Responsibilities
Reporting to the School Principal with a dotted line to the Managing Director of Operations and/or his/her designee, the operations associate will serve as the direct point of contact for families and assist in the overall operational tasks of the school. As the backbone of the school, operations hands all matters non-instructional. The individual in this role will work in a fast-paced, school-based operations environment. Responsibilities include the following:
Assist in setting a high-standard of operational excellence throughout the school building.Assist in the creation of school operational systems and structures that support the smooth operation of the school.Assisting with the student registration process, including School mint, collecting documents, and making phone calls to families.Support all student recruitment efforts.Answering phone calls, taking messages, placing outgoing calls, and sending mass communications when delegated.Initiate and track office supply orders.Maintain accurate records of all orders and inventory of supply closets.Develop process plans for events, as directed by school leadership and/or network operations team. Example: Open Houses, Graduations, Student EventsCoordinate/manage data analysis and reporting.Coordinate/manage all student transportation. Create, distribute, and organize a daily student bus check in & out, metro cards, bussing and door to door bussing.School Calendars maintained for OPT Website & Google Calendar for each schoolEnsuring memos, notices, and other school-specific documents are delivered, collected from classrooms and processed daily.Assisting operations team with special/time-sensitive projects throughout the year, including but not limited to:, school year startup, assemblies, and end of year closeoutHelping to create a warm, nurturing and professional school culture.Maintaining school systems and files: ATS, PowerSchool, Schoolmint, Parent Square, Scholarchip and OPTCoordinate PTO coverages & lunch coveragesMaintain compliance for ImmunizationsPerforming additional duties as designatedCompetencies & Qualifications

The College Advisor plays a critical role in supporting students post-secondary planning, ensuring that all students are fully prepared to navigate the college admissions process, financial aid applications, and alternative post-secondary pathways. The College Advisor provides individualized counseling, organizes group workshops, partners with families, and collaborates with staff to ensure every student has a strong post-secondary plan. This role also includes meticulous tracking of student data, financial management of senior activities, maintaining post-secondary resources and bulletin boards, and coordinating college-related events and programming.
