    Medical Office Secretary

    Position Summary

    The Medical Office Secretary provides administrative support to physicians, clinical staff, and management while ensuring efficient office operations. This position serves as a key communication hub for patients, providers, and outside healthcare organizations.

    Essential Duties and Responsibilities

    Administrative Support

    Maintain providers' schedulesPatient appointment coordinationAssist with special projects and administrative tasksOrganize and maintain office records and files

    Communication

    Answer and direct incoming phone callsTake and relay accurate messagesRespond to patient messagesCoordinate communication between departmentsAssist with patient portal and email communications

    Medical Records and Documentation

    Scan and index documents into the electronic medical recordProcess incoming faxes and correspondenceMaintain confidentiality of all patient informationManage Hospital Follow-up appointments

    Scheduling and Coordination

    Schedule patient appointments when neededCoordinate referrals, testing appointments, and consultationsAssist providers with schedule managementTrack outstanding paperwork and follow-up items

    Qualifications

    Required

    High School Diploma or GEDMinimum 2 years of administrative or secretarial experienceProficiency in Microsoft Office (Word, Excel, Outlook)Strong organizational and communication skills

    Preferred

    Medical office experienceKnowledge of medical terminologyElectronic Medical Record (EMR) experienceHealthcare scheduling experience

    Medical Assistant (MA)

    Position Summary

    The Medical Assistant supports providers and clinical staff by performing administrative and clinical duties to ensure efficient patient care, excellent customer service, and compliance with practice standards.

    Essential Duties and Responsibilities

    Patient Care

    Room patients and obtain vital signs (BP, pulse, temperature, height, weight, oxygen saturation)Document chief complaint and update patient historyReconcile medications and allergiesPrepare patients for examinations and proceduresAssist providers during examinations and minor proceduresAdminister injections, immunizations, and medications as delegated and permitted by state lawPerform EKGs, spirometry, hearing tests, vision screenings, and other diagnostic testingCollect specimens and prepare for laboratory processing

    Clinical Documentation

    Accurately document patient information in the EMRProcess provider ordersComplete referrals and authorizations as directedReview and manage patient messages and clinical tasksAssist with quality measures and value-based care initiatives

    Patient Communication

    Return patient phone calls and portal messagesProvide patient education and follow-up instructionsSchedule diagnostic testing and specialty referralsExcellent Customer Service Skills Coordinate care transitions and hospital follow-up appointments

    Administrative Responsibilities

    Maintain exam room cleanliness and stockingMonitor inventory and supply levelsEnsure proper vaccine and medication storageParticipate in daily huddles and team meetingsSupport practice quality improvement initiatives

    Qualifications

    Required

    High School Diploma or GEDMedical Assistant certification preferred (CMA, RMA, CCMA)CPR certificationEMR experienceExcellent communication and customer service skills

    Primary care experience eClinicalWorks experienceKnowledge of Medicare wellness visits and preventive careExperience with value-based care programs
