The Project Coordinator is responsible for supporting the distribution department by ensuring that all customer orders, quotes, and product data are processed accurately and efficiently within Cin7. This role acts as the central link between sales, warehouse, purchasing, and customer service, ensuring smooth order fulfillment, accurate inventory management, and a high level of client satisfaction. This position will handle everything from sales order entry and product pricing updates to coordinating with the warehouse for shipping schedules, while maintaining real-time accuracy of inventory and sales data and reports.

Job Responsibilities
· Receiving, processing, and tracking of sales orders from various channels (online, email, phone).
· Process incoming customer orders into Cin7, ensuring accuracy in product SKUs, pricing, quantities, and delivery dates.
· Review, read, and accurately access building prints for Div 8/10 door and hardware take off’s
· Accurately prepare, submit, and process submittals for approval through ordering.
· Prepare and issue quotes, invoices, and pro forma documents for customer approval.
· Verify inventory availability and coordinate backorders or substitutions when necessary.
· Maintain up-to-date customer account information, including pricing tiers, shipping addresses, and special instructions.
· Enter, update, and maintain all product records in Cin7, including SKUs, descriptions, images, dimensions, and pricing.
· Monitor inventory levels and generate restock alerts or purchase orders as needed.
· Create and manage sales reports, forecasting, and performance metrics directly from Cin7.
· Serve as the liaison between sales, procurement, warehouse, and accounting to ensure smooth order flow.
· Communicate lead times, order status, and tracking information to customers promptly.
· Coordinate with the warehouse team to prioritize orders, prepare shipping documents, and confirm dispatch dates.
· Work closely with the purchasing department to ensure that special-order items are procured in time for customer deadlines.
· Ensure all product, pricing, and order data in Cin7 is correct and consistently maintained.
· Track order fulfillment rates, backorders, and delayed shipments to identify trends and recommend improvements.
· Track and manage received inventory that is reported as damaged goods by the client, received in the warehouse by the logistics coordinator; and ensure accurate documentation is processes to determine if refusals/returns/warranties/or credits are applied.
· Ensure awaiting payments are reviewed, processed, and authorized daily.
· Respond to customer inquiries about product availability, pricing, and order status.
· Support management in preparing presentations, proposals, and client-specific documentation.
Qualifications
· Previous experience working with manufactures like Allegion/Assa Abloy/Hager/etc
· High school diploma required; Associate’s or Bachelor’s degree preferred.
· 2+ years in a sales support, order administration, or inventory coordination role (distribution or manufacturing preferred).
· Cin7 inventory and order management software experience (not needed but preferred).
· Strong attention to detail and commitment to data accuracy.
· Excellent written and verbal communication skills.
· Proficiency in Microsoft Excel, Word, and Outlook.
· Ability to multitask and work in a fast-paced, deadline-driven environment.
· Strong problem-solving and process improvement skills.
