You’ll gather key case information, assess potential claims, schedule appointments, and collaborate with attorneys to keep the intake and onboarding process smooth and professional. Your attention to detail and empathy will help us deliver exceptional service right from the start.

    What You’ll Be DoingAnswer incoming potential client calls promptly, collecting relevant case details and entering information accurately into lead management softwareGather facts, injury information, liability, and insurance details to evaluate case viabilityCommunicate professionally with clients via phone, text, email, Zoom, and in-person meetings to gather and follow up on informationCollaborate with attorneys to discuss and decide on case acceptance quickly and document call sourcesManage case-related administrative tasks such as file organization, scanning, mailing, and multi-line phone system handlingProcess new client onboarding, including data entry, paperwork collection, and case opening in management softwarePrepare and maintain error-free documents, reflecting the firm’s core values in every client interactionBuild professional relationships with clients, providers, and teammates, maintaining composure and professionalismSchedule appointments for qualified clients to keep attorneys’ calendars organized and caseloads growingWork with marketing on outreach strategies and partnerships to help attract new casesEvaluate client inquiries thoroughly, ensuring every prospect feels valued and understoodAssist in training new team members and participate in ongoing improvements to the intake processMaintain thorough, confidential records in compliance with company policies and legal requirementsWhy Kenny Habetz Injury Law?     Requirements

We’re looking for a Legal Assistant who thrives on being the behind-the-scenes force that keeps client files clean, communication flowing, and our legal team supported at every stage. This role isn’t just about paperwork. It’s about setting the entire legal process up for success. From onboarding new clients to managing medical records and claim details, you’ll play a vital part in making sure every case is fully documented and ready for the next step.     What You’ll Be Doing

    Client Intake & Onboarding

    Prepare and send welcome letters with required documents such as HIPAA authorizationsTransfer or manually enter client data into SmartAdvocate within 24 hours of intakeConfirm and track Statute of Limitations in both SmartAdvocate and the firm’s master SOL listSet up the Incident tab with detailed accident information and required documentationEnsure collection and organization of client IDs and signed medical authorizations

    Case & Claims Management

    Obtain accident reports from LexisNexis, BuyCrash, or other platformsOpen and update liability and UM claims in SmartAdvocate, including adjuster details and coverage infoDraft and send Letters of Representation and follow up on coverage and liability confirmationsPrepare and submit ANOI and OMV requests when applicable

    Document & Record Management

    Save all key documents from POD and incoming faxes into SmartAdvocate, distributing them as neededMonitor and manage incoming mail and ensure documents are filed and labeled correctlyTrack medical record and bill requests in partnership with case managersRegularly follow up on outstanding records and log received documentation accurately

    Settlement & Lien Support

    Assist with final settlement processes, including document scanning, check distribution, and filingUpload settlement summaries to Financial Cents and confirm all files are completeRequest and track liens from Medicaid, Medicare, and private insurers, updating case files accordingly

    Calendar & Deadline Coordination

    Input and manage critical deadlines and events in the firm’s calendar systemWork with case managers to confirm trial dates, discovery timelines, and key litigation milestones

    In this role, you’ll guide clients through the pre-litigation process with empathy and skill, oversee every aspect of their case, and work to maximize settlement or verdict outcomes. You’ll also lean on your strong grasp of Louisiana law to ensure cases are handled with precision from start to finish.

    What You’ll Do Deliver top-tier customer service, managing client expectations and keeping them informed at every step. Oversee all key tasks on each case to make sure they’re completed accurately and on time. Review and sign off on email communications, pleadings, written discovery, and supporting documents. Conduct depositions, attend hearings, and assist in trial preparation. Oversee and approve client medical treatment and expenses within set guidelines. Review and authorize client disbursements. Guide and promptly answer questions from our case handling paralegals. Attend mediations on behalf of clients and advocate for their best interests. Perform detailed reviews of quantum, medical records, bills, and client history. Stay up to date on Louisiana law and maintain a strong command of our firm’s processes and technology.

Leadership qualities and the ability to provide direction and mentorship to staff. Strong time management and case management skills. Sharp legal analysis and sound judgment.
