    Schedule: Flexible Part-Time scheduling 2 days/week – TMS Services only, Full-Time Mon-Fri, 8a-5p - TMS Services and Med Management

    No prior TMS experience required. We will train you!


    We are a patient-focused, dynamic, rapidly growing private company specializing in outpatient TMS Therapy for those suffering from Major Depression, Anxiety, OCD, PTSD, and other behavioral issues. NeuroStim TMS Centers treat patients with a breakthrough, FDA cleared medical device without medication and harmful side effects. Transcranial Magnetic Stimulation (TMS) is a non-invasive form of brain stimulation that uses an MRI-type coil to send magnetic pulses to improve neuronal connectivity and brain function. We seek a highly motivated Psychiatric Nurse Practitioner to become part of our dynamic team. Pay is commensurate with experience and your potential for growth and development within this position.


    These are either a Part-Time or Full-Time Position,

    Part-Time (1-2 days per week) only requires TMS Services (we provide on the job training!)Full-Time requires both Med Management and TMS services (we provide on the job training!)


    PMHNP Responsibilities

    Clinical Care

    Conduct psychiatric evaluations and comprehensive assessments.Provide ongoing medication management for assigned caseload as needed.Develop treatment plans that align with client goals and clinical best practices.Monitor medication response, side effects, contraindications, and risk factors.Maintain timely and accurate documentation in the EMR.Prescriptions for TMS Therapy & other treatmentsPerform TMS cortical mappingsOversee staff technicians who perform daily TMS treatments

    Collaboration

    Coordinate care with internal therapists, psychologists, and outside referents.Participate in case consultation and interdisciplinary discussion as needed.Communicate treatment progress and care plans with clients and families when appropriate.

    Patient Experience & Clinical Contribution

    Provide empathetic, professional care to clients of varying backgrounds.Utilize evidence-based approaches to support symptom reduction and stability.Contribute to a supportive, growth-focused clinical environment.Engage in continuing education to maintain licensure and strengthen clinical practice.

    The Area Operations Manager is the business leader and responsible for the oversight of their designated area/clinics to foster continued functionality, increased efficiency and growth of clinics. The Area Manager will also collaborate with other Area Managers to oversee the identification and engagement of ‘Community Influencers’.     Area Manager Responsibilities

    Clinic Leadership & Operational Performance

    Lead and develop Clinic Coordinators across the assigned region, providing coaching, accountability, and performance management to support clinic growth and operational excellence. Oversee daily clinic operations to ensure consistent execution of company policies, operational standards, and patient care expectations. Monitor and analyze key performance indicators including patient starts, clinic volume, referrals, conversions, utilization, and Clinic Scorecard metrics to drive continuous improvement. Identify operational trends, barriers, and opportunities, implementing action plans to improve efficiency, productivity, and overall clinic performance. Execute organizational initiatives, process improvements, and operational changes to support scalable growth across the region.

    Financial Performance & Business Growth

    Own the financial performance of the assigned area, driving revenue growth while managing operational expenses and profitability.Develop and execute strategies to increase patient volume, strengthen referral relationships, and expand market presence across all clinics.Collaborate with leadership to identify growth opportunities, advocate for necessary resources, and support strategic growth initiatives.Provide regular business updates highlighting territory performance, growth opportunities, operational risks, and competitive insights.

    Team Leadership & Employee Relations

    Foster a high-performing, patient-centered culture through coaching, mentorship, and ongoing development of Clinic Coordinators.Partner with Human Resources to address employee relations matters, including coaching, investigations, corrective action, performance management, and terminations as appropriate.Support Clinic Coordinators in resolving escalated patient concerns and grievances, partnering with Executive Leadership and the Medical Director when necessary.Ensure communication is maintained cooperatively and professionally with all levels of staff, clients and referral sources. In addition, the Area Manager will communicate openly, honestly, and constructively; treat employees, and patients, and providers with dignity, respect, and courtesy; address concerns and problems regarding communication, trust, and respect, helping to resolve issues and maintain professional relationships.Execute changes to NeuroStim policies and procedures as recommended to improve operations, expenditures, and the overall efficiency of the assigned area.

    Clinic Operations, Quality & Compliance

    Ensure clinics maintain operational readiness, including facility appearance, cleanliness, equipment functionality, inventory management, and supply availability.Partner with the Director of Clinical Operations and IT to maintain EHR functionality, troubleshoot operational issues, and ensure business continuity.Monitor compliance with organizational policies, patient care standards, quality initiatives, and regulatory requirements across all assigned clinics.Ensure consistent delivery of exceptional patient experiences while meeting or exceeding NeuroStim's operational, quality, and patient satisfaction standards.

