manage office calendars.

    Assist with data entry, document preparation, and report generation as needed.

    Order and maintain office supplies, ensuring inventory is adequately stocked.

    Accounts Receivable (AR):

    Process customer invoices and ensure timely delivery to clients.

    Monitor and follow up on outstanding payments, communicating with clients regarding overdue accounts.

    Record and reconcile payments received in the accounting system.

    Assist in preparing AR aging reports for management review.

    Accounts Payable (AP):

    Review and process vendor invoices for payment, ensuring accuracy and proper authorization.

    Enter AP transactions into the accounting system and maintain accurate records.

    Assist with vendor inquiries and resolve discrepancies in billing.

    Prepare payment runs (e.g., checks, ACH transfers) for approval by the Office Manager.

    Additional Duties:

    Support monthly account reconciliation and assist with financial reporting.

    Collaborate with team members to streamline office processes and improve efficiency.

    Provide backup support for other administrative tasks as needed.

    Maintain confidentiality of sensitive financial and company information.

    Qualifications

    High school diploma or equivalent; associate’s degree in business, accounting, or related field preferred.

    1-2 years of experience in an office or clerical role, with exposure to AR/AP processes.

    Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with accounting software (e.g., QuickBooks, Odoo, Sage, or similar).

    Strong organizational skills and attention to detail.

    Excellent communication skills, both written and verbal.

    Ability to prioritize tasks and manage time effectively in a fast-paced environment.

    Basic understanding of accounting principles related to AR and AP.

    Team player with a positive attitude and willingness to learn.

    Physical Requirements

    Ability to sit for extended periods and perform repetitive tasks such as data entry.

    Occasional lifting of office supplies or files up to 20 pounds.

    THE ROLE
    You'll own a territory of industrial accounts across Western New York — manufacturers, quarries, food processors, utilities, and more. Some of these customers have been buying from us for years and need a rep who shows up, knows the product, and earns their trust. Others haven't heard from us in a while and need someone to reconnect with them. Both are your job.

    WHAT YOU'LL DO DAY TO DAY
    ·         Drive your territory and meet customers in person — this is a road job, not a desk job
    ·         Build relationships with maintenance supervisors, plant managers, engineers, and buyers
    ·         Quote products from our full line — power transmission, pumps, lubrication, steam specialties, scales
    ·         Prospect for new accounts while keeping existing customers buying and growing
    ·         Follow up on quotes, close orders, and make sure customers get what they need on time
    ·         Log your activity in our CRM so nothing falls through the cracks

    ABOUT YOU
    ·         2+ years in outside sales — industrial distribution, MRO, construction supply, or similar
    ·         Mechanically curious — you don't need an engineering degree, but you need to understand what you're selling
    ·         A relationship builder, not a pitch person — our customers buy from people they trust
    ·         Self-directed and comfortable managing your own schedule and pipeline
    ·         Valid driver's license; lives in or near Western New York
