We are seeking a knowledgeable and organized HVAC Parts & Warranty Coordinator to manage parts ordering, inventory, and warranty processing for our service team. This role is critical to keeping technicians productive and ensuring accurate vendor and manufacturer communication. The ideal candidate has HVAC industry experience, strong computer skills, and is comfortable working in Service Titan and QuickBooks.
Responsibilities
Order HVAC parts and equipment accurately and efficientlyProcess manufacturer warranty claims from start to finishTrack warranty parts, credits, and returnsCommunicate with vendors, distributors, and manufacturersMaintain organized records for parts, warranties, and inventoryEnter and manage parts, invoices, and warranty information in Service TitanAssist with billing, purchasing, and documentation in QuickBooksCoordinate with service technicians and management to ensure correct parts are availableFollow up on backorders, credits, and delivery issuesMaintain a clean and organized parts area (if applicable)Qualifications
HVAC industry experience required (parts, service, or warehouse background preferred)Strong knowledge of HVAC parts and equipmentExperience processing HVAC warranty claimsComputer proficient with Service Titan and QuickBooksStrong attention to detail and organizational skillsAbility to multitask and manage deadlinesProfessional communication skills (phone, email, and in person)Preferred Skills
