Basic Function:
The Graduate Student Accounts Receivable & Office Support role is responsible for managing billing, receivables, and collections processes for graduate and select non-degree programs. This position serves as a primary point of contact for students and families regarding account balances, payment options, and billing inquiries, requiring strong customer service and problem-solving skills. This role supports the accuracy, timeliness, and compliance of student financial transactions while collaborating closely with Financial Aid, the Registrar, and other campus partners. The position also contributes to operational support within the Business Office, including reporting, system updates, and auxiliary services.
Responsibilities:
Accounts Receivable, Billing & CollectionsManage billing, accounts receivable, and collections processes for graduate and pre-college programsGenerate and maintain accurate billing for tuition, housing, meal plans, lab fees, and other student charges
Monitor student accounts and proactively communicate with students and families regarding balances and payment options
Process payments, refunds, and adjustments in compliance with federal regulations and institutional policies
Work with external collection agencies to place and manage past-due accounts, including tracking and documentation
Student Account Support & Customer ServiceServe as a primary point of contact for student account inquiries, providing clear, professional, and solution-oriented support
Assist with payment plans and third-party billing arrangements
Facilitate transcript requests and support related account clearance processes
Maintain a high level of responsiveness and professionalism in all communications
Systems, Data Management & ReportingMaintain and update student account data across systems, including Jenzabar, Slate, and Transact Cashnet
Create receipts, journal entries, and miscellaneous transactions to ensure accurate financial records
Prepare accounts receivable reports, analysis, and audit schedules
Update departmental documents, forms, and rate sheets annually
Compliance & Cross-Functional CollaborationEnsure strict adherence to federal, state, and institutional regulations, including Title IV and FERPA
Collaborate closely with Financial Aid and the Registrar to ensure accuracy of student financial records
Update student charges as needed throughout the semester (e.g., housing or enrollment changes)
Identify opportunities to improve and streamline A/R processes and workflows
Auxiliary & Office Support FunctionsManage meal plan administration in Blackboard for students and employeesOversee the college merchandise store and pop-up retail operations
Process online merchandise orders, including fulfillment, shipping, and inventory tracking
Qualifications:
Bachelor’s degree in Accounting, Finance, Business Administration, or related field required; equivalent experience may be considered
Experience:
2–4 years of experience in accounts receivable, billing, collections, or general accounting required
Experience in a customer-facing financial role required, including handling sensitive conversations related to balances, payment plans, or past-due accounts
Experience working in a high-volume, deadline-driven environment with cyclical billing periods required
Experience processing payments, refunds, and account adjustments in accordance with institutional policies and applicable regulations preferred
Experience working with third-party payment plans, sponsorships, or external billing arrangements preferred
Experience in maintaining and reconciling accounts receivable subledgers preferred
Experience supporting audits or preparing documentation for financial reviews preferred
Experience in higher education or nonprofit environments preferred
Experience working with student information systems, billing platforms, or financial systems (e.g., Jenzabar, Cashnet, Blackboard, or similar systems) preferred
Familiarity with federal financial aid regulations (e.g., Title IV) and FERPA preferred

Essential Functions & Work Environment

Basic Function:
The Assistant Director of Continuing & Professional Studies supports the Director of Continuing & Professional Studies in managing and advancing the department's programs, including adult + youth education, Pre-College, and registration. This role oversees program operations, enhances student and faculty experience, and ensures effective communication and coordination across the department. The Assistant Director is instrumental in providing high-quality customer service, supporting program development, and maintaining accurate records.
Responsibilities:
Oversee Program Operations: Manage logistics for Continuing Studies and Pre-College programs, including registration, keys, packets, classroom setups, and communication with key stakeholders to ensure seamless operations.
Support Faculty and Students: Serve as a primary point of contact for faculty and students, providing guidance, support, and assistance with course logistics, registrations, and departmental policies.
Develop and Expand Programs: Collaborate with the Director to plan, develop, and implement new course offerings that align with the institution’s mission and student interests.
Lead Pre-College Program Administration: Oversee all aspects of the Pre-College program, including policy development and communication with families to create a cohesive and enriching experience.
Coordinate Marketing and Recruitment Efforts: Assist with targeted marketing campaigns, proofread and edit promotional materials, contribute to social media strategies, and represent the department at events, including open houses and recruitment activities.
Maintain Data and Records: Manage student database systems with high accuracy, including data entry, tracking registrations, managing waiting lists, and generating reports.
Enhance Community Engagement: Visit studio classes to support faculty and students, document activities for promotional use, and foster a strong sense of community within the department.
Foster Collaboration Across Departments: Work closely with Student Life, Residential Education, Admissions, and other teams to align Continuing Studies and Pre-College programs with institutional goals and resources.

