SummaryThe Sales Operations Specialist will be responsible for supporting the Commercial sales team of Alma's skincare products by tracking and reporting sales information, driving process improvements, assisting with onboarding and training process for new hires.
In this wide-range role, the position holder will work closely with the sales and client relations teams as well as the various operations functions such as R&D, regulatory, logistics, manufacturing and demand planning. He or she will need to develop a reasonable knowledge of multiple systems and processes throughout the company.
This position requires a systematic and analytical approach to enhance the systems and drive process improvement that leads to the growth of Alma's new skincare division.
Education and Experience Required • Minimum of 5 years' experience in a similar role
• Previous experience in a sales support role/manipulating and or using databases to extract information
Skills Required• Positive attitude and approach to the job responsibilities and the Alma team
• Microsoft Applications (MS Office, Excel, PowerPoint, and Outlook) with expertise using Excel
• Salesforce (required) and NetSuite (preferred) experience• Excellent organizational skills

• Sales administration & reporting
• Coordinate inbound and outbound sales & product marketing activities.
• Support sales forecasting activities and planning
• Support budgeting processes
• Managing process consistency
• Proactively identifying opportunities for sales and sales support process improvement
• Assist in understanding process bottlenecks and inconsistencies.
• Facilitate continuous process improvement.
• Recommend revisions to existing reports, or assist in the development of new reporting tools as needed.
• Facilitate and monitor the relevance of customer CRM (Salesforce)
• Build peer support and strong internal-company relationships with key members of cross-functional teams to optimize process improvement.
• Support the internal sales function.
• Facilitate the administration and process improvement of order throughput, documentation and enquiries.
• Manage essential communications between the other departments in the business to ensure that the Sales teams are equipped with up-to-date delivery, billing and invoicing information.
• Customer Service expert on order fulfilment systems (CTS tool) to ensure that key orders are correctly prioritized and scheduled to ship.
