Job DescriptionJob DescriptionWe are seeking a detail-oriented Payroll & Mortgage Operations Specialist. This role combines payroll administration, mortgage funding support, and accounting operations to ensure accurate financial transactions, regulatory compliance, and exceptional internal customer service. The ideal candidate will have experience processing multi-state payroll, supporting mortgage funding activities, and maintaining accounting records in a fast-paced environment.
Key ResponsibilitiesPayroll & Mortgage OperationsProcess and support multi-state payroll activities, ensuring accuracy and compliance with federal, state, and local regulations.Assist with mortgage funding operations, loan disbursements, funding documentation, and transaction tracking.Review payroll data, deductions, taxes, and employee records to ensure timely and accurate processing.Respond to payroll and funding-related inquiries from employees, borrowers, and internal stakeholders.
Accounting & Financial OperationsManage accounts payable processes, including invoice review, payment processing, ACH transactions, and vendor maintenance.Monitor outgoing cash flow and ensure timely payment of company obligations.Maintain and reconcile general ledger accounts, researching and resolving discrepancies as needed.Support month-end close activities through journal entries, account reconciliations, and financial reporting.Track fixed assets, prepaid expenses, depreciation, and amortization schedules.Assist with vendor tax reporting requirements, including annual 1099 preparation and distribution.Review and reconcile company credit card transactions and expense reporting activities.
Compliance & Process ImprovementEnsure payroll, funding, and accounting processes comply with company policies and applicable regulations.Maintain accurate documentation and audit-ready records.Identify process improvement opportunities that increase efficiency and accuracy.Collaborate with Accounting, Finance, Payroll, and Operations teams to support organizational goals.
QualificationsRequiredMinimum of 2 years of payroll processing experience.Experience with multi-state payroll administration.Experience supporting mortgage funding, loan funding, mortgage operations, or mortgage servicing functions.Strong understanding of payroll taxes, deductions, and compliance requirements.Experience with accounts payable, reconciliations, and general ledger activities.Proficiency with Microsoft Excel and accounting or payroll software.Strong analytical, organizational, and problem-solving skills.Excellent attention to detail and ability to prioritize multiple responsibilities.
PreferredBachelor's degree in Accounting, Finance, Business Administration, or a related field.Mortgage industry experience.Experience with payroll systems such as ADP, Workday, Paylocity, UKG, or similar platforms.Knowledge of fixed assets, month-end close processes, and financial reporting.
Pay Details: $25.00 to $31.00 per hour
