    POSITION PURPOSE

     

    The Patient Services Representative serves as the first point of contact for patients and visitors at the outpatient clinic. This position greets and assists patients, answers telephone calls, provides general information, schedules appointments, and supports daily front-office operations. The position helps ensure patients receive timely, respectful, and culturally responsive service.

     

     

    ESSENTIAL DUTIES, FUNCTIONS & RESPONSIBILITIES

     

    · Welcome patients, visitors, vendors, and employees in a friendly and professional manner.

    · Ask visitors how they may be assisted and direct them to the appropriate department or service area.

    · Answer incoming telephone calls promptly and courteously.

    · Identify the caller’s needs and transfer calls to the appropriate employee or department.

    · Provide general information about clinic hours, services, locations, and contact information.

    · Take accurate messages and deliver them promptly when staff are unavailable.

    · Notify the appropriate department or employee when a visitor arrives.

    · Assist patients and visitors with basic directions and general questions.

    · Monitor the reception area and immediately report safety concerns, unusual activity, or emergencies.

    · Maintain a clean, organized, and welcoming front entrance and reception area.

    · Follow visitor access, identification, and sign-in procedures.

    · Protect patient and organizational confidentiality and comply with HIPAA requirements.

    · Maintain current clinic directories, telephone lists, and general resource information.

    · Assist individuals who need language, mobility, or other accommodations by contacting the appropriate staff.

    · Receive and route mail, packages, and deliveries when assigned.

    · Follow clinic policies, customer-service standards, and emergency procedures.

    · Perform other related duties as assigned.

     

    MINIMUM MANDATORY QUALIFICATIONS:

    · High school diploma or GED.

    · At least 18 years of age.

    · Basic computer and telephone skills.

    · Ability to read, write, speak, and understand English.

    · Ability to pass required background checks and pre-employment screenings.

    · Ability to maintain required certifications or training assigned by the clinic.

    WORK ENVIRONMENT:

    Physical Requirements:

    Work is primarily performed at the front desk of a busy outpatient healthcare clinic. The position requires frequent computer and telephone use, prolonged sitting, and regular interaction with patients, visitors, employees, and vendors. The employee must be able to manage multiple tasks and communicate professionally with individuals regarding a variety of routine and, at times, complex or sensitive matters.

    The employee must have sufficient vision to accurately read computer screens, surveillance monitors, and written documents. Effective hearing and verbal communication skills are required for interacting with patients, visitors, and staff. The employee must occasionally be able to lift, carry, push, or pull items weighing up to 50 pounds and may assist with moving equipment, securing designated areas, or supporting emergency response activities.

    Mental Demands: The employee must effectively prioritize competing demands, maintain concentration in a fast-paced environment, exercise sound judgment, and communicate professionally with patients, visitors, and staff regarding routine and occasionally sensitive or complex matters.

    Position Overview

    The Accounts Receivable (A/R) Technician performs accurate and timely A/R functions to support the financial operations of the Tribal Health Program. This position posts payments, reconciles accounts, monitors aging, and conducts follow-up activities to ensure clean financial data and support overall revenue cycle performance. Experience working in Tribal health systems is strongly preferred. Familiarity with healthcare billing systems is required; experience with RPMS is preferred but not required.

    Essential Duties & Responsibilities

    · Posts payments, adjustments, and denials in accordance with organizational policies

    · Reviews A/R aging reports and performs timely follow-up on outstanding balances

    · Reconciles deposits, remittances, and payment batches

    · Identifies payer trends, underpayments, and denial patterns

    Position Summary

    The Chief Financial Officer (CFO) will be responsible for directing all financial and accounting functions of the Haak’u Health Center (HHC).  The CFO will work with the HHC CEO  to develop and implement an overall financial strategy to maintain and enhance the financial health of the Health Center. The CFO ensures enforcement of, and compliance with the Health Center fiscal policies and procedures. The CFO will manage and oversee all financial functions to ensure that all audits, budgets, monthly and annual financial reports, financial administration of grants, and other accounting functions are timely and accurately completed. The CFO must be well versed in all financial management ranging from simple accounting to broad investment and banking operations.  

