We are seeking a motivated, organized, and dependable Administrative Assistant to assist leadership in running the day-to-day operations of the practice. Position Summary
The Administrative Assistant will work directly with practice leadership to help oversee daily operations, staff coordination, scheduling, communication, workflow improvement, provider support, and administrative follow-up.
The ideal candidate is friendly, professional, highly organized, and able to work well with physicians, nurse practitioners, physician assistants, scribes, medical assistants, billing teams, facility staff, and administrative personnel.
This role requires someone who can take initiative, communicate clearly, follow through on tasks, and help create a supportive, structured, and family-oriented work environment.
Responsibilities
Assist leadership with daily practice operations and administrative management.
Coordinate provider, scribe, and support staff schedules.
Help manage communication between providers, facilities, administrative staff, billing, and leadership.
Track assignments, follow-ups, pending items, deadlines, and operational priorities.
Support onboarding and training of new staff members.
Assist with provider documentation workflow, EMR access, credentialing follow-up, and administrative coordination.
Help improve systems, workflows, policies, and internal processes.
Monitor staff productivity, attendance, communication, and task completion.
Assist with resolving day-to-day operational issues in a professional and timely manner.
Coordinate with billing, coding, credentialing, compliance, and clinical teams as needed.
Help maintain a positive, organized, and team-focused work environment.
Provide leadership support while promoting accountability, teamwork, and professionalism.
Qualifications
Prior healthcare management, administrative assistant preferred.
Experience working with physicians, nurse practitioners, physician assistants, medical assistants, scribes, or billing teams preferred.
Strong organizational and communication skills.
Ability to multitask and follow through on multiple priorities.
Comfortable using EMR systems, scheduling tools, email, spreadsheets, and practice management platforms.
Strong problem-solving skills and attention to detail.
Professional, friendly, dependable, and team-oriented.
Ability to work independently while keeping leadership updated.
Healthcare administrative experience strongly preferred.
