(S)he may be asked to perform other duties as assigned, as per their Manager and/or Regional Director.Duties & ResponsibilitiesDuties & responsibilities may include, but not limited to:Assists in the training of all property staff.Creates a positive, welcoming, supportive environment for residents, visitors, and community staff.Responsible for the office being kept in a neat and clean condition.Evaluates staff performance, including the completion of annual performance reviews.Counsels underperforming staff, and provides critical feedback to improve performance.Prepares, approves, and submits timesheets and payroll adjustments.Assists the Regional Director in the selection of community staff, and assumes primary responsibility for the preliminary interviewing.Has a working knowledge of all affordable regulatory forms and documents.Submits accurate and complete reports as specified on Residential One’s time table.Maintains building security measures, ensuring proper incident documentation and notification to management, owners, and insurance carriers within 24 hours of the incident.Responsible for in-house file audits on a semi-annual basis.Ensures property’s filing system is maintained daily, including applicant/resident, accounting, vendor, and contract files.Responsible for all community staff attending mandatory trainings, as well as other trainings, in order to promote successful operations of the property.Understands Boston Post software, and the paperless work flow process, in order to operate efficiently and accurately.Responsible for the preparation of the Reserve Funds Replacements (RFR).Other duties as assigned
OCCUPANCYSupervises all the leasing activities.Creates goals for the community staff to maintaining 100% occupancy through curb appeal, service, and retention strategies.Executes marketing and advertising campaigns for apartment leasing, in conjunction with the Affirmative Fair Housing Marketing Plan.Notifies the residents in writing of all issues effecting their tenancy.Maintains vacancy information as required by Residential One, the owners, and monitoring agencies.Ensures that all move-in certifications will be completed and sent to U.S. Housing in a timely manner. The re-certifications will be completed and sent to the compliance department 90 days before the effective re-certification date.Supervise and assist in maintaining a current and accurate waitlist.All certification corrections are to be completed and re-sent within 48-72 hours after notification of deficiencies.Oversee the re-certification process, and assist with the 60/90/120-day notices, as needed.Increase letters must be sent 30 days in advance of the effective date of the increase, or what is applicable for the jurisdiction.Screens and reviews all applications in a timely manner.Must be able to calculate the income and assets in compliance with Residential One and industry standards.Responsible for putting together and pre-auditing the first year investor lease-ups files, and may any corrections, if needed.Supervises, assists, and reviews the lease orientations and signings, and submits relevant documentation to the U.S. Housing for final approval.Needs to stay current on the rules and guidelines of the affordable house that applies to their community.Oversees the property tours, showing vacant units, and marketing property amenities.Responsible for apartment inspections for move-in/move-out conditions (pre/post inspections), and the successful completion of the process within 24 hours of the action.Completes semi-annual apartment/townhome and quarterly exterior/interior inspections.Responsible for making sure that the correct set-asides, rent, and income limits are being utilized.Supervises, assists, and reviews the certification process. Ensures timely and accurate certifications for both annual and interim.Supervises and assists the community staff in preparing for all inspections and audits.Remains current on, and compliant with, the policies and laws affecting the marketing and leasing community.Files court documents for eviction and attends scheduled court hearings.Responsible for the accurate and timely affordable year-end and/or quarterly reports.Supervises and assists in purging files annually, if applicable.
FINANCESAchieves financial stability through cost reduction and implementing systems to maintain 0% delinquency.Files delinquent rent monthly, and follows up with collecting the rent or evicting the household.Completes security deposit administration, including inspecting units to determine resident’s balance or refund, preparing disposition letters, and processing security deposit returns within twenty-one (21) days of the vacancy.Responsible for making daily rent and/or deposits to the bank, and keeps accurate files on all related documentation.Ensures that the Boston Post batches matches the bank scans and/or bank deposits.Utilizes the rental policy for rent collection procedures, including following up with delinquent accounts daily, as well as sending notices for prepaid accounts.Prepares the annual operating budget, and works with the Regional Director to maintain budgetary guidelines, as well as being able to explain, in writing, the monthly variances.Maintains familiarity with all procedures and requirements of AP and AR.
MAINTENANCEResponsible for the operations and purchases of the maintenance departmentSolicit and review bids for contract work before submitting to the Regional Director for approval.Responsible for contract work being completed in the community.Assists the maintenance department with understanding the budgetary restraints and how to effectively use the budget to run the maintenance department.Maintains a strict adherence to the purchase order/invoices process.Oversees and reviews the inventory control system.Ensures that the preventative maintenance schedule is being completed in the time allotted.Oversees the daily property inspection and clean-up (curb appeal).Responsible for ensuring that the work orders are being completed in a timely manner.All other duties as assigned.

