    Foster Garvey PC, one of the Pacific Northwest's leading law firms, is looking for an Executive & Legal Practice Assistant to support the Firm President’s executive leadership responsibilities and legal practice within our Commercial, Intellectual Property & Technology group.

    The Executive & Legal Practice Assistant will be responsible for managing projects as assigned by the Firm President and performing a number of administrative and legal support duties.

    The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced law firm environment. We are looking for an outgoing, organized, and detail-oriented team player. Excellent client service and interpersonal skills are essential, and the ability to make well-reasoned, effective decisions and manage time efficiently will be crucial to success. Ensuring confidentiality, practicing discretion, and exercising strong judgment are critical to this role.

    This position is full-time, non-exempt, and based in our Seattle office. A daily on-site presence is required Monday through Friday during business hours, 8:30 am – 5:00 pm. Occasional overtime may be necessary to accommodate Firm needs.

    Responsibilities:

    • Work on assigned projects under the direction of the Firm President and other leadership throughout the Firm

    • Act as point of contact for key projects, and keep projects on track and on time

    • Coordinate internal and external meetings

    • Manage complex calendars

    • Coordinate both domestic and international travel arrangements

    • Prepare agendas and materials for meetings

    • Attend meetings, and take meeting minutes as requested

    • Help coordinate Firm events and retreats, as assigned

    • Prepare PowerPoint presentations for executive meetings and other meetings as appropriate

    • Work cross-functionally across departments

    • Other duties and projects, as assigned

    Legal Practice duties:

    • Run conflict checks through Intapp Open software

    • Draft and prepare engagement letters and waivers

    • Perform administrative duties, including scheduling and preparing legal correspondence

    • Manage attorney CLE requirements, including enrollment, tracking, and recording

    • Process expense reimbursements

    • Prepare, format, proofread, and revise documents and correspondence

    • Assist in reviewing and finalizing attorney pre-bills

    • Provide in-person support for scanning and copying projects

    • Manage document execution workflow through Docusign, including preparation, tracking, and follow-up

    • Observe attorney-client confidentiality

    • Other legal duties and projects, as assigned

    Job Requirements:

    Skills:

    • Advanced Microsoft Office skills, experience with document management systems

    • Strong organizational, project management, and problem-solving skills, with the ability to prioritize and multi-task

    • Impeccable writing and grammar skills for business communication and document review

    • Exceptional interpersonal skills; demonstrated professional demeanor and ability to communicate clearly and effectively

    • Ability to be flexible and adapt to different work styles

    • Strong initiative with the ability to anticipate needs

    • Proven ability to handle confidential information and maintain confidentiality and attorney-client privilege

    • Demonstrated knowledge and familiarity with common transactional and corporate terms, procedures, and protocols (i.e., contracts and agreements)

    • Ability to effectively and accurately present information and respond to questions from attorneys, clients, and Firm employees

    • Commitment to excellent customer service

    • Act as a liaison between attorneys and other departments of the Firm

    Education and Experience:

    • Minimum of 4 years of experience as an Executive Assistant reporting directly to senior management

    • Bachelor’s degree and 3-5 years of experience in legal or professional services organization OR high school diploma and 5-7 years of experience in legal or professional services organization, or equivalent experience.

    • Prior experience with liquor licensing, cannabis licensing and other liquor- or cannabis-related matters is a plus

    • Legal secretary or paralegal certificate desired

    Salary Range:

    The pay range for this position is $80,000 to $110,000 annually; however, actual pay may vary depending on the candidate's education, training, experience, location, and other job-related factors permitted by law.

    Foster Garvey PC, one of the Pacific Northwest’s leading law firms, is seeking a Legal Practice Assistant & Project Manager to support attorneys in our nationally recognized Investment Management group.

    This role is intentionally structured as a hybrid between high-level administrative support and operational/project management leadership. The successful candidate will not only manage executive and legal administrative tasks, but also play a central role in workflow coordination, matter tracking, billing oversight, and process optimization for some of the top Investment Management practitioners in the country.

    This is a highly visible, fast-paced position that requires exceptional organization, judgment, and initiative.

    This is a full-time non-exempt position, Monday through Friday, based in our Seattle Office. Occasional overtime may be necessary to accommodate client needs. This position is eligible for a hybrid work arrangement after 120 days of working in the office, with the ability to work remotely up to two days per week, subject to business needs.

    Responsibilities:

    Matter & Deal Management:

    • Run conflict checks and open new client matter numbers

    • Track status of deals and legal matters, ensuring seamless coordination across attorneys and clients

    • Proactively manage deadlines and deliverables to ensure timely completion of work product

    • Coordinate assignment of tasks and monitor progress across active matters

    • Compile and organize executed documents for closings

    • Maintain and update project management and tracking systems

    Client & Document Management:

    • Prepare initial investment overviews for attorney review

    • Proofread and edit legal documents such as subscription booklets, signature packets, and comment memoranda for attorney review

    • Conduct basic research as needed

    • Manage document repositories, file materials according to firm protocols, and retrieve precedent documents

    • Coordinate client communications and correspondence with opposing counsel

    • Track client contracts, including monitoring expiration dates and rate changes

    Billing & Financial Oversight:

    • Review and edit 60-100 invoices per month for accuracy, clarity, and compliance with client expectations

    • Coordinate billing processes with the Accounting team and provide status updates to attorneys

    • Review and release attorneys’ daily time entries

    • Process reimbursement requests and assist with expense tracking

    Executive & Administrative Support:

    • Manage attorney schedules and calendars

    • Coordinate external meetings and conference calls

    • Track attorney Continuing Legal Education credits and bar memberships

    • Arrange travel and preparation for industry conferences

    • Support attorneys with expense reports, printing, mail, and other administrative needs

    • Assist firm leadership with executive-level initiatives and internal committee engagements

    • Support attorneys in involvement with bar associations, professional organizations, mentorship programs, and other community or industry commitments as needed

    Business Development & Marketing Support:

    • Manage client bid and RFP processes

    • Collaborate with the marketing team to develop articles, posts, award nominations, and related materials

    • Monitor and summarize relevant industry news and client public reports

    Team & Operational Support:

    • Collaborate with Accounting, Document Processing, Help Desk, Recruiting, Conflicts, and other departments to ensure smooth workflow

    • Maintain internal organizational systems and training materials

    • Assist with onboarding and training of new team members

    • Coordinate internal Investment Management team events

    • Support meetings and events for attorney committees and firm groups

    • Other duties and projects as assigned

    Responsibilities:

    • Serve as a versatile, jack-of-all-trades team member who can learn our processes and provide backup support across the HR department.

    • Support benefits administration, including wellness program initiatives, invoice processing (medical, dental, life, etc.), assisting staff and attorneys with benefits questions and assisting with Open Enrollment.

    • Collaborate with the Total Rewards Manager to process 401(k) contributions and loan repayments utilizing ADP and Fidelity Plan Sponsors Webstation (PSW).
