The Executive Assistant, Director's Office will support the EVP, Academic Affairs and VP, Workforce Experience and plays a key role in enabling them to work most effectively with internal and external stakeholders and fulfill their commitments. The Executive Assistant, Director's Office is a highly resourceful, organizationally aware, adaptive, and facilitative individual with strong emotional intelligence, self-motivation, and strong analytical skills. This position has oversight of all administrative activities related to the VP, Academic Affairs and VP, Workforce Experience. This role is an on-campus position and reports to the Executive Manager, Director's Office. Responsibilities Executive Support - VP, Academic Affairs (45%) * Serve as a liaison for the Director's Office to a wide spectrum of Fred Hutch employees, as well as executives and stakeholders from outside organizations. * Build and maintain an understanding of all organizational functions to effectively support the execution of initiatives and projects and provides recommendations to the VP, Academic Affairs on actionable items. * Triage all incoming requests and make time management decisions on behalf of the VP, Academic Affairs to ensure meeting requests align with time management priorities. * Proactively manage a complex calendar with the utmost attention to accuracy and timeliness. * Provide high-level organizational support to the VP, Academic Affairs including, but not limited to, all calendar scheduling, preparation of materials as assigned, travel and expense reporting and management of meetings. * Travel and conference planning/coordination, including but not limited to itinerary management, expense reconciliation and reporting, travel arrangements, reimbursements. * Develop and manage calendar of upcoming communication events (articles, columns, speeches, panel discussions, etc.) and prepare and facilitate work with necessary stakeholders. * Prepare VP, Academic Affairs for internal and external appearances and/or speaking engagements. This includes drafting briefing documents, agendas, emails, memos, presentations, and reports. Ensure all corresponding office files are maintained electronically. * Maintain inventory of critical projects in which the VP, Academic Affairs is involved in or leading, in addition to preparing statuses regularly or as needed. Executive Support - VP, Workforce Experience (45%) * Serve as a liaison for Workforce Experience to a wide spectrum of Fred Hutch employees, as well as executives and stakeholders from outside organizations. * Build and maintain an understanding of all organizational functions to effectively support the execution of initiatives and projects and provides recommendations to the VP, Workforce Experience on actionable items. * Triage all incoming requests and make time management decisions on behalf of the VP, Workforce Experience to ensure meeting requests align with time management priorities. * Proactively manage a complex calendar with the utmost attention to accuracy and timeliness. * Provide high-level organizational support to the VP, Workforce Experience including, but not limited to, all calendar scheduling, preparation of materials as assigned, travel and expense reporting and management of meetings. Act as an administrative liaison between the ERC leaders and VP, Workforce Experience. * Travel and conference planning/coordination, including but not limited to itinerary management, expense reconciliation and reporting, travel arrangements, reimbursements. * Event planning and logistics coordination, including but not limited to: scheduling; venue identification and coordination; invoice processing; engaging with internal stakeholders and event managers to support content development, materials creation, and communications; etc. * Events include an annual offsite Workforce Experience Summit, quarterly on-site speaker series, ad hoc on-site gatherings, and periodic small lunches or workshops. * Prepare executive for internal and external appearances and/or speaking engagements. This includes drafting briefing documents, agendas, emails, memos, presentations, and reports. Ensure all corresponding office files are maintained electronically. * Maintains inventory of critical projects in which the VP, Workforce Experience are involved in or leading, in addition to preparing statuses regularly or as needed. * Budget management and support: Partner with VP, Workforce Experience on budget development, submission and tracking. Inform budget creation based on spending trends and track spending, including ERC budget tracking and reimbursement requests. President Affairs Team Support (10%) * Available for back-up daily office coverage during breaks, lunches, planned and unplanned absences. This includes answering the mainline and incoming calls for the leadership team, greeting meeting guests and visitors, triaging inquiries, and providing seamless customer service experience. * Support Director's Office events and meetings. Activities may include researching and securing venues, catering, audio-visual, drafting supporting agendas, emails and memos, briefings, presentations, day of staffing, surveys/evaluations, and