Job Summary
The Front Office Receptionist / Administrative Support serves as the first point of contact for clients, families, staff, and visitors at Empirian Therapy. This role is responsible for maintaining a professional, welcoming, organized, and secure front office environment while also providing administrative support to leadership and office staff.
This position requires strong communication skills, professionalism, discretion, multitasking abilities, and the ability to maintain confidentiality in a fast-paced clinical setting. The ideal candidate is organized, proactive, dependable, and capable of balancing front office responsibilities with administrative support functions.
Key Responsibilities
Front Office & Client Relations
· Greet clients, families, staff, and visitors warmly and professionally
· Answer incoming phone calls and direct calls appropriately or take detailed messages
· Respond to client and general office inquiries via phone, email, and in-person interactions in a timely and professional manner
· Manage client check-ins and check-outs with professionalism, discretion, and confidentiality
· Monitor and maintain the lobby area to ensure a calm, welcoming, and safe environment
· Buzz in clients, staff, and visitors through the secure entry system
· Maintain front desk cleanliness, organization, and professionalism at all times
· Open, sort, and distribute incoming mail, packages, and deliveries
Administrative Support
· Maintain email correspondence on behalf of the Co-Founder, ensuring timely follow-up and organization.
· Maintain office supplies, front office inventory, kitchen supplies, and executive office supplies
· Assist leadership with special projects, coordination tasks, and operational follow-up items as assigned
· Act as a gatekeeper for the Co-founder time by coordinating schedules, prioritizing requests, and maintaining an organized and efficient calendar.
· Maintain internal spreadsheets
· Assist with backend work for programs
Qualifications
Proven office experience with strong organizational skills and attention to detailExcellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and general computer skillsPrior experience in front desk or reception roles demonstrating phone answering skillsStrong customer service orientation with excellent phone etiquette and interpersonal skillsDemonstrated ability to manage time effectively in a fast-paced environmentClerical experience including data entry, proofreading, and document managementPersonal assistant or office management experience is a plus but not required
