    Overview

    Is accountable for the accuracy and completeness of all mortgage loan documentation, file maintenance and scanning. Responsible for all post closing functions.

    Pay range for this hourly position is $23.61 - $27.60/hr with a progressive benefits package.



    Responsibilities

    Performs essential duties and responsibilities in the following areas which may include, but are not limited to those listed and are subject to change.

    Adheres to the Credit Union's core values and Service Standards in conducting GreenState's mission and vision.Demonstrates a positive member service (internal and external) focus at all times.Demonstrates teamwork in all interactions with coworkers and in the completion of all duties and responsibilities.Ensures confidentiality of member information.Supports a diverse and inclusive work environment.Supports a diverse and inclusive work environment.Plays a vital role in enriching the community by participating in community service organizations and/or Credit Union sponsored events on an annual basis.Interacts with various lending teams to ensure all necessary documents are included in the file to be sent to secondary market including any conditions required by AUS or GreenState underwriter.Assumes an "audit" function for files prior to shipping the file to the secondary market. Ensures all necessary documents are complete and included in all files before completing the file as required by GreenState underwriter.Uploads all files to secondary market vendors by investors lock date to ensure prompt delivery and reduction of roll fees and extension fees.Maintains accuracy of Warranty Deed, Ground Water Hazard Statement, Declaration of Value, Mortgage and any additional documents that are to be recorded Uploads documentation for recording to the appropriate County Recorder in a timely manner to ensure GreenState maintains their first lien position.Orders final title commitment (901s) and follows up after closing to ensure prompt delivery of Title Guaranty to reduce final documentation fees from secondary market investors.Sends final documentation to secondary market after Title Guaranty is received and mails out abstracts to appropriate individuals/organizations.Delivers notes to investors in a timely manner to prevent roll fees.Manages and is responsible for the suspension and funding reports on a daily basis. Uploads all necessary documents to investor to prevent delay and any roll fees with investor.Balances the secondary market funding when a loan is sold to ensure accurate postings by both vendor and MLA.Registers all secondary market loans with MERS in a timely manner to ensure accuracy of lien position and to prevent delays in the loans being purchased.Activates and pays PMI in a timely manner on loans that require PMI.Ensures receipt of first payments for required secondary market loans through mailings and other forms of member contact.Verifies accuracy and completeness of mortgage loan data entry on core system for piggyback second mortgages.Follows up on any missing documentation in mortgage file and scans and indexes all closed inhouse mortgage loan file documentation.Creates a permanent file for all files to retain documents such as the original Note and Mortgage. Files all in-house mortgage files by numerical sequence. Performs additional miscellaneous filing as necessary.Ensures neatness and organization of loan file/document storage.Tracks mortgage loan file/document retention. Coordinates shredding and disposal of mortgage loan files/documentation when the file/documentation are no longer required to be retained.

    Qualifications

    Reports to work punctually, works all scheduled hours, and works overtime as necessitated by business demand.Interpersonal skills to represent the Credit Union in a positive way during member contact and to gather data from a number of sources and to represent positively the Credit Union during such contacts.Ability to provide quality service to members by phone or in person.Ability to develop and maintain effective working relationships with co-workers.Ability to prioritize assignments and organize work efficiently, to handle large volumes of details.Ability to operate related computer applications, an on-line terminal and other standard office equipment.Lending policies and Real Estate knowledge helpful.High school diploma or equivalent (i.e. GED.) with six months to one year previous related work experience or post secondary degree in Business, Mathematical Science, or other related field.Must be bondable.

    Reports to the Mortgage Post Closing Supervisor.

    This position is not responsible for the supervision of others.

As a valuable member of our team, you will provide direct support to your assigned team by owning the outcome for a variety of projects. We want your internship to be educational, meaningful, and exciting! As an intern, you will gain a better understanding of the roles in your department and be well prepared for work in the financial industry in the future. You will also have opportunities to work with GreenState members, other departments, and staff.

