SUMMARY: The Administrative Support Associate provides administrative and clerical support to ensure the efficient day-to-day operation of the office. Responsibilities include performing a variety of clerical tasks, maintaining accurate records and documentation, assisting with data entry, filing, correspondence, scheduling, and general office organization. The Administrative Support Associate also supports special projects and assignments as directed, exercising professionalism, attention to detail, and effective communication skills.
In addition to routine clerical responsibilities, the Administrative Support Associate may perform other administrative functions consistent with their skill level, experience, and training. This position may also collaborate with and provide support to other departments on special projects and organizational initiatives in coordination with the Employment Services Department, contributing to overall operational efficiency and team success.
ESSENTIAL DUTIES AND RESPONSIBILTIES include the following:
1. Maintains strict confidentiality of all personnel, members, medical, and financial records in accordance with organizational policies and applicable regulations.
2. Creates new client files, enters client information into the system, and maintains accurate and up-to-date database records.
3. Performs monthly data entry and record updates for Regional Center (RC) individual clients.
4. Completes and processes DS 1972 forms accurately and in a timely manner.
5. Reviews client files regularly to ensure all annual documentation and required forms are current and properly maintained.
6. Prepares monthly Job Coach meeting agendas, training materials, and supporting documentation.
7. Maintains and organizes filing systems for the Employment Services Department, including Supported Employment (SE), Pathways, Direct Placement (DP) and External Situational Assessment (ESA).
8. Assists SE and DP members with completing online job applications.
9. Conducts monthly quality control reviews of member files (minimum of 10 files per month) and submits findings and required documentation to the Program Manager.
10. Conducts monthly quality control reviews of billing records (minimum of 10 files per month) and submits findings and supporting documentation to the Program Manager.
11. Ensures Job Coaches and designated staff submit timesheets accurately and on time, while adhering to Human Resources policies and procedures regarding overtime, vacation, and sick leave usage.
12. Provides administrative and operational support to New Horizons team members as needed to help ensure the highest level of customer service and program effectiveness.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Team Leadership and Group Job Coaching
1. Supervises and works alongside a team of five (including three New Horizons Members) to complete assigned litter and debris removal tasks on highway shoulders and rights-of-way.
2. Orients members to the specific work setting and conditions, including hazards associated with highway work.
3. Develops and manages a daily work schedule to ensure all job duties are completed efficiently and meet CalTrans contractual requirements.
4. Provides ongoing training and coaching to members to ensure job duties are completed to employer (CalTrans) expectations, including the ability to meet the daily/weekly quota for litter pickup.
5. Teaches and reinforces appropriate workplace behavior, attitudes, and safe work practices specific to a highly visible, outdoor setting.
6. Assists Members in developing positive and effective working relationships within the team.
Safety & Contract Management
1. Acts as the team leader for safety; conducts mandatory daily safety briefings, ensuring all team members are fully aware of and comply with proper safety protocols, including the use of personal protective equipment (PPE), high-visibility clothing, and traffic control procedures.
2. Conducts agency safety drills at work locations as directed by NH Training and Safety Manager.
3. Completes Special Incident Reports (SIRs) for supervisor review for incidents involving Crew Members at work sites.
4. Ensures the team is focused, productive, and maintains the required pace to meet all production quotas set forth in the CalTrans contract. ES-Job Coach/ Road Crew Lead Supervisor and Driver-December 2025
5. Transports the team and all necessary equipment to and from the work sites using a New Horizons passenger van.
6. Coordinates cleaning of crew portable restroom, and maintenance of work van.

8. Enters, tracks, and analyzes data to ensure meeting contract requirements and quotas.
Team Lead Responsibilities
1. Plays lead role in coordination efforts between New Horizons and CalTrans.
2. Maintains open, professional, and effective communication with the CalTrans supervisor regarding project progress, site-specific instructions, safety concerns, and any team-related issues.
3. Ensures all required New Horizons and CalTrans documentation is submitted on time and complete to appropriate leadership on both teams.
4. Charged with making decisions in the event of any safety or workplace concerns.
OTHER DUTIES AND RESPONSIBILITIES include the following:
1. Attends meetings and trainings as directed by Regional or Employment Services Manager.
2. Steps in to perform duties of Crew Members on occasion or as-needed basis to ensure safety of the crew and fulfilment of contractual obligations.
3. Fills other job coaching or driving shifts as assigned to maintain 40 hours/week full-time status.
4. Supports the Agency’s mission and partners with others to accomplish the mission.
5. Maintains the highest professional and ethical standards at all times.
6. Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES: Directly supervises assigned personnel, including but not limited to Crew Members (both with and without disabilities), work-site Job Coaches, and Team Assistants. Carries out supervisory responsibilities in accordance with the agency’s policies and applicable laws. Responsibilities may include interviewing and training employees; planning, assigning, and directing work; appraising performance; addressing and resolving personnel issues.
