    Position Overview:

    We are hiring an Executive Assistant for Quadrant Billing Solutions, LLC. This is a high-demand, high-ownership role. It is not a cushy 9–5 “clock in and coast” position. The right candidate understands that supporting executive leadership in a growing healthcare company sometimes means working past standard business hours and occasionally on weekends when priorities, projects, or deadlines require it.

    In return, this role offers significant exposure and growth opportunities in behavioral health administration, revenue cycle management, operations, and data-driven decision making. This is an ideal position for someone who wants to break into behavioral health administration, learn fast, and grow alongside the company, not someone looking to safeguard a rigid schedule.


    What You'll Do:

    Executive & Administrative Support

    ● Manage calendars, meetings, inboxes, and follow-ups for the CRO and Director of Operations.

    ● Prepare agendas, track action items, and maintain organized executive documentation.

    ● Coordinate travel, internal meetings, and occasional off-site events.

    Hiring & Talent Coordination

    ● Review resumes, coordinate interviews, and support candidate screening and onboarding logistics.

    ● Assist with interviews, reference checks, and candidate communication.

    Data & Analytics Support (Revenue, Billing & KPIs)

    ● Pull, organize, and format data from EMRs, billing systems, and reports into executive dashboards.

    ● Maintain recurring KPI reports for census, collections, VOBs, claims, and reimbursement trends.

    ● Ensure all reporting is accurate, consistent, and executive-ready.


    Growth Track

    ● Begin with data preparation and reporting; progress into trend analysis and data-backed decision support across admissions, billing, operations, and strategy.

    Requirements

    ● 2+ years in an Executive Assistant, Operations Assistant, Project Coordinator, or similar role.

    ● Strong proficiency in Google Workspace and/or Microsoft Office, especially Sheets/Excel.

    ● High level of organization, attention to detail, and ability to manage multiple priorities.

    ● Strong written and verbal communication skills.

    ● Comfort working with numbers, spreadsheets, and performance metrics.

    ● Ability to handle confidential clinical, financial, and HR information with discretion.


    Preferred

    ● Experience in healthcare, behavioral health, or revenue cycle environments.

    ● Experience supporting C-level or director-level leadership.

    What You'll Do:

    Complete Biopsychosocial Assessments upon intake.

    What You'll Bring:

    Behavioral Health Therapist Qualifications:

    Master's degree in Counseling, Social Work, Psychology, Marriage and Family Therapy, or a related field.

    Active Texas behavioral health license in good standing.

    Independent licensure preferred; associate-level clinicians considered with in-house/independently arranged clinical supervision.

    Experience providing individual and group therapy.

    Peer Support and Recovery Services

Encourage client engagement in treatment, recovery programming, and community resources. Assist clients in identifying personal strengths, recovery goals, and wellness strategies. Support clients in developing coping skills, self-advocacy, and independent living skills. Promote a respectful, supportive, and recovery-oriented environment.

    Group Facilitation

    Facilitate peer support, psychoeducational, and recovery-oriented groups within scope of certification and organizational policy. Assist clinical staff with group programming as assigned. Encourage participation and engagement during group activities.

    Documentation

    Document client observations, peer support services, group participation, and relevant interactions in the electronic medical record (EMR) according to program policies. Complete group documentation and required progress notes within established timeframes. Report significant behavioral, medical, or safety concerns to appropriate staff immediately. Complete shift reports and incident reports as required.

    Client Support

    Assist clients with daily living activities when appropriate. Provide support during meals, recreational activities, and facility routines. Assist with transportation of clients as needed.

    Collaboration with Treatment Team

    Communicate relevant client observations and recovery progress to the clinical and nursing team. Participate in treatment team meetings, staff meetings, and required training. Support implementation of individualized treatment plans as directed by clinical staff. Provide the peer perspective during treatment planning when appropriate.

    Regulatory and Compliance Responsibilities

    Maintain client confidentiality in accordance with HIPAA and 42 CFR Part 2. Follow program policies and procedures regarding client safety and supervision. Support compliance with Kentucky behavioral health regulations. Maintain required peer support certification. Participate in required staff training and continuing education.

The ideal candidate will provide comprehensive case management services to individuals with mental health and/or substance use disorders. You will play a crucial role in empowering individuals to achieve their personal and therapeutic goals.


    Case Manager Position Summary:

    The Case Manager is responsible for coordinating and managing all aspects of client care during their inpatient stay at the detox facility. This includes conducting assessments, developing individualized treatment plans, coordinating discharge planning, linking clients to aftercare services, and ensuring all clinical documentation is completed in accordance with regulatory and facility standards.

    Key Responsibilities:

    ● Conduct biopsychosocial assessments upon client admission.

    ● Develop and update individualized treatment and discharge plans in collaboration with the clinical team.

    ● Provide individual case management sessions to support clients through the detox process.

    ● Coordinate referrals for ongoing treatment, housing, social services, and community resources.

    ● Maintain accurate and timely documentation in the Electronic Health Record (EHR) system.

    ● Participate in multidisciplinary treatment team meetings to discuss client progress and needs.

    ● Educate clients and families about treatment options, recovery planning, and available support services.

    ● Advocate on behalf of clients to ensure access to necessary care and support.

    ● Maintain compliance with HIPAA and all applicable federal, state, and local regulations.

    ● Ensure discharge paperwork and aftercare appointments are scheduled before client discharge.

    Qualifications:

    ● Minimum of 1–2 years of experience in substance abuse or mental health setting, preferably in a detox or inpatient facility.

    ● Knowledge of addiction treatment, discharge planning, and community resource navigation.

    ● Strong organizational and communication skills.

    ● Familiarity with ASAM criteria and DSM-5 diagnostic standards.

    ● Proficient in EHR systems and documentation practices.

    ● Clinical License is preferred

    Nice to Have Certifications:

    ● CADC, LCADC, or other state-recognized addiction counseling certification.

    ● CPR/First Aid certified or willing to obtain upon hire.

    Medication Administration

    Client Health Education
