    JOB TITLE: Building Clerk

    REPORTS TO: Principal

    FLSA: Non-Exempt

    POSITION PURPOSE/SUMMARY

    Provides comprehensive administrative support by delivering essential clerical services throughout the building and ensures continuous office operations during the academic year to support district functions and student services.

    QUALIFICATION REQUIREMENTS

    The Building Clerk shall have a high school diploma or equivalent with demonstrated proficiency in clerical and organizational skills as verified through district assessments. Must possess strong attention to detail, effective communication abilities, and competency in office technology and student information systems.

    ESSENTIAL DUTIES
    Assist students and teachers during to provide targeted instructional help; assist in the creation of visual materials, bulletin boards, and book displays to promote learning. Assist in maintaining a well-organized library collection, including cataloging, shelving, and inventory of books and software; support students and staff in utilizing the library's computer and catalog system. Manage and maintain the Chromebook inventory, including library and loaner carts; oversee checkout/return procedures, troubleshoot basic issues, and report necessary repairs. Manage the full lifecycle of high-volume classroom materials; prioritize print requests to ensure lean production and minimize material waste (copying, collating, laminating, etc.). Independently manage maintenance work orders and perform routine troubleshooting for all duplicating and audio-visual equipment; maintain an accurate inventory of toner, paper, and supplies. Collect and ensure the accuracy of daily student attendance data; maintain organized student record systems, including the creation of new files and digital data entry. Provide comprehensive telephone support and professional customer service to visitors; manage inquiries and direct them to the appropriate departments. Provide direct supervision in assigned spaces (library, cafeteria, playground); take an active role in student behavioral management and conflict mediation to ensure a safe, positive environment. Effectively communicate production timelines, student safety concerns, and school events to families, staff, and administration. Maintain the strictly confidential nature of all student records and school-related medical/personal matters in compliance with district policy.

    ADDITIONAL DUTIES
    Perform other duties as assigned by the building principal or supervisor. Operate and maintain all office machinery. Attend in-service workshops to remain current on district technology software and safety protocols.

    MENTAL DEMANDS

    Ability to manage competing deadlines between immediate print needs, student instructional support, and office duties. Ability to reason and make appropriate decisions regarding student behavior and technical equipment troubleshooting in a fast-paced environment.

    PHYSICAL DEMANDS

    Regularly required to stand, walk, bend, stoop, and kneel for extended periods to manage library shelving and operate machinery. Must be able to regularly lift and move paper rolls or supply boxes weighing 40-50 lbs and assist in unloading bulk inventory.Ability to work in varying outdoor weather conditions for recess and bus duty.

    Each building clerk will be provided a work calendar showing the specific daily work schedule of the employee. The work calendar may be modified by the Board of Education at any time, as needs dictate. The Assistant Superintendent of Personnel will establish a definite daily schedule.

    TERMS OF EMPLOYMENT

    Employment will be on an at-will basis for 10 months, beginning with the first day of the work calendar or at the time of employment, for the duration of the school year, with prorated personal leave. Each Building clerk will be provided a work calendar showing the specific daily work schedule of the employee. The work calendar may be modified by the

    Board of Education at any time, as needs dictate.

    Eight hours (including a 30-minute non-paid lunch period) will constitute a workday for the clerk. A definite daily schedule will be established by the principal and approved by the Chief Human Resources Officer. The yearly salary will be disbursed in equal payments.

    EVALUATION

    Performance of this job will then be evaluated annually in accordance with the provisions of the Board's policy on evaluation of support staff personnel.

    JOB TITLE: Financial Office Clerk

    REPORTS TO: Principal

    POSITION PURPOSE/SUMMARY
    The Financial Office Clerk will assist the Financial Secretary in the performance of assigned duties.

    QUALIFICATION REQUIREMENTS
    Financial Office Clerks shall have a minimum of a high school diploma or its equivalent, a high level of competence in clerical skills as demonstrated by the District's skills assessments, and possess proficiency in Microsoft Office and Google Office Suite.

    ESSENTIAL DUTIES
    1. Process timesheets and timekeeping software reports needed for payroll for the school building.
    2. Verify all deposits submitted by sponsors, coaches, or other staff members.
    3. Receive, verify, and distribute all supplies for the building.
    4. Process and ensure all travel documents are completed for building staff.
    5. Perform the duties of the Financial Secretary when that employee is absent.

    ADDITIONAL DUTIES
    1. Effectively communicate, verbally and in written form, with administrators, staff, and the community as needed.
    2. Maintain the confidential nature of all school-related matters.
    3. Perform other duties as assigned.
    4. Operate office machinery.
    5. Attend in-service workshops related to the job description to remain current on pertinent topics related to the job.

    MENTAL DEMANDS
    Ability to maintain highly confidential information; communicate clearly both orally and in writing. Write simple and complex reports and correspondence. This employee must have strong computer skills including Microsoft software and Google Suite. Be able to understand and submit online reports as required. Have the ability to learn new systems and software.

    PHYSICAL DEMANDS
    While performing the duties of this position an employee is regularly required to sit, talk, and hear. The employee is frequently required to walk and use fingers and controls. The employee is occasionally required to stand, reach, bend, lift, and carry up to ten pounds. Close vision ability to look at a computer screen for long periods is required.

    The annual salary will be disbursed in twenty-four (24) equal payments.

    JOB TITLE: Receptionist/Greeter- Clerk

    POSITION PURPOSE/SUMMARY

    The Receptionist Clerk will greet and check-in visitors in a welcoming manner.

    QUALIFICATION REQUIREMENTS

    The Receptionist shall have a minimum of a high school diploma or its equivalent and skills for the successful performance of the tasks assigned.

    ESSENTIAL DUTIES
    Manage the district's visitor management system to greet, check-in, and verify all guests, ensuring a secure and welcoming environment. Maintain an attractive and comfortable reception area. Report immediately the presence in the building of any visitor who bypasses the reception desk and/or any suspicious activity or unusual behavior on the part of visitors. Operate multi-positioned telephone switchboard to relay incoming, outgoing, and interoffice calls. Serve as a designated first responder for building infrastructure emergencies (e.g., power or water issues), coordinating immediate reporting and response protocols. Answer questions of callers according to school policy and take messages for staff members. Accept and sign for deliveries, and sort mail for distribution to the school office. Maintain proficiency in and actively utilize district-specific technology and software to ensure operational efficiency. Maintain the confidential nature of all school-related matters.

    ADDITIONAL DUTIES
    Assist with the supervision of students as assigned and to support building staff as needed, including providing student interventions and assisting with supervision to ensure continuous operations. Perform other miscellaneous school communications and clerical duties as assigned by the superintendent or his/her designee. Effectively communicate, verbally, and in written form, with students, administrators, staff, and the community as needed. Operate office machinery.
