    Job DescriptionJob DescriptionOur growing pediatric neuroscience practice is seeking energetic and organized individuals to join our team. This is a full-time position with competitive compensation and benefits! We are looking for two individuals experienced in Medical Front Office and/or Customer Service. We are seeking to fill in openings in both our call center and front office in Morristown and Hamilton, NJ. Applicants should be friendly, compassionate, looking for longevity with a company and eager to learn, and love working with children. Excellent multi-tasking and communication skills are essential.

    Responsibilities: Front Office Associate

    ·         Work Full-time Monday-Friday

    ·         Maintain a professional atmosphere at the front desk and throughout the office.

    ·         Scheduling new patient appointment requests on our website- obtain correct patient demographics and insurance information while scheduling with appropriate provider.

    ·         Make calls to schedule/ reschedule appointments when necessary.

    ·         Scanning documents needed into our EMR system.

    ·         Distributing faxes to the appropriate individual and recording them in the patient’s charts. 

    ·         Handling of any medical records requests while remaining complaint with HIPAA.

    ·         Handling any Fax/email requests from parents and/or provider offices.

    ·         Willing to cover the Call Center when necessary. 

    ·         Other tasks, as necessary.

    Responsibilities: Call Center

    ·         Work Full-Time Monday-Friday 

    ·         Answer, direct, and transfer high volume of incoming calls to appropriate department in a timely, efficient, and professional manner. 

     

     

    ·         Schedule patient appointments- obtain correct patient demographics and insurance information while scheduling with appropriate provider. 

    ·         Answer questions and offer other information, as requested, to provide patient-focused service and a positive impression of the organization. 

    ·         Understanding of when to escalate calls to Nurse/Practice manager.

    ·         Make calls to schedule/ reschedule appointments when necessary.

    ·         Handle any messages in patient charts routed to the front desk.  

    ·         Address any issues or concerns and escalate to management if necessary.

    ·         Able to deal with parents under stress.

    Skills, Qualifications, and Experience: 

    ·         High school diploma or equivalent required

    ·         Minimum 1-year of related experience and/or training is required.

    ·         Proficient computer skills ( i.e. Microsoft Office & Outlook).

    ·         Ability to handle a “Call Center” environment that is fast paced. Work quickly and multi-task.

    ·         Communication skills: ability to effectively present information to patients, physicians, and other employees.

    ·         Fluent in both English and Spanish required.

    Benefits: 401(k) matching Health insurance Paid time off New Jersey Pediatric Neuroscience Institute Position: Clinical Support Staff Medical Assistant NJPNI Clinical Support Staff may consist of MAs, LPNs and RNs. Staff members are responsible for maintaining all licenses as required by state and federal laws. Clinical staff members are responsible for supporting physicians and patients in all aspects of care. All NJPNI staff members are encouraged to participate in continuing education opportunities. We are rapidly growing and expanding and are seeking to hire multiple CMAs for both Full-time and Part-Time positions. For Full-time shifts, we are looking to hire for the following range of shifts: 8am-4pm, 9am-5pm, and 10am-6pm. Responsibilities: Verifies safeguards and secures patient information by interviewing patients; recording medical history; confirming purpose of visit. Obtains all messages from answering service, every morning, and returns patient calls, and notifies physicians of relevant messages. Checking examination rooms every morning for patient safety and comfort issues. If there are problems with heating/ cooling or other issues, notify management immediately. Cleans examination rooms between patients. Ensures examination rooms are fully stocked with medical supplies; notifying clinical manager if supplies need to be replenished. Opening and detailed prepping of physician office notes for the day Prepares patients for examination by performing preliminary physical tests; taking blood pressure, pulse, height, weight, and temperature; reporting patient history summary. Communicates with patients and their families as directed and requested by physicians. Coordinates and reviews physicians and clinical staff schedules for the upcoming 2 weeks, at the end of every week. Notifies physicians and clinical staff if scheduling errors exist. Obtains primary care physicians notes, imaging studies and reports, and other relevant documentation prior to the patients visit. Answer patient phone calls regarding treatment and coordination of care. Asking doctor or APN for further information when required. Assists in scheduling as needed by making arrangements with: insurance; verifying times with patients; preparing charts, pre- admission and consent forms. Perform clinical support for all physicians and NPs as assigned. Provide cross-coverage at front desk reception as needed. Maintains safe, secure, and healthy work environment by following local, state and federal standards and protocols. Keeps equipment and examination rooms in good order, by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling management when needs arise. Maintains current knowledge of, and complies with, established policies and procedures including patient confidentiality, HIPAA.
