Overview
We're looking for an experienced Office Manager to lead the day-to-day operations of our practice. Reporting to the owner, you'll oversee staff, keep patient flow smooth, and make sure both the clinical and optical sides of the office run efficiently. This is a hands-on leadership role for someone who takes ownership, solves problems, and helps build a culture of professionalism and accountability. This individual will ensure the culture of the office reflects our values in terms of team management and patient experience.
Responsibilities
Build a culture of coaching and mentoring that supports staff development and keeps the office patient-centered, accountable, and running well
Manage, coach, and schedule front-desk and optical staff, ensuring appropriate coverage for all practice hours. Conduct 1:1s, staff meetings and doctor meetings
Oversee daily operations, patient flow, and provider schedules to minimize wait times and keep the day running smoothly
Handle hiring, onboarding, training, and performance reviews for support staff
Support optical performance and the overall patient experience, reinforcing service standards
Oversee the revenue cycle: co-pay collection, insurance verification, contact lens sales, charge and payment posting, and end-of-day reconciliation
Oversee optical and office inventory, place orders within budget, and coordinate with approved vendors
Keep the office compliant with HIPAA and patient-privacy requirements
Maintain accurate timekeeping, time-off requests, and staff scheduling
Serve as the liaison between the owner, doctor(s), staff, and patients to keep communication and problem-solving flowing
Handle facility issues, equipment maintenance coordination, and vendor service as needed
Help implement new systems and operational improvements as the practice grows
Track key metrics and reports (patient flow, staff productivity, patient satisfaction) and use them to spot issues and improve operations
Qualifications
Must be a motivated individual with a positive and exceptional work ethic.
Prefer 2-5 years of billing, coding, and collections experience.
Supervisory experience preferred.
EMR experience preferred (we use Eyefinity)
Strong organizational skills, time management, project management, and the ability to set priorities among multiple competing objectives, tasks and initiatives is required.
Ability to communicate effectively in both oral and written form. This position requires the ability to interact positively, constructively and effectively with patients, professional staff, providers and organizational stakeholders.
Must demonstrate leadership and relationship management skills, and manage conflicts with tact, sensitivity, and respect.
Ability to work collaboratively with diverse staff and patient/family population to promote a patient centered culture.
