    Position Summary: The Tent Order Prep associate is responsible for the care and repair of tent tops and side walls. This role is also responsible for the cleaning and maintenance of Tent department inventory to ensure that equipment is prepared to be sent out for client orders.

    Responsibilities:

    Comply with all company policies and procedures while performing the functions of this position. Report to work on all days scheduled at or before the clock-in time required.Dress in a professional manner befitting the position.Maintain a moderate to high energy level while on the job. Attend all meetings as required by management. Keep work area clean, organized, and neat.Pull all needed fabric for the upcoming week.Clean all fabric scheduled to go out.Repair any small holes/tears and keep separate any tent tops needing major repair.Inform supervisor of any damages found.Perform any other duties and responsibilities as assigned.

    Qualifications

    Key Responsibilities

    Accounts Receivable Operations & Collections

    Manage the full accounts receivable lifecycle including invoicing, collections, cash application, credits, and adjustmentsMonitor AR aging and proactively follow up on past‑due accounts via phone and emailPrepare and distribute monthly statements, custom statements, and invoice packages for customersApply check, ACH, wire, and credit card payments accurately across accounting systemsReconcile undeposited funds, suspense accounts, refunds payable, and other balance sheet AR‑related accountsSupport month‑end close activities including AR reconciliations, aging reports, and revenue verification

    Credit Management & Customer Setup

    Review and process customer credit applications and conduct credit researchEstablish and maintain customer credit limits, terms, contracts, and profile dataCommunicate credit decisions and terms to customers and internal sales teamsManage customer supplier portals (e.g., Coupa, Paymode‑X, Wells Fargo, etc.)Complete customer onboarding documentation including W‑9s, vendor forms, insurance requests, and invoicing setupsApply/manage Customer PO’s

    Revenue, Rebates & Reporting

    Create and maintain tracking and rebate line items for customer‑specific revenue programsCalculate and track customer rebates, discounts, and contractual revenue adjustmentsGenerate and distribute AR aging, uncollected funds, and sales reports to leadership and sales teamsVerify AR balances between systems and maintain accurate documentationOversee COI Customer requests

    Systems & Process Management

    Manage AR‑related functionality and issue resolution within accounting and order systemsImport data between systems and ensure data integrityMaintain accurate contracts, reservations, invoices, and customer recordsIdentify and recommend improvements to AR processes, controls, and workflowsDevelop collections processes

    Leadership & Cross‑Functional Support

    Serve as primary escalation point for AR‑related issuesCollaborate closely with Sales to resolve credit holds, order conversions, and account disputesSupport internal audits and documentation requirements

    Perform any other duties, responsibilities, and projects as assigned.
