Administrative Assistant / Client Services

Roles:
1. Client Correspondence – Phone, Email & Face to Face when in office
2. Client Meeting Prep- Preparing client statements and updating Asset Map
3. Business Processing – Creation of E-Applications for all lines of business
- Life Applications (Medical Questionnaires, Life Application, Scheduling Exams, Working directly with case managers)
- Annuity (403(b) Applications, SRA Documents, Internal Rollovers)
- Broker/Dealer (New account Applications, Move Money Requests, Account Transfers)
- Any other necessary applications
- Contacting Third Party vendors and Service Centers
4. Service Requests – Distributions from accounts, Beneficiary Changes, Address Changes, Loan Requests, Contribution Changes, Transfers of Accounts, Investment Allocation Changes
5. Rollover Tracking – Sending rollover paperwork for annuity and LPL transfers and tracking to ensure processed timely and completely
6. Calendar Management – Running the calendar, scheduling weekly personal production meetings, interviews, joint work meetings with advisors on the team
7. Event Planning – Coordination of venue, marketing to clients and overseeing event completion
8. File Build Out – Ensuring files are properly set up with client profile, risk tolerance questionnaire, product folders within each file and notes updated in salesforce
9. Prospecting Approach – Utilizing Salesforce and Reports to schedule meetings with team of advisors
10. Marketing – Ensuring LinkedIn and Facebook are up to date with compliance and managing posting schedule. Monitoring and creating client drip campaign material.
11. Gifts – In charge of yearly holiday cards, gifts and any client, wholesaler, or top contacts gifts throughout year.
