    Salary Range: $61,229.00 - $73,474.80 annually

    The Office and Facilities Manager is responsible for providing office and business management services including management of front desk functions at MHR's main administrative office, facilities management for all MHR locations, managing agency records, coordinating administrative support functions with other managers and providing administrative support to the board of directors. This position supervises the Receptionist.

    Main Duties and Responsibilities:

    Manage and coordinate reception and administrative support functions. Supervise the Territorial Road receptionist. Assist in covering for the Administrative Assistant as needed to open clients in the electronic medical record (EMR), scan documents into the EMR, and manage Ramsey Targeted Case Management (TCM) faxes. Manage agency records and coordinate administrative activities. Provide office and business management services to all MHR locations. Oversee vendor selection for office supplies; inform staff at other locations with responsibility for ordering supplies what vendors are approved, and what supplies and items need approval before purchasing. Maintain the Admin On-Call staff schedule. Oversee and manage office equipment purchasing, maintenance and repair for all MHR locations. Oversee management of mail at main administrative office. Provide notary public services as needed. Provide and coordinate facilities management for all MHR locations. Actively participate in and manage facility plans for all MHR locations, such as lease renewals, remodeling projects and relocations; communicate and coordinate with other managers as needed. Maintain knowledge of terms of all leases, expiration dates, MHR and landlord responsibilities for maintenance and repairs; maintain current documentation of building management contacts. Research, obtain and assess bids and quotes, obtain references and recommend facilities and maintenance service providers, ensuring consideration of minority- and women-owned business candidates. Arrange services at all locations as needed, such as cleaning services, snow removal, grounds keeping, water, mail delivery, courier or delivery services, signage, door security, and other services as needed. Provide administrative support to the Board of Directors.Must be able to travel to MHR locations in the metro area and Duluth as needed.


    Minimum Education and Experience:

    Vocational or technical degree in business administration and three years of administrative and facilities experience including support at the executive level, or at least five years of equivalent experience. Must be a licensed Minnesota notary or be eligible to become licensed. Read Less
