    Job Summary:

    Kovitz Shifrin Nesbit is growing! A leading and well-established law firm based in Illinois, is seeking a Client Representative for our Indianapolis, IN location. As a Client Representative, you'll be at the heart of our operations, working with homeowners, property managers, and attorneys to facilitate payments, manage collections, and ensure timely resolution of outstanding accounts.  From preparing demand letters to managing cases, you’ll use your project management skills to juggle multiple priorities, deadlines, and deliverables while keeping our clients’ needs front and center.     The starting hourly rate for this role is $27.47, contingent upon level of legal experience. The business hours for this non-exempt, in-office position are 8:30am to 4:30pm, Monday- Friday, and it follows a 35-hour workweek.

    Duties/Responsibilities:

    ·         Prepare demand letters, notices, and documentation.

    ·         Communicate with attorneys, homeowners, board members, property managers, and other parties.

    ·         Respond and resolve requests/issues reported by clients and/or third parties.

    ·         Provide customer service to clients and management companies.

    ·         Docket appropriate dates and details with timely follow up. 

    ·         Maintain clear and organized notes detailing daily activity on accounts in firm database.

    ·         Enter billing for services and expenses incurred.

    ·         Process payments received from debtors and third parties.

    ·         E-file court documents.

    ·         Assist attorneys with preparing files for court hearings.

    ·         Complete mail service for lawsuits.

    ·         Other duties as assigned.

     

     

    Qualifications & Required Skills:

     

    Preferred:      

    ·         Project management skills.

    ·         Post-secondary education.

    ·         Intermediate experience with Microsoft Office (Outlook, Word, Excel).

    ·         Experience with Adobe Acrobat.

     

    Required:

    ·         2+ years of administrative office experience.

    ·         Strong organizational skills, attention to detail, and accuracy.

    ·         Excellent verbal, written, and interpersonal communication skills, with professional telephone etiquette.

    ·         Team player who can work independently, prioritize, multi-task, and manage time effectively in a fast-paced environment.

    ·         Ability to analyze basic legal documents and learn software of the firm.

    ·         Ability to coordinate communication and workflows.

    ·         Proactive problem-solver with strong analytical skills.

Must have strong organizational, interpersonal, and communication skills. Must be comfortable working independently yet be a team player. Must be able to efficiently manage multiple projects and exercise good judgment in dealing with highly confidential matters.

    The starting hourly rate for this position is $30.22, contingent up level of experience.     Duties/Responsibilities:

    ·         Prepare and distribute tax appeal invoices and denial letters.

    ·         Manage the Appeal.Tax website.

    ·         Provide support to the Tax Department for assessment appeals.

    ·         Review appeal documentation for accuracy.

    ·         Scan and profile appeal documentation into the document management system (iManage).

    ·         Obtain PIN numbers from the appropriate sources.

    ·         Prepare, update, and maintain assigned tax databases.

    ·         Organize and accurately input information into tax software and databases.

    ·         Assist attorneys with large document production projects.

    ·         Prepare Freedom of Information Act (FOIA) requests.

    Qualifications:

    ·         2-4 years of law firm/legal experience, required.

    ·         1-3 years of administrative Real Estate Tax experience, preferred.

    ·         Knowledge of Cook County Recorder of Deeds and the Cook County Assessor websites.

    ·         General computer skills with experience using Microsoft Office Suite, Access, and Adobe Acrobat.

    ·         iManage experience a plus!

    ·         Ability to learn specialized software of the firm.

    ·         Must be able to type >50 wpm with >90% accuracy.

    ·         Strong organizational skills with an ability to multi-task

    Duties/Responsibilities

    ·         Draft engagement and introductory letters for new litigation matters.

    ·         Coordinate the intake and setup of new litigation matters by reviewing Litigation Approval Forms for completeness, obtaining required documentation, and ensuring timely matter creation.

    ·         Assign BOC/BCV Litigation Approvals to the appropriate attorney and monitor assignments for timely processing.

    Qualifications

    ·         Previous experience in a law firm or legal environment preferred.

    ·         Experience supporting attorneys in a litigation practice preferred.

    ·         Working knowledge of legal terminology, court procedures, and the litigation process preferred.

    ·         Strong organizational, time management, and prioritization skills, with the ability to manage multiple assignments and meet deadlines in a fast-paced environment.

    ·         Excellent attention to detail, accuracy, and proofreading skills.

    ·         Strong written and verbal communication skills.

    Duties/Responsibilities:

    ·         Provide legal representation to Condominium and Homeowner Associations on a wide range of governance, operational, and owner-related matters.

    ·         Advise Boards of Directors on legal issues, governance, compliance, and interpretation of governing documents and applicable statutes.

    ·         Conduct legal research and analyze governing documents, statutes, regulations, and case law.

    ·         Draft, review, finalize, and record legal documents, including opinion letters, violation demand letters, governing document amendments, pleadings, motions, discovery, and other legal filings.

    ·         Prepare statutory demand letters, foreclosure and covenant enforcement complaints, arbitration petitions, and related litigation documents for collection and enforcement matters.

    ·         Attend Board meetings, court hearings, mediations, arbitrations, and other proceedings as needed to provide legal counsel and representation.

    ·         Oversee paralegals responsible for collection and foreclosure matters to ensure timely compliance with statutory deadlines, court requirements, and firm procedures.

    ·         Manage multiple matters simultaneously while providing responsive communication and timely follow-up to Partners and clients.

    ·         Assist with legal matters related to KSN's Florida landlord representation, including drafting pleadings and appearing at court hearings, as needed.