Job DescriptionJob DescriptionJOB TITLE – Maintenance TechnicianSCOPE & PURPOSEUnder the daily direction of the Maintenance Supervisor (if applicable) and/or Supervisor, the Maintenance Technician is responsible for the overall maintenance of the physical property. (S)he may be asked to perform other duties as assigned, as per their Manager and/or Supervisor.Duties & ResponsibilitiesDuties & responsibilities may include, but not limited to:Participate in all maintenance projects.Perform light electrical repairs on items such as fixtures, switches, outlets, etc. Perform light plumbing work, such as clearing stoppages, replacing fittings, etc.Repair and/or replace broken glass, tile, carpet, screens, fixtures, appliances, draperies, locks, etc.Painting of the interior and/or exterior of the complex. Painting apartments-spraying, brushing, and rolling. Repair of drywall prior to painting, spackling, and sanding. Removal of wallpaper, if necessary, and replacement of drywall/sheetrock.Perform carpentry work, such as, but not limited to: fitting doors, freeing windows, replacing and building shelves, sanding and refinishing floors, installation of cabinets, vanities, trim and moldings, etc. Assist in custodial work in common areas, including sweeping, mopping, vacuuming, emptying trash, cleaning windows, removal of bulk trash, as well as other custodial work as assigned.Assist in grounds work, such as, but not limited to: trash picker, cleaning supplies, rakes, weed eater, edger, leaf blower and/or vacuum, lawn mower, multi-purpose tractor and/or cart, ladder, hedge trimmer, snow blower, ice melt spreader, Ventrac, shovels, forklift, pallet jack, etc.Repair concrete, masonry, roof, fencing, when required.Train and/or assist other employees on the overall needs of the property.Be responsible for inventory and/or tools, and utilization of maintenance materials.Assist Management in scheduling apartment inspections.Be responsible for the refurbishing of apartments prior to resident occupancy. Participate and assist in apartment move-in and move-out inspections.Keep accurate records regarding preventative maintenance, work orders, apartment refurbishing, annual inspections, inventories, purchase orders.Perform scheduled maintenance on all equipment based on the manufacturers’ recommendations and operating manuals.Inspect all units, buildings and common areas, performing repairs, and janitorial assistance as required.Have knowledge regarding water and gas meter cut-offs, all apartment and fixture cut-offs, sprinkler systems, sewer clean-outs, and post map of same.Inspect storage areas and entrances are locked and maintained, and adequate lighting in those areas is maintained.Responsible for getting make ready units up for leasing, as per the metric.Responsible for completing work orders in the time frame, as per the metric.Service Requests may include, but not limited to: boiler repair and cleaning, range and hood fan repairs, refrigerator/freezer repairs, items that main the property, such as appliances, walls, fixtures, flooring, plumbing, heat calls, electrical (except where a licensed electrician is required), painting, spackling, drywall repair and/or installation and hole patching. Cutting of any water, drain, sewer, gas, or propane line is strictly prohibited.Installation and removal of appliances (refrigerators, ranges, heat pumps, etc.) as needed and assigned.Property responsibility may include, but not limited to: service requests such as gutter and downspout, exterior siding, alteration of new or existing systems, road sign installation and repair, road line painting, and pot hole patching.Interior and/or exterior electrical repairs may include, but not limited to: troubleshooting wiring faults, switch and outlet replacement, bulb and fixture replacements, and light and power equipment on the job.Plumbing repairs may include, but not limited to: repair and cleaning of sewer drain lines, clearing blockages in any drain lines, repair and replacement of any kitchen sink, bath lavatory, bathtub, or toilet, and detection and prompt reporting of gas leaks, as required. (Except where a licensed plumber is required) Cutting of any water, drain, sewer, gas, or propane line is strictly prohibited.Snow removal, shoveling, spreading ice melt and other related duties may require on call assignments, as well as overtime.Shop responsibilities may include, but not limited to: keeping maintenance shop in a safe, neat and orderly condition; eliminate potential fire hazards as the need arises, maintaining records as to part quantities and keep note of parts’ availabilities due to discontinuation, shortages, or strikes; maintaining records on prices from company-approved vendors as to obtain the best competitive prices on commonly replaced parts; ensuring that the inventory is accurate.Scheduled through property managers, monitor and work with outside company-approved vendors and coordinate with their schedules.Meet safety requirements and communicate those requirements to management.Other duties as assigned except for duties that are prohibited by law based on licensure requirements.*All maintenance staff is required to respond to every phone call during your scheduled on-call shift no matter what time of day the call is received. In the rare event that there is a catastrophic event, every maintenance technician will be expected to report to the property in order to assist the on-call Maintenance Technician. Familiarity with contract work hours, Safety Standards Acts, OSHA, Department of Labor and Licensing, and all applicable federal and state safety standards, is highly desirable.4. Some type of formal training or experience in one or more of the following areas:a. Carpentryb. Light plumbing workc. Light electrical workd. Paintinge. Refurbishing and cleaning5. HVAC Certification preferred, but not required.6.