     

    The CFO must be highly knowledgeable of Generally Accepted Accounting Principles (GAAP), and Governmental Accounting Standards Board. The CFO will be an excellent leader, and possess strong analytical, strategic planning and communication skills, including the ability to work well with the Health Center CEO, leadership team, direct reports, staff and stakeholders.  

     

     

    Major Duties and Responsibilities 

    To perform the job successfully, an individual should demonstrate the following: The CFO is responsible for the financial management of the Haak’u Health Center in accordance with all applicable laws and regulations as required under 638 Indian Self-Determination and any other applicable guidelines that impact the financial functioning of the Health Center.  Major duties and responsibilities are as follows:
     

    Developing, implementing, and evaluating department accounting policies, procedures, record keeping and reporting systems

     

    Works with the Health Center CEO and leadership team to develop and implement overall financial strategies for the Health Center.Implements and oversees an efficient financial management system inclusive of the following components: general ledger, A/P, A/R, procurement & /purchasing.Oversees all reimbursement activities, reviews appropriate patient billing and accounts receivable reports to ensure timely patient billing and cash collections and manages financial and information systems.Responsible for financial related analysis and oversight of the of the Purchased/Referred Care (PRC) program and ensures compliance with Indian Health Service policy and guidelines as appropriate Perform risk management by analyzing the Health Center’s liabilities by performing semi-annual internal audits.Accounts for capital assets.Creates and oversees financial policies and procedures.In coordination with the CEO and leadership, reviews and analyzes all insurance and benefit plan options including medical, dental, life insurance, vehicle insurance, and workman’s compensation plans. Develops annual Health Center budget with the Health Center CEO, and leadership team; provides monthly updates and variance reports on the status of the budget.Supervises Finance Department staff and, with the assistance of Human Resources (HR),  develops employee position descriptions, performs timely evaluations per policy, adheres to policy concerning disciplinary actions and maintains communication with Health Center HR on staffing matters, training and other actions that improve the functioning of the staff.Host, at minimum, monthly staff meetings to ensure communication among personnel regarding program related activities.With the assistance of HR, ensure appropriate departmental staffing levels based on efficiency and cost effectiveness.Reads and analyzes records and reports when evaluating performance; recommends placements and reassignmentsExplains policies and rules to staff under CFO supervision and monitors compliance Consults with Directors/Managers regarding fiscal requirements; makes recommendations and decisions regarding budget requirements for each department such as staffing, equipment, space, etc.Acts as the lead technical assistance and advisor in preparation for the annual A-133 audit, responds to noted deficiencies and/or material weaknessesCoordinates with Tribe as warranted to assist with preparation and negotiation of the annual Indirect Cost Proposal  Develop and maintain business relationships with the Health Center’s various providers of banking, credit, financial, insurance, investment, and other related services.Forecast and project financial performance while aligning financial resources with the Health Center’s short-term and long-term goals.Responsible for regular reviews of all financial and accounting systems and maintains strict compliance with generally accepted accounting principles & governmental accounting standards.Manage timely and accurate accounting, general ledger, and fund accounting. Oversee the timely, accurate monthly financial statements, reporting, forecasting and bank reconciliations.Prepare, analyze, and interpret financial results and make appropriate and timely recommendations as necessary. Oversee the maintenance of files of all contracts, leases, property insurance policies, and other relevant documents. Responsible for daily cash management, draw requests to funding agencies and treasury management.Develops and implements an effective system of cash management and investment that maximizes return on idle funds, anticipates cash needs, and assures effective and efficient cash flow. Performs other duties as assigned.

    Minimum Qualifications

    Minimum: Bachelor of Arts Degree in Accounting/Finance/Business Administration and five (5) years direct accounting experience including supervisory responsibilities over an accounting department/operation.  Must have extensive knowledge of the healthcare industry.


    Preferred: Masters of Business Administration with Professional Accounting and/or CPA with five (5) years supervisory accounting experience, preference if experience includes supervisory over a governmental fund accounting operation. Proficiency in Microsoft Office Suite and internet research skills with advanced proficiency in Excel. Experience in healthcare industry preferably in Tribally operated outpatient primary care health systems

    Communicate effectively with healthcare providers regarding specimen requirements, testing processes, and results.Work collaboratively with coworkers to ensure continuous workflow and high-quality patient care.Assist with training new staff or students when applicable.


