    The Tradeshow Project Manager (TPM) oversees RGI’s tradeshow projects from estimating through execution. Acting as both client liaison and internal coordinator, the TPM manages budgets, schedules, vendor services, and booth properties to ensure flawless tradeshow delivery. This role partners with the Project Finance Specialist and Estimator to contribute tradeshow-specific expertise to the estimating process. The TPM ensures that every tradeshow project is delivered on time, on target, and on budget—with no unpleasant surprises.

     Responsibilities & Accountability

    1. Estimating & Budget Management

    Contribute tradeshow-specific cost inputs during estimating (ROM estimates, vendor pricing, shipping, show services).Partner with Estimator and Finance to ensure accurate project budgets.Align client invoice schedules with cash flow needs in collaboration with Finance.2. Client Communication & Support

    Serve as primary client contact for tradeshow projects.Lead pre-show planning and post-show debriefs, presenting financial and performance outcomes.Counsel clients on industry best practices, trends, and cost-effective solutions.3. Project Coordination

    Develop and manage official tradeshow schedules (Gantt format, SmartSheets, ExhibitForce).Coordinate project details with design, fabrication, warehouse, and logistics teams.Supervise booth property check-in/out, maintenance, and show service coordination.4. Change Orders & Documentation

    Process and document tradeshow change orders with Accounting.Maintain accurate documentation for proposals, budgets, POs, and client approvals.Ensure Exhibit Force and Foundation are updated with current project information.5. Thought Leadership & Industry Expertise

    Stay current with tradeshow industry standards, certifications, and innovations.Provide quarterly “Tradeshow Trends & Insights” briefings to internal teams.Recommend tools, training, or resources that advance RGI’s tradeshow services.  Qualifications & Skills

    Required:5+ years of tradeshow project management or equivalent event experienceDemonstrated success managing budgets, schedules, and vendor relationshipsStrong organizational and client-facing communication skillsProficiency in Microsoft Office, ERP/accounting systems (Foundation, Exhibit Force)Preferred:10+ years of corporate tradeshow management experienceCertified Trade Show Marketing (CTSM) credentialBachelor’s degree in business, marketing, or related field  Accountability Framework

    The Tradeshow Logistics Carpenter ensures that tradeshow booths, exhibits, and marketing materials are shipped, tracked, and delivered accurately and on time. This role supports RGI’s tradeshow success by coordinating logistics, maintaining accurate inventory, and ensuring safe handling of assets. The Specialist collaborates with project managers, sales, and warehouse teams while also interacting with carriers and clients to guarantee seamless event execution. By ensuring precision, timeliness, and safety in logistics, this role supports RGI’s cultural promise of delivery on time, on target, on budget—with no unpleasant surprises.

    Responsibilities & Accountability

    1. Event & Tradeshow LogisticsCoordinate packing, shipping, and return of booths, samples, and event assets for tradeshows and events.Support onsite setup, execution, and teardown of exhibits as required (travel up to 50%).Ensure all assets are properly staged, packed, and tracked before departure.2. Shipping & Receiving OperationsManage shipments across UPS, FedEx, USPS, DHL, LTL, and brokered freight carriers.Prepare bills of lading, packing slips, labels, and related shipping documentation.Inspect incoming shipments, document shortages, and resolve issues with carriers.3. Inventory Management & DocumentationMaintain accurate records of tradeshow assets and shipping materials using Exhibit Force.Conduct regular audits to ensure inventory accuracy and readiness for events.Update digital records, truck logs, and client portals with shipment information.4. Safety, Equipment & Facility SupportOperate forklifts, pallet jacks, and packing equipment according to safety protocols.Assemble and secure crates and containers for safe transport.Maintain warehouse organization, shipping supplies, and compliance with OSHA standards.5. Cross-Team & Client CollaborationCommunicate with Project Managers, Sales, and Marketing to align logistics with event goals.Support clients with documentation, shipping confirmations, and logistics updates.Assist in training new team members on shipping procedures and safety practices.
    Qualifications & Skills

    Required:Membership in the Carpenter's Union after 90 days of employment3+ years of shipping, warehouse, or logistics experienceHigh School Diploma or GED requiredAbility to lift 50+ lbs and operate forklifts/pallet jacks safelyStrong organizational and documentation skillsWillingness to travel up to 25% for tradeshows and eventsProficiency with Warehouse Management Systems (Exhibit Force preferred)Preferred:Experience in tradeshow or event logisticsFamiliarity with freight negotiation and multi-carrier shipping systemsStrong client-facing communication skillsKnowledge of OSHA safety standards and compliance requirements

    Position Summary

The Demo Program Coordinator owns the lifecycle of client-owned demo kits and demo event programs, ensuring they are prepared, shipped, tracked, returned, and maintained with precision. This role bridges warehouse operations, client coordination, and shipping logistics to deliver a seamless experience that reflects our commitment to being on time, on target, on budget, with no unpleasant surprises.

    Responsibilities & Accountability


    1. Program Coordination & Client Support

    Serve as the primary coordinator for demo kits and demo event programs.Receive and process client requests for shipments, returns, and scheduling.Communicate clearly with clients regarding timelines, tracking, and usage expectations.Maintain a calendar of program deployments to ensure availability and readiness.2. Shipping & Logistics Execution

    Prepare, pack, and ship demo kits via UPS or other carriers, ensuring accuracy and protection of assets.Generate shipping labels, documentation, and return instructions.Track all outbound and inbound shipments, proactively resolving delays or issues.Coordinate pickups, deliveries, and return logistics with carriers and internal teams.3. Inventory & Asset Management

    Maintain accurate inventory of all demo kits, components, and supporting materials.Track asset location, condition, and availability in real time.Perform check-in and check-out processes aligned with RGI warehouse standards.Identify missing, damaged, or aging components and initiate repair or replacement.
    4. Quality Control & Maintenance

    Inspect returned kits for damage, functionality, and completeness.Clean, repair, and reset kits to ensure readiness for the next deployment.Coordinate with shop or technical teams for advanced repairs or updates.Continuously improve packing methods, durability, and user experience.5. Documentation & Process Management

    Maintain accurate records of shipments, returns, inventory status, and usage history.Develop and refine standard operating procedures for demo program management.Align activities with RGI cost codes and warehouse processes to support job costing.Provide regular reporting on utilization, issues, and opportunities for improvement.
    Qualifications & Skills


    Required:


    2+ years of experience in logistics, shipping, warehouse operations, or inventory management.Strong organizational skills with attention to detail and accuracy.Experience with shipping platforms such as UPS, FedEx, or similar systems.Ability to manage multiple requests and timelines simultaneously.Strong communication skills for both client-facing and internal coordination.Ability to lift and handle equipment up to 50 lbs.Preferred:


    Experience managing reusable assets, demo programs, or tradeshow equipment.Familiarity with ERP or inventory tracking systems.Background in exhibit, event, or production environments.Process-oriented mindset with interest in continuous improvement.
    Accountability Framework
