Responsibilities
Answer and direct phone callsMonthly BillingGeneral BookkeepingOrganize and schedule appointmentsWrite and distribute email, correspondence memos, letters, faxes and formsAssist in the preparation of regularly scheduled reportsMaintain a filing systemDocument scanning and report bindingInvoicing and accounts receivable and payable collectionUpdate and maintain office policies and proceduresMaintain contact lists, including subcontractor's W9 and COI updatesSubmit and reconcile expense reports within QuickBooks software
Skills
Knowledge of office management systems and proceduresWorking knowledge of office equipment, like printers and fax machinesProficiency in MS Office (MS Excel in particular)Experience in QuickBooks (required)Excellent time management skills and the ability to prioritize workAttention to detail and problem solving skillsStrong organizational skills with the ability to multi-taskHigh School DegreeCollege Degree preferredFluent in Spanish (a plus)
