Position Summary:
The Project Executive at Rooftops Silicone Distributors Inc. plays a critical role in supporting the President or Designee in the management, administration, and execution of construction projects. This position serves as a bridge between field operations, administrative processes, and internal departments, ensuring that project documentation, compliance requirements, financial records, materials and equipment workflows, and timelines are maintained with accuracy and alignment.
This role is ideal for a construction professional with a strong foundation in project management and administration, and a proven ability to support jobsite execution, handle complex documentation, assist with budgeting and cost tracking, and contribute to internal operational efficiency. The Project Executive helps ensure projects move forward effectively and are delivered in accordance with internal standards and project-specific requirements. Extensive roofing and construction and project management experience, particularly with roofing systems, safety, and field operations, is a key factor for success in this role.
Key Responsibilities:
Project Management & Execution Support
Support the President or Designee in managing, administering, and executing all phases of assigned construction projects in St. Thomas.Track project timelines, milestones, and deliverables to ensure alignment with project goals.Collaborate with Project Managers and field leadership to ensure jobsite operations align with project plans and specifications.Monitor project schedules and address delays, risks, or operational challenges proactively.Construction Administration
Manage project documentation, including RFIs, submittals, punch lists, warranties, lien waivers, change orders, and closeout documentation.Administer permitting processes, inspection tracking, and regulatory compliance documentation.Maintain accurate and organized logs, records, and reporting files in compliance with internal procedures and industry standards.Financial Administration
Work with Business Administration/Accounting on job costing, requisitions, billing, and expense tracking.Assist in preparing and reviewing Schedules of Values; manage documentation for requisitions through platforms such as Procore and Textura.Process change orders, track financial documentation, and align with project budgets.Submit and reconcile monthly expense reports for assigned projects.Materials and Equipment Management
Manage materials and equipment workflows in collaboration with the Retail/Warehouse Department, including requests, ordering, delivery coordination, and inventory tracking.Ensure timely delivery and availability of materials and equipment to avoid jobsite delays.Forecast materials and equipment needs to prevent shortages or delays.Team Support & Labor Tracking
Collaborate with Roofing Operations to ensure alignment of workforce deployment and project schedules.Support Project Managers, Superintendents, and internal team leads with labor tracking, productivity updates, and schedule execution.Participate in internal planning and coordination meetings, providing project documentation and task status updates.Assist with resolving coordination challenges across departments and ensuring clear internal communication.Client, Vendor & Stakeholder Communication
Support leadership in managing communication with clients, general contractors, vendors, and subcontractors.Attend jobsite meetings when necessary to gather updates, document issues, and ensure alignment with project goals.Prepare and submit correspondence, reports, and documentation to maintain stakeholder engagement and project transparency.Software & Systems Use
Utilize software platforms including Procore, Textura, Raken, ADP, Points North, and Microsoft Office Suite for scheduling, reporting, financial tracking, and documentation.Ensure accurate data entry and system updates to support cross-departmental communication.Generate project reports and provide insights to leadership for better decision-making.Qualifications:
Extensive roofing and construction and project management experience, particularly with roofing systems, safety, and field operations.Bachelor’s degree in Construction Management, Engineering, Architecture, or a related field (or equivalent work experience).Minimum 10 years of experience in construction project coordination and administration.Strong foundation in project management principles, construction workflows, and contract documentation.Proficient in Procore, Textura, Raken, ADP, Points North, and Microsoft Office Suite (Excel, Word, Outlook).Solid knowledge of permitting processes, compliance requirements, job costing, and financial administration.Familiarity with OSHA standards and U.S. Virgin Islands building codes and regulations.Excellent organizational, verbal, and written communication skills.Ability to support multiple ongoing projects, track details, and meet deadlines under pressure.Preferred Skills:
