    Job Description

    Job Description

    The Coding Specialist II reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.

     

    The PB Coding Specialist II performs Current Procedural Terminology (CPT) and International Classification of Diseases, volume 10 (ICD10) coding through abstraction of the medical record with a focus on more complex encounters and/or has expertise with HCPCs procedural codes. Has deep understanding of disease process, A&P and pharmacology. Acts as a key collaborator with Providers and Clinical areas to ensure the medical record accurately reflects the patient’s service. This position trains physicians and other staff regarding documentation, billing and coding, and performs various administrative and clerical duties to support the role’s core function. Also demonstrates expertise to resolve Optum coding edits.

     

     

    RESPONSIBILITIES

     

    Description

    * Utilizes technical coding expertise to reviews the medical record thoroughly, utilizing all available documentation abstract and code physician professional services and diagnosis codes (including anesthesia encounters, operative room and surgical procedural services, invasive procedures and/or drug infusion encounters). Additionally, may include coding for Evaluation and Management services, bedside procedures and diagnostic tests as needed.

    * Follows Official Guidelines and rules in order to assign appropriate CPT, ICD10 codes and modifiers with a minimum of 95% accuracy.

    * Ensures charges are captured by performing various reconciliations (procedure schedules, OR logs and clinical system reports).

    * Provides documentation feedback to physicians.

    * Maintains coding reference information.

    * Trains physicians and other staff regarding documentation, billing and coding.

    * Reviews and communicates new or revised billing and coding guidelines and information.

    * Attends meetings and educational roundtables, communicates pertinent information to physicians and staff.

    * Resolves pre-accounts receivable edits. Identifies repetitive documentation problems as well as system issues.

    * Makes appropriate changes to incorrectly billed services, adds missing unbilled services, provides missing data as appropriate, corrects CPT and ICD9 codes and modifiers. Adds MBO tracking codes as needed.

    * Collaborate with Patient Accounting, PB Billing, and other operational areas to provide coding reimbursement expertise; helps identify and resolve incorrect claim issues and is responsible for drafting letters in order to coordinate appeals.

    * Acts as key point person for Revenue Cycle staff and Account Inquiry Unit staff in obtaining documentation (notes, operative reports, drug treatment plans, etc.). Provides additional code and modifier information to assist with appealing denials. May contact providers for peer-to-peer reviews.

    * Meets established minimum coding productivity and quality standards for each encounter type.

    * May perform other duties as assigned.

    Qualifications

    Required:

    * Registered Health Information Administrator (RHIA), Registered Health Information Technician (RHIT) or Certified Professional Coder (CPC) certification or Certified Coding Specialist (CCS).

    * Zero (0) to two (2) years’ experience in a relevant role.

    * 94% accuracy on organization’s coding test.

     

    Preferred:

    * Bachelor’s degree or Associate’s degree in a Health Information Management program accredited by the Commission on Accreditation for Health Informatics and Information Management Education (CAHIIM).

    * Previous experience with physician coding.

    Responsibilities:

    Consistently meet the current productivity and quality standards in timely resolution of all claim edits, reporting of candidates for bill, outbound compliant claim submission, clinical documentation requirements and any other communication required (verbal or written) regarding claims ensuring timely filing of claims and clean, complete and accurate claims.Consistently meet or exceed productivity standards, targets, error ratios, and reporting requirements assigned by the Patient Accounting Lead Financial Assessor and Operations Coordinator.Timely follow-up and collection of third party payer receivables.     The Sterile Processing Tech II must have thorough knowledge of aseptic techniques and procedures, sterilization techniques and procedures, infection control and work flow principles and requirements, equipment and supply processing; demonstrates and exercises responsible judgment to provide necessary supplies and equipment for the patient care areas.

    RESPONSIBILITIES

    Demonstrates knowledge and use of the Tray Tracking computer system in assigned areas of the department.Decontaminate, disinfect and/or sterilize surgical instruments in compliance with all established policies and procedures including infection control protocols.Inspects, sorts, and processes surgical instrumentation in accordance to policy and procedures.Reports and isolates damaged and missing items to Resource Coordinator and Manager.Assembles and organizes surgical instrument sets according to instrument count sheets.Prepares instrument trays for sterilization by appropriately wrapping or utilizing a sterilization container.Performs quality assurance and biological testing on equipment and documents accordingly.Operates ultrasonic cleaner, washer-decontaminator, heat-sealing apparatus, sterilizers and cart washers within established guidelines.Maintains logs, prepares, checks and records test results. Approves or refuses materials from Sterilizer based on test results.     This Medical Physicist will work in our new Huntley Campus Radiation Oncology Clinic opening this Fall 2026.

    The Medical Physicist is responsible for the general medical physics duties pertaining to operating a radiotherapy clinic. This includes complex treatment planning, patient positioning, radiation protection, machine and patient specific quality assurance in close collaboration with therapists, physicians and dosimetrists. The Medical Physicist will also work closely with partner photon radiotherapy providers and will participate in the acceptance testing and commissioning of the therapy equipment. The Medical Physicists will also be involved with training as well as research and development projects.

    RESPONSIBILITIES

    At the direction of Medical Physics leadership, participates in the commissioning and acceptance testing of all therapy equipment according to all industry standards, all stand and local regulations governing said commissioning, and doing so to meet deadline for completion.Performs daily calibrations for all therapy equipment as assigned.Proficiently utilizes radiation measuring equipment, treatment planning computers, and Record and Verify system.Participates in all internal Dosimetry and multidisciplinary meetings at the center, focusing on continuous quality improvement and measurable feedback.Maintains a current knowledge of proper physics coding and documentation, and assists in training new Physics staff members (physicists and physics support staff) on same.Works with Billing team to improve processes and produce documentation required during account/appeal processes.Ensures a robust Physics component of Mosaiq and utilizes the quality checklist for intra- and interdepartmental communication.Measures, analyzes, and enters data used for treatment planning computer software and tests new versions of software as directed by leadership.Checks accuracy and appropriateness of computerized patient treatment plans performed by dosimetry staff and works in consultation with the physicians to achieve optimal care.Performs and/or assists dosimetry staff with patient-specific radiation measurements and calculations, and assists in the selection and specification of any complex beam devices required to protect critical structures.Performs weekly patient chart checks, as assigned, to verify accuracy.Assists the Center's Radiation Safety Officer in monitoring radiation safety badges and reporting required by hospital, local, and federal agencies.Serves as a physics representative, as assigned, on organization-wide quality assurance and process improvement committees.Performs activities related to treatment planning for dual modality (photon/proton) patients.Participates in research and development projects.Performs other duties as assigned

     

     

    Qualifications

    Required:

    2 years of clinical medical physics experience in radiation oncology (can include clinical training or medical physics residency)Masters Degree in Medical Physics or related fieldRegistered as Therapeutic Radiological Physicist TRP with IEMA within one year of hire. Board certified or eligible within two years. Must remain Board certified

    Preferred:

    3 years photon experienceMaster’s Degree or PhD in Medical PhysicsExcellent computer skills