    Area Manager Required Qualifications

    Bachelor's degree in Healthcare Administration, Business Administration, Healthcare Management, or a related field preferred; equivalent combination of education and experience will be considered. Minimum of 2–3 years of healthcare operations or clinic management experience, with experience overseeing multiple locations or managing high-volume outpatient clinics preferred. Demonstrated success leading, coaching, and developing clinic staff to achieve operational, financial, and patient experience goals. Experience monitoring clinic performance metrics, patient volume, scheduling efficiency, and operational workflows to drive continuous improvement. Strong understanding of clinic operations, including patient scheduling, workflow optimization, inventory management, and facility oversight. Experience supporting financial performance through budget awareness, expense management, and achievement of revenue and productivity goals. Proven ability to build positive relationships with providers, referral sources, patients, and cross-functional teams. Strong problem-solving, organizational, and decision-making skills with the ability to prioritize competing demands in a fast-paced environment. Experience addressing employee performance concerns and partnering with Human Resources on employee relations matters. Proficiency with Electronic Health Record (EHR) systems, Microsoft Office Suite, and operational reporting tools. Knowledge of HIPAA, healthcare compliance requirements, and quality standards. Excellent written and verbal communication skills with the ability to effectively communicate across all levels of the organization. Ability to travel regularly between assigned clinic locations. Valid driver's license, reliable transportation, and the ability to meet company driving requirements.

    Patient Progression & Experience (25-35%)

    Serve as primary operational point of contact for patients across the treatment lifecycle, coordinating with Admissions and Insurance on onboarding, authorization, and treatment initiation.Manage medical records requests (clearance, medication history, outside provider/facility records) in compliance with HIPAA and organization policies.Own patient follow-up and re-engagement to drive retention and continuity of care, including scheduling consultations, treatment starts, and follow-up visits.Support patient satisfaction initiatives (Google reviews, exit surveys, experience tracking) and address/escalate patient concerns professionally.

    Team Leadership & Staff Oversight (10-15%)

    Provide day-to-day leadership and operational oversight of clinic staff to drive workflow efficiency, accountability, and patient experience.Own staff attendance, punctuality, schedule adherence, and overtime management.Coach and address routine performance/professionalism issues at the clinic level; escalate recurring or pattern concerns to Area Managers per policy.Promote a culture of accountability, teamwork, and operational excellence.

    Provider, Team & Financial Coordination (15-20%)

    Maintain ongoing provider communication on patient progress via email, weekly check-ins, and monthly team meetings; identify opportunities to improve documentation and provider communication to support timely TMS authorization approvals.Collaborate cross-functionally with Admissions, Insurance, Technicians, and Leadership to support clinic efficiency and continuity of care.Collect patient payments, manage recurring payments in Transaction Express, and support balance tracking and collections.Conduct routine chart audits and quality checks for documentation compliance and accuracy; maintain clinic inventory and coordinate supply ordering.Ensure compliance with HIPAA and applicable federal/state regulations.

    Limited Clinical Support & Insurance Authorization (Up to 10%)

    Provide limited, appropriately trained support to clinical staff and technician coverage as needed for operational continuity; direct patient care is secondary to operational/administrative duties.Maintain working knowledge of insurance guidelines and authorization timelines; track patients through the process and communicate delays or next steps.Coordinate peer-to-peer reviews for insurance denials and schedule patients once approvals are received.

    TMS Clinic Coordinator

    Location: Onsite - Bellevue, WA Clinic

    Employment Type: Full-Time, W-2 Employee, Non-Exempt

    Hourly Rate: $26-29/hr

    Schedule/Hours: Flexible Schedule up to 40 hours/week; 7:00 AM-5:30 PM

    NeuroStim TMS is seeking a highly organized, compassionate, and proactive TMS Clinic Coordinator to support the daily operations of our Bellevue clinic. As a key leader in your clinic, this role combines patient coordination, clinic operations, and hands-on support in a collaborative outpatient mental health setting.


    You’ll play an essential role in creating a smooth, welcoming experience for patients on their care journey while helping our clinical team deliver exceptional care. Ideal candidates are organized, dependable, service-oriented, and comfortable balancing administrative responsibilities with patient interaction in a fast-paced healthcare environment.     TMS Coordinator Responsibilities

    Greet and support patients throughout their visits with warmth and professionalism.Collect and manage patient payments using Transaction Express, including setting up recurring payment plans.Process New Patient Packets (NPP) and collect required documentation and signatures (e.g., ROI forms).Maintain clinic inventory, order supplies, and keep the clinic environment clean and organized.Schedule patient appointments and manage follow-ups with accuracy and urgency.Perform regular chart audits and assist with administrative provider documentation.Monitor and report patient concerns, care feedback, and operational issues to leadership.Encourage patients to leave Google reviews to support clinic awareness.Assist with TMS equipment setup and provide treatment coverage as needed (training provided).Support technicians with clinical flow and ensure sessions run smoothly.Act as a leader within your clinic, setting a tone of accountability, professionalism, and positivityServe as a resource for clinic teammates and assist with onboarding new staff.Foster a culture of compassion, communication, and collaboration—supporting both patients and peers.

    TMS Coordinator Qualifications

    Bachelor’s degree; psychology or a related field strongly preferred. (Relevant experience may be substituted in place of educational requirements)Minimum of 2 years of experience in a leadership, supervisory, or team lead role.Prior experience in a healthcare, behavioral health, or medical office setting is highly valued.Excellent communication and organizational skills.Ability to stay calm and focused in a dynamic, patient-facing environment.Tech-savvy and confident using electronic health systems and payment platforms.A commitment to delivering compassionate, high-quality care.