reports. Events include, but are not limited to, board meetings, monthly Town Halls, annual Faculty Retreat, and annual Conclave. * Provide other support as needed. Qualifications MINIMUM QUALIFICATIONS: * Bachelor's degree or equivalent experience required. * 5+ years' progressively complex administrative support experience required, with at least one year providing direct support to a C-level executive. * Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, and Excel. * Excellent independent decision making, judgement and organization skills. * Excellent written and verbal communication skills. * Superior diplomatic and interactive skills with a wide variety of audiences, including the ability to negotiate requests and deadlines, and maintain confidentiality. * Ability to work closely with the executives to identify and balance priorities, requirements, areas of need, as well as messaging to others inside and outside of the Director's Office. * Comfort in learning new technologies as to become proficient in desktop systems/internal software necessary to successfully perform assigned tasks. May be asked to become departmental "expert" and/or "trainer" in specified software platforms. * Ability to be flexible and problem-solver. * A high level of accuracy and attention to detail. * Comfortable operating in a fast paced and dynamic environment. * The ability to juggle multiple critical requests and priorities, autonomously and effectively. PREFERRED QUALIFICATIONS: * Experience working in an academic, research, or clinical setting. * Experience supporting multiple executives simultaneously. * Ability to function in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues under minimal supervision (balanced with willingness to request clarification/assistance when difficulties arise.) * A "Self-starter" mindset that takes initiative to continuously improve processes for ongoing effectiveness of the department and organization as a whole. * Provide support to the team with various projects which will require ability to manage multiple, concurrent tasks with the highest levels of professionalism, confidentiality, timely turn-around and client service. * Willingness and ability to guide/mentor junior administrative staff.1 * Strong communication skills, verbal and written. The annual base salary range for this position is from $84,490 to $126,714, and pay offered will be based on experience and qualifications. This position may be eligible for relocation assistance. Performs variety of patient care, technical, and administrative duties to assist practitioners and other members of health care team in providing high quality patient care through health care system. The Medical Assistant participates as a team member in the overall functioning of the clinic. The Medical Assistant is responsible for the flow of the patients for assigned providers (as applicable) each day. They perform duties and procedures as described in the Primary Responsibilities section. About the General Oncology Unit Our general oncology nursing and medical assistant teams provide expert, specialized care for patients receiving assessment and treatment in a wide range of specialty areas, including women's health, sarcoma, GI, THN, GU, ENT, renal melanoma, skin, endocrine, surgical and Phase 1 Clinics. Working collaboratively, team members in this unit care for both medical and surgical oncology patients, while also coordinating care and supporting patients' families. This position is located at the South Lake Union General Oncology Clinic. This role requires that you work 8-hour shifts, Monday-Friday, starting as early as 7:00am. Responsibilities * Rooms patients and families to exam/procedure area * Documents vital signs and other patient information per clinic policy * Assists with procedures as directed * Conducts clerical tasks, patient transport, cleaning and restocking of exam rooms and other requests to maintain clinic flow * Recognizes symptoms of common medical illnesses, abnormal vs., and new/existing pain and immediately escalates to RN and/or provider * Preforms Blood Draws as directed Customer Service * Acts as a liaison between patients/families and health care providers. This role is located within the Vaccine and Infectious Disease Division (VIDD), one of seven scientific divisions at Fred Hutch, that addresses the growing need for treatment and prevention strategies for infectious diseases worldwide. VIDD's mission is to accelerate knowledge of effective immunity and create innovative approaches that can prevent new infections and treat or cure infection-related diseases. VIDD is comprised of three research programs-Biostatistics, Bioinformatics & Epidemiology (IVD), Immunology & Vaccine Development (IVD), and Infectious Disease Sciences (IDS). The IVD Program oversees a comprehensive and complex array of program activities for 13 Principal Investigators, close to 200 employees, including 30 employees based in South Africa, and a research portfolio of over $300M in total costs. We are currently looking for a talented, self-motivated Executive Assistant II to join the lab of Dr. Paul Thomas at the Fred Hutchinson Cancer Center ('Fred Hutch') in Seattle. Dr. Thomas has