    The Role

    We're looking for a warm, organized, and detail-oriented Medical Receptionist to join our front office team. If you're someone who genuinely enjoys connecting with people, keeps their cool in a busy environment, and takes pride in making things run smoothly, you'll fit right in here. Pediatric experience or a love of working in a kid-friendly environment is a big plus!

    What You'll Do

    Be the welcoming first point of contact for patients and families — greet, check in, and check out with care and efficiencyAnswer and manage incoming calls, take detailed messages, and route them appropriatelyVerify insurance coverage and collect accurate demographic and billing informationCollect co-payments and patient balances, and clearly explain account informationSchedule, reschedule, and cancel appointments in our system (we use ECW — familiarity is a plus!)Maintain organized patient charts and create new ones as neededKeep the waiting area clean, tidy, and welcoming throughout your shift — because first impressions matterOpen or close the office depending on your shift (turning on/off equipment, securing the space)Complete morning and evening tallies accuratelyDocument everything — if it's not in the chart, it didn't happenPitch in wherever needed; we're a team and we support each other

    What We're Looking For

    Schedule & Hours

    We offer both AM and PM shifts to fit a range of schedules:

    AM Shift: Monday–Friday, 5:45 AM–1:30 PM

    PM Shift: Monday-Thursday 12:45-8:30PM, Friday 11:45-6:30PM.

    Weekend Rotation Required: Saturday or Sunday, 7:45 AM–12:30 PM

    Pediatric Associates of Alexandria is looking for an experienced Medical Billing Specialist to join our growing practice. We're a busy pediatric office with three locations across VA area that depends on a sharp, dependable billing team to keep our revenue cycle running smoothly — and we know that starts with hiring the right person.
    This role is ideal for someone who already knows their way around medical coding and billing and takes genuine pride in doing it well — someone who's organized, persistent, and comfortable owning a set of accounts from claim submission through final payment. If you're looking to move from a high-volume hospital system or billing company where you're one of many faces on a massive payer mix, this is a chance to do focused, visible work where your accuracy and follow-through are noticed and valued.
    After successfully completing a hands-on 6 month training period in our office, you'll have the flexibility to work remotely.


    What You'll Do
    Claims & Payment Processing
    •    Post insurance, patient, and credit card payments daily for your assigned payers.
    •    Complete and submit claim forms and patient statements accurately and on time.
    •    Manage the full claims submission process for your assigned payers, keeping error rates low.
    •    Maintain organized records of electronic claims and patient statements, including transmission confirmations.
    Follow-Up & Collections
    •    Track every claim through to resolution — by phone, payer website, or written correspondence — until it's paid.
    •    Monitor insurance payments against expected fee schedules to catch underpayments early.
    •    Manage self-pay and uninsured patient accounts, including proactive follow-up and payment arrangements.
    •    Resubmit or appeal unpaid and denied claims, and process accounts to bad debt when appropriate.
    Analysis & Reporting
    •    Identify payer trends or recurring non-payment issues and bring them to management's attention.
    •    Process adjustments and refund requests with proper documentation.
    Patient & Practice Support
    •    Help patients understand their insurance reimbursement and account status with clarity and patience.
    •    Identify patients who may qualify for financial hardship programs.
    •    Stay current on payer policy changes that affect claim filing and turnaround times, including via payer-led trainings.
    •    Maintain up-to-date written billing guidelines for each insurance carrier you manage.
    •    Protect patient confidentiality in accordance with HIPAA and PAA policy at all times.

     

    What You Bring
    Required
    •    Hands-on experience with medical coding and billing (CPT, ICD-10, and payer-specific claim requirements).
    •    A track record of managing the full claims lifecycle, from submission through collections.
    •    Sharp attention to detail — you catch errors before they become denied claims.
    •    Strong organizational skills and the persistence to follow up on outstanding claims until they're resolved.
    •    Strong conflict-resolution skills, with the ability to advocate firmly for the practice while still treating families with compassion
    •    Ability to stay calm, clear, and professional when conversations with parents or payors become tense or frustrating
    •    Comfort working independently and managing your own account caseload.


    Preferred
    •    Experience in a pediatric or primary care billing environment.
    •    Familiarity with Electronic Medical Records (EMR) and practice management software.
    •    Medical billing and coding certification (CPC, CBCS, or equivalent).

    About Pediatric Associates of Alexandria 

    At PAA, we believe that a child’s mental and physical health are inseparable. Our integrated care model embeds licensed mental health clinicians directly within our pediatric practice, giving patients and families seamless access to therapy alongside their medical care. We are a collaborative, clinician-centered team committed to evidence-based practice, and we invest in the professional growth of every person on our staff. 

    This is an opportunity to build meaningful and therapeutic relationships with children and adolescents in a warm, multidisciplinary setting — without the isolation of private practice or the bureaucracy of a hospital system. 

    The Role 

    We are looking for a skilled and compassionate LCSW to join our mental health team. In this role, you will provide comprehensive outpatient therapy to pediatric patients and their families, collaborate closely with our physicians and care team, and contribute to the continued development of our mental health program. You will carry a versatile caseload, conduct diagnostic assessments, and serve as a clinical resource for both colleagues and families navigating complex psychosocial needs. 

    What You’ll Do 

    Clinical Care 

    Conduct diagnostic assessments and develop individualized, evidence-based treatment plans for pediatric patients and their families. Provide ongoing individual and family therapy using short term solution-focused, trauma-informed, and other evidence-based modalities. Monitor treatment progress and adapt interventions as needed to support patient goals. Manage a varied patient caseload in coordination with the Mental Health Lead Therapist. 

    Team Collaboration 

    Partners with physicians, nurse practitioners, and care coordinators to deliver integrated, whole-child care. Participate in multidisciplinary case consultations and contribute clinical expertise to care planning. Facilitate warm handoffs and referrals to community-based services and specialists when appropriate. Support patients and families through transitions between care settings. 

    Documentation & Compliance 

    Document all patient encounters accurately and in a timely manner within our secure Electronic Medical Record (EMR) system. Maintain compliance with HIPAA, Virginia Board of Social Work standards, and PAA policies and procedures. 

    Community & Program Development 

    Contribute to community education initiatives and family-facing resources developed by the mental health team. Provide clinical consultation to staff members as requested, including those without clinical training backgrounds. 

     

    Qualifications 

    Required 

    Master’s degree in social work (MSW) from a CSWE-accredited program. Active LCSW licensure in the Commonwealth of Virginia (or eligibility to obtain within 90 days of hire). Strong clinical assessment, diagnostic, and treatment planning skills. Excellent written and verbal communication skills and the ability to collaborate across disciplines. Demonstrated ability to maintain confidentiality and handle sensitive information with professionalism. Comfort managing an independent caseload in a team-based clinical environment. 

    Preferred 

    3–5+ years of post-licensure clinical experience, ideally with children, adolescents, or families. Experience in a pediatric, primary care, or integrated care setting. Proficiency with Electronic Medical Records (EMR) systems. Bilingual (English/Spanish) strongly valued.