Qualifications:
A bachelor’s degree in education, arts administration, business, or a related field or equivalent work experience is required.
Experience:
Minimum of 3-5 years of experience in program management, continuing education, or a related field, preferably within higher education or the arts;
Proven track record of managing multiple programs, coordinating logistics, and meeting deadlines;
Experience working with diverse populations, including youth and adult learners;
Proficiency in using database management systems and tools such as Microsoft Office Suite, Google Workspace, and CRM software.
Demonstrated success in developing and implementing marketing and recruitment strategies.
Skills and Abilities:
Strong ability to manage complex operations, prioritize tasks, and oversee multiple projects simultaneously;
Excellent written and verbal communication skills, including crafting clear, professional emails, reports, and

POSITION SUMMARY AND RESPONSIBILITIES
Maine College of Art and Design is currently accepting applications for a part-time faculty member in the woodworking & furniture design department. We seek an enthusiastic and dedicated teacher who exhibits a high degree of professionalism, a strong commitment to students, and demonstrates the ability to motivate and educate engagingly. Positions are contingent upon need each semester as determined by student enrollment levels, current course offerings, and demand driven by graduation requirements.
Duties and Responsibilities:
Teach one or more courses in Woodworking & Furniture Design per semester.
Teach on schedules that may include daytime and evening.
Follow the Department Chair's guidelines to ensure consistent content coverage and student experience across multiple course sections.
Administer, grade, and provide feedback promptly to monitor student mastery and progress through a course.
Meet established deadlines to submit student mid-term and final course grades.
Maintain accurate class attendance records.
Conduct assigned classes in the area of employment per the catalog description, the course syllabi, and the stipulations of the College.
Must be reasonably accessible to students for course consultation and feedback through one-on-one or group meetings and/or e-mail.
When possible, participate professionally in department, section, and college meetings.
Observe, support, and enforce the regulations, policies, and programs of the Department and College.
Foster a positive working environment free from harassment, prejudice, and/or bias.
Individualized attention and effective teaching are hallmarks of a MECA&D education; therefore, a palpable engagement with pedagogy, with a focus on continually improving the learning environment, is required.
QUALIFICATIONS
An MFA in Woodworking & Furniture Design is preferred, but a BFA with relevant experience will be considered. To fulfill the criteria of the immediate course in Fall 2026, the candidate must have experience in advanced joinery and be well-versed in the technical, formal, and conceptual considerations of creating a diverse portfolio of objects made within the wood studio. For the Adjunct Pool, candidates must have in-depth knowledge of the broad technical, historical, and conceptual aspects of the woodworking field. All applicants must reside in, or be able to commute to, Portland, Maine, to deliver in-person instruction.
Preferred Qualifications Include:
An MFA is strongly preferred
Previous teaching experience in higher education
Demonstrate excellence in undergraduate teaching with knowledge of historical traditions and current trends in woodworking & furniture design
A high level of skill in advanced joinery and construction methods in wood.
The ability and desire to teach across a range of undergraduate woodworking courses.
Demonstrated skill in effective written and oral communication.
Skilled in technically and conceptually critiquing art, able to challenge and encourage students to become better artists through critique and conversation.
Experience working with students of culturally and socially diverse backgrounds.
COMPENSATION & BENEFITS
