Position Summary:
We are seeking a highly organized, detail-oriented, and proactive Client Services Administrator to join our CPA office. The ideal candidate will be the backbone of our administrative operations, providing essential support to our CPAs and staff, ensuring smooth office functionality, and contributing to a positive client experience. This role requires discretion, a strong work ethic, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Key Responsibilities include:
Client communication
Serve as the main point of contact for clients, responding to inquiries and providing information about services.
Account Management
Maintain accurate client records.
Maintain and update client databases and contact information.
Assist with onboarding new clients, including setting up files and initial communications. Organize and maintain both physical and electronic filing systems, ensuring confidentiality and easy retrieval of documents.
Assist with the preparation and assembly of tax returns, financial statements, and other client deliverables.
Process client payments and assist with invoice collections
Administrative Support
Schedule meetings and provide general administrative assistance.
Perform general administrative duties, including filing (digital and physical), scanning, copying, and faxing.
Manage incoming and outgoing mail, including courier services.
Order and maintain office supplies, ensuring adequate stock levels.
Maintain office equipment (copiers, printers, etc.) and coordinate repairs as needed.
Provide administrative support to CPAs and other team members as requested.
Qualifications:
· High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
· 1-3 years of administrative assistant experience, preferably in a professional office environment (CPA firm, law firm, financial services a plus).
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is essential.
· Experience with accounting software e.g., QuickBooks, Lacerte) is a significant advantage.
· Excellent written and verbal communication skills.
· Strong organizational skills and attention to detail.
· Ability to prioritize tasks and manage time effectively in a deadline-driven environment.
· Professional demeanor and strong interpersonal skills.
· Ability to work independently and as part of a team.
· High level of integrity and ability to maintain confidentiality.
· Fluency in English and Spanish is a plus.
Physical Requirements:
· Ability to sit for extended periods.
· Ability to lift and carry up to 10 pounds occasionally.
· Manual dexterity to operate office equipment.