    The Mortgage Post Closing Intern will focus on several areas during the internship program including:Scanning all closed mortgage documents into Post ClosingSort mail to the right department between Post Closing/ServicingWork/Send final recorded mortgages and promissory notes to end investorComplete and send attorney/title packetsWork mortgage operations projects as they come upAs time allows, learn and work mortgage operational tasks such as disclosure, redisclosure and lock desk & mortgage post closing files This is a paid, on-site internship lasting 12 weeks, with an hourly wage of $15hr. The program runs from May 19th through August 7th. We will start outreach to internship candidates in January 2026.

    POSITION SUMMARY:

    This position will compile, analyze and reconcile multiple accounts within the general ledger in accordance with generally accepted accounting principles and practices. Work involves collaborating across departments to address and resolve reconciliation matters and to provide expertise and detailed support. Staff in this role have an understanding of the Credit Union's processes and procedures, working knowledge of core operating systems used in assigned general ledger accounts and are experienced in identifying and resolving routine issues related to transaction postings. This role's focus is on accurate and efficient processing of all duties while providing excellent service to internal staff.

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBILITIES:
    Performs essential duties and responsibilities in the following areas which may include but are not limited to those listed and are subject to change.Adheres to the Credit Union's core values and Service Standards in conducting GreenState's mission and vision.Demonstrates a positive member service (internal and external) focus at all times.Demonstrates teamwork in all interactions with coworkers and in the completion of all duties and responsibilities.Ensures confidentiality of member information.Supports a diverse and inclusive work environment.Plays a vital role in enriching the community by participating in community service organizations and/or Credit Union sponsored events, on an annual basis.Responsible for monitoring and reconciling credit union clearing (GL and DDA accounts), suspense and exception general ledgers.Reconciles the credit union's daily cash letter.Perform bank reconciliations for all corporate accounts on a daily and monthly basis.Ensures the share and loan balances across main core platform agree to the general ledgers.Perform general ledger account reconciliations for assigned balance sheet accounts on daily, weekly, and/or month-end basis.Ability to analyze data sets and be able to identify any anomalies or erroneous entries, research any issues and drive resolution.Responsible for research and follow-up of all outstanding reconciliation items to ensure items are resolved in a timely manner.Ensure substantive detailed documentation is provided for reconciling items in accordance with internal policy.Assist departments with problem-solving, balancing, and other issues related to outstanding general ledger balances.Possesses general understanding of transaction flow through the core and ancillary operating systems to general ledger for each assigned general ledger account.Identify and prepare necessary journal entries for reconciling items within accounts.Provide back-up support to immediate team members, as needed.Identifies opportunities for efficiency and/or effectiveness improvements, including looking for opportunities to reduce human errors.Performs any other temporary or permanent duties as assigned.

    Qualifications

    Minimum two to three years of recent experience in general ledger accounting, preferably in a financial institution accounting department.Associate degree in accounting or a mixture of relevant, equivalent work experience is required.A basic understanding of general ledger functionality from transaction to financial statement reporting.Familiarity and understating of generally accepted accounting principles.Advanced skills in Excel, PowerPoint, Word and Outlook.Excellent time management skills with the ability to multi-task, prioritize, and meet deadlines in a high-volume, fast-paced environment.Ability to operate in complex and ambiguous environments, using experience and judgment to make quick, effective decisions under pressure.Exceptional eye for detail with a high level of accuracy and an ability to independently analyze and problem solve errors and processes.Demonstrated critical thinking to identify efficiencies or new approaches for current operating procedures.Ability to apply discretion and trust with confidential material.Ability to work independently while effectively participating with the larger team.Regular reliable attendance and punctuality are essential functions to this position.Must possess a growth mindset with an inquisitive mind and willingness to learn from setbacks.Adaptability, a positive attitude, excellent attendance, and strong self-motivation are indispensable attributes for this position.The candidate must come in ready to assume the role with limited training.Power BI / Power Automate experience a plus.Must be bondable.
