The Front Office Coordinator role is an important role within our organization. This vital function is the first point of contact for our company and manages the flow of visitors and incoming calls in a professional, helpful and efficient manner. You will be responsible for efficiently maintaining an organized, welcoming and professional-looking front office space. As the first face a guest or client will see upon entering the office, the individual must be articulate, friendly, detail-oriented and have stellar customer service and interpersonal skills. As Front Office Coordinator, this role will provide general office support in a variety of clerical activities and related tasks which include Board and other meetings and workshop planning and assembling materials related to such events. This position reports to the Director of Information Technology and supports the Executive Director and other leaders within our organization as needed. The requirements for this function include strong organizational skills, the ability to multi-task and diligent follow-through of assigned duties. The ideal candidate is a hard-working professional who is able to undertake a variety of office support tasks, while displaying composure and working diligently to fulfill the functions of this role.
Job Responsibilities:
Warmly welcome those who come into the office, assisting visitors, vendors and other persons entering the office environment, providing a professional welcome above and beyond.Be the administrative contact for all meetings, conferences and workshops, including Board meetings and other functions, usually held internally. Includes scheduling meeting rooms, insuring the necessary supplies, beverages, video conferencing equipment ,etc. is on hand prior to meetings. This includes set-up, providing coffee and beverage and snack service, etc, including assisting caterers with setup and clean-up of event meals throughout all meetings, conferences and workshopsAnswers incoming telephone calls made to the organization, following firm phone etiquette expectations and ensuring communications at a professional level. This includes screening and transferring incoming calls to the appropriate department or party.Receive, sort and forward incoming mail, packages and email correspondence in a timely manner.Assists in the ordering, receiving, stocking, and distribution of office and refreshment supplies.Assists with other related clerical duties including but not limited to copying, faxing, filing and collating.Provide direct administrative support to the Executive Director and to the Director of Information Technology, and other managerial personnel, as needed.Assist the Director of IT with IT-related tasks, such as applying software patches, inventory management, and other IT-related tasks as assigned.Perform other duties as requested or assignedOccasional overtime will be required – specifically during meetings, conferences, and workshops