recently joined VIDD as a professor and head of the IVD Program. His lab is combining computation and empirical methods to expand the understanding of the immune system. Along with these methods, Paul and his team are also studying cohorts of adult and pediatric patients, searching for immune patterns and how they impact our health and vulnerability to disease. As the Executive Assistant, you will provide comprehensive administrative support for Dr. Thomas' day-to-day activities. You will work independently, be expected to take initiative, and exercise sound judgment to prioritize and accomplish multiple responsibilities within a challenging and stimulating work environment. You are an adaptable, congenial professional who is excited to work collaboratively with a diverse group, serve as the liaison between the lab, VIDD, and Fred Hutch, and manage the responsibilities of this role with a high level of attention to detail, proactiveness, warmth, and poise. This is a Seattle-based hybrid position with the possibility of remote work two days per week based on the needs of Dr. Thomas. Responsibilities * Proactively work with Dr. Thomas to understand points of flexibility, level of importance, and required attendance to navigate competing priorities and commitments. * Develop a comprehensive understanding of all materials, including mail and email, and the logistics of administrative flow for Dr. Thomas' ever-growing team. * Manage a very complex and ever-evolving calendar and assist in keeping to the day's schedule through ongoing communication and notification. * Triage phone, mail and e-mail correspondence daily. Serve as the point of contact for a diverse set of stakeholders and collaborators. * Work with the travel agency to make arrangements for travel, including flights, hotel, rental cars, and registration fees. * Collect receipts, identify budget sourcing, prepare, and code travel expenses and credit card statements. * Assist with recruiting, onboarding, and offboarding activities with support from the Program Operations Director and HR. * Coordinate space availability and set-up workstations for new employees, rotating graduate students and visitors. * Coordinate meetings including conference rooms, meals, A/V equipment, invitations, and preparation of meeting materials. * Attend regular program meetings, prepare and distribute agendas, and take and distribute meeting minutes. * Format and coordinate scientific manuscript preparation with author and co-authors; arrange for submission to journals for publication. * Maintain Faculty CV, biosketch and list of publications. Track PMCID publication numbers as needed. * Prepare and provide required documents for grants and contracts proposal submissions. * Purchase supplies, process shipping, and other duties as needed while utilizing and facilitating good communication and working relationships with existing support services within Fred Hutch. * Partner with teams in IVD, VIDD Admin and the Center to ensure smooth business processes within IVD. * Participate in divisional or institutional improvement projects and problem resolution related to administration. * Manage aspects of event planning for program activities, including scheduling, venue selection, catering, travel arrangements, and stakeholder communication. * Carry out special assignments and perform other responsibilities as assigned. Qualifications MINIMUM QUALIFICATIONS: * Undergraduate degree or equivalent experience and four years of complex administrative support/management (or equivalent education and experience). * Advanced proficiency across the Microsoft Office Suite * Experience with virtual meeting platforms such as Zoom and MS Teams. * Experience learning new software/technologies to successfully perform assigned tasks. * Experience in roles requiring organization and strong attention to detail. * Experience in meeting coordination, scheduling, and planning. PREFERRED QUALIFICATIONS: * Ability to multi-task, work independently, prioritize effectively, plan ahead, problem-solve and meet goals in a deadline-driven environment. * Ability to handle confidential and sensitive information. * Ability to build relationships and trust with other staff members and stakeholders while working as part of a team environment. * Comfortable with enforcing boundaries and making judgment calls with little guidance in regard to protecting faculty's limited time. * Ability to communicate information effectively, adaptively, and diplomatically both in writing and verbally. * Exceptional customer service skills, a cooperative attitude, and a positive demeanor. * Excellent organizational, time management and decision-making skills. * Strong analytical skills, good judgment, and the ability to use critical thinking. * Ability to manage a variety of responsibilities at once with ability to remain flexible and handle changing priorities. * Strong proficiency in Microsoft Office Suite. * Experience working in a higher education/university or research environment. * Familiarity with both PC and Mac environments. The annual base salary range for this position is from $80,172 to $109,470, and pay offered will be based on experience and qualifications.
