    Job Responsibilities:

    The Education Services Representative will be responsible for the accounts of all students of National Aviation Academy. Duties are, but not limited to:

    Maintenance of students records to include filing, updating attendance, tracking missed time from class and make-up hours.

    Tracking student academic progress.

    Creating report cards and Official Transcripts.

    Preparing student Change of Status documents.

    Contacting absent students.

    Coordinate with Re-entry team.

    Updating census through excel spreadsheets.

    Produce accurate and timely information to Education Management and instructional staff.

    Other duties as assigned.

    The Education Services Representative must be highly organized, flexible, task oriented, a team player, and is able to follow directions from the Education Services Manager. The minimum skills required for Education Services Representatives are as follows:

    Basic understanding of Title IV Federal Aid at Clock Hour schools

    Proficient in Microsoft Office skills: Word, Excel, Email/Outlook and internet use.

    Ability to address student inquiries regarding Academic records

    Knowledge and adherence to FERPA regulations.

    Campus-vue/Anthology software knowledge is preferred but not required.

    About the Position

    National Aviation Academy is seeking a motivated, energetic, and goal-driven Admissions Representative to join our team. This position plays a vital role in helping prospective students explore career opportunities in aviation maintenance and guiding qualified candidates through the admissions and enrollment process.

    The ideal candidate is a strong communicator who enjoys working with people, excels at relationship-building, and is passionate about helping individuals achieve their educational and career goals. This position combines admissions, student recruitment, lead generation, community outreach, and event participation to support NAA's enrollment objectives.

    Position Summary

    Admissions Representatives assess prospective students' interests, career goals, and qualifications while providing information about National Aviation Academy programs and the aviation industry. Representatives are expected to generate leads, conduct interviews, maintain ongoing communication with prospective students, and assist individuals through the enrollment process from inquiry to start date.

    This position requires a high degree of professionalism, discretion, independent judgment, and the ability to represent National Aviation Academy both on campus and throughout the community.

    Essential Responsibilities

    Admissions & Recruitment

    Serve as the first point of contact for prospective students and families, providing an outstanding customer experience throughout every stage of the admissions process

    Place the needs of the student first by actively listening, building trust, and helping each individual make an informed educational and career decision that aligns with their goals and interests.
    Guide applicants through the admissions and enrollment process from initial inquiry through program start, ensuring a supportive, professional, and positive experience.
    Deliver exceptional customer service by responding promptly to inquiries, maintaining consistent communication, and providing accurate information regarding programs, career opportunities, financial aid resources, and enrollment requirements.
    Conduct comprehensive interviews to assess student needs, interests, educational background, career aspirations, and overall fit for National Aviation Academy and the aviation industry.
    Act as a trusted advisor and advocate for prospective students by identifying their goals and helping them overcome barriers that may impact their ability to enroll and succeed.
    Explain National Aviation Academy programs, career opportunities, employment outlooks, and the long-term benefits of training in the aviation industry.
    Conduct engaging campus tours and present information about classrooms, laboratories, student services, and hangar facilities.
    Follow up consistently with prospective students through phone calls, emails, text messages, virtual meetings, and in-person appointments to provide guidance and support throughout the decision-making process.
    Maintain communication with active students to ensure they feel supported, connected, and confident throughout their educational journey.
    Demonstrate empathy, professionalism, and a genuine commitment to student success in all interactions.
    Collaborate with Financial Aid, Education, Student Services, Career Services, and other departments to ensure a seamless and student-centered enrollment experience.
    Assist prospective students in determining whether National Aviation Academy and the aviation industry are the right fit for their personal and professional goals.
    Ensure all admissions activities adhere to company policies, ethical standards, accreditation requirements, and applicable federal and state regulations.
    Consistently achieve and exceed goals related to calls, appointments, interviews, enrollments, and student starts while maintaining a student-first, service-focused approach.
    Foster a positive work environment that prioritizes student satisfaction, teamwork, integrity, and excellence in service.

    Lead Generation & Community Outreach

    Generate, develop, and maintain a pipeline of prospective students through personal lead generation activities.
    Represent National Aviation Academy at recruitment and community outreach events.
    Attend and recruit prospective students at high school career fairs, college and career fairs, military career fairs, veteran events, job fairs, workforce development events, aviation events, trade shows, community festivals, expos, and other lead-generating opportunities.
    Develop relationships with high school counselors, career centers, military education offices, workforce agencies, community organizations, employers, and referral partners.

    Event Participation

    Attend and assist with campus events including Open Houses, Graduations, Information Sessions, Student Appreciation Events, and other special events.
    Plan, coordinate, and participate in on-campus and off-campus recruitment activities.
    Transport, organize, inventory, set up, and break down recruitment displays, promotional materials, marketing collateral, and event equipment.
    Ensure recruiting displays and presentations are professional, accurate, and representative of the institution.
    Assist in executing successful events that enhance student recruitment and brand awareness.

    Travel Requirements

    Regular local and regional travel is required.
    Must be willing and able to travel overnight as business needs dictate.
    Occasional travel may require being away from home overnight, for several consecutive days, or up to one week at a time.
    Must possess the flexibility to work occasional evening and weekend events as required.
    Event schedules may include early morning setup, late evening recruitment events, weekend career fairs, military outreach events, community programs, and special enrollment activities.
    Must be comfortable traveling independently and representing the institution professionally while off campus.

    Additional Responsibilities

    Attend all required training, meetings, and professional development sessions.
    Utilize approved admissions materials and processes during interviews and presentations.
    Maintain accurate records and documentation related to leads, appointments, enrollments, and outreach efforts.
    Demonstrate initiative, professionalism, and a student-first approach at all times.
    Perform additional duties and special projects as assigned by management.

    Required Education & Experience

    High School Diploma or GED required.
    Postsecondary degree preferred.
    Minimum of two (2) years of customer service experience preferred.
    Minimum of two (2) years of admissions, enrollment, recruiting, sales, or related experience Required.
    Experience presenting to groups, conducting outreach activities, or participating in recruitment events preferred.
    Proficiency with Microsoft Office 365 and related technology preferred.
    Basic understanding of internet-based communication and CRM systems preferred.

    Work Environment

    This position is primarily based on campus but includes regular travel to recruiting events, schools, military installations, community organizations, and workforce development locations. Admissions Representatives should expect a combination of office work, student interaction, field recruitment activities, public speaking opportunities, and event participation throughout the year.

    Ability to work legally in the United States.

    Pay: $55,000.00 - $60,000.00 per year