    Required Qualifications

    Education

    Associate degree in Medical Laboratory Technology or related field from a NAACLS‐accredited program.

    Certification

    ASCP (MLT), AMT (MLT), or equivalent preferred or required depending on facility.

    Experience

    Clinical laboratory experience preferred; new graduates considered.

    and applicable federal regulations (e.g., Indian Health Service requirements, HRSA,

    CMS).

    • Serve as primary liaison between Health Board members and the executive leadership

    team.

    • Track Board member terms, compliance requirements and training.

    • Oversee onboarding and ongoing development for new and existing Board members,

    including orientation to HHC’s mission, philosophy, and tribal expectations.

    • Support planning and execution of Health Board retreats and strategic sessions.

    community while promoting professional standards and transparency.

    • Work effectively with Tribal Administration, the Governor’s Office, Acoma programs,

    This position is located at the Haak’u Health Center in Acomita, New Mexico. The purpose of the position is to protect and prevent trespass, theft, fire, accidental or willful damage and destruction, and/or loss of materials or property. The position’s primary responsibilities are to provide security services in safeguarding buildings, property, occupants, visitors and patients within and surrounding areas, including Housing.

     

    ESSENTIAL DUTIES, FUNCTIONS & RESPONSIBILITIES

    Security Duties (80%)

     

    ·       Serves as the Security Officer on a regular rotation of shifts.

    ·       Primary responsibility in performing protective service work in guarding facility owned or leased buildings and property. Safeguarding and protecting Government equipment, material and controlling access to buildings or property by employees, visitors, residents and patients.

    ·       Provides routine visual observations or patrol of assigned areas within and outside facility buildings, parking areas, facility grounds or public areas. Enforce pertinent administrative rules and regulations governing traffic control, parking, building or other facility access and breaches in physical security controls (locks, fences, gates or other barriers).

    ·       Visually observes and inspects parked vehicles, entrances, lobby areas, corridors, restroom and other areas of the facility.

    ·       Immediately responds to the discovery or observation of property damage or suspects by notifying personnel of standing instructions.

    ·       Provides protective service work in observing flow of incoming visitors, employees, patients and other personnel within facility buildings. Handles unruly visitors, and if necessary, contacts law enforcement officials or agencies to assist. Directs flow of foot traffic away from disturbance by providing relative information within or adjacent to the building.

    ·       Responsible for continuous and close observation of facility buildings and facility grounds for detection of possible fire hazards, obstruction of access and zones marked for First Responders or Fire Hydrant access. Provides immediate assistance in extinguishing small fires using handheld fire extinguishing devices as directed. Contacts local emergency Fire Department to report fire incidents that require their immediate attention.

    ·       Responsible for detecting and repelling attempts of suspected persons who are attempting to trespass or commit theft of property. Responds to reported incidents and investigates to gather information. Actively observes traffic behavior to prevent incidents, apprehends and detains violators of laws, rules and regulations. Refers and turns over cases to law enforcement officials or agencies to follow up accordingly.

     

    ·       Follows protocol for Code Green (external disaster) to direct all traffic within and outside the facility such as vehicle traffic and crowd control.

    ·       May be required to assist medical personnel in dealing with patients who are mentally ill or are experiencing a crisis that are influenced by distress associated with a personal medical condition.

    ·       Provides assistance to medical personnel by transporting patients and escorting patients or family members.

    ·       Performs other security related duties as assigned by the supervisor.

     

    Administrative Duties (20%)

     

    ·       Responsible for drafting and submitting daily reports of irregularities to the supervisor on a daily basis.

    ·       Responsible for reporting security incidents into daily security software system.

    ·       Maintains required logs, reports, messages and checklists.

    ·       Assists in dispatching personnel and equipment to meet emergency situations.

    ·       Participates in all trainings and meetings.

    ·       Performs other administrative duties as assigned by the supervisor.

     

    MINIMUM MANDATORY QUALIFICATIONS:

     

    ·       Experience: One (1) year in a healthcare setting, law enforcement or military service.

     

    ·       Education: High School diploma or equivalent (GED)

     

    ·       Must pass health and background screenings
