Job Overview
As an Administrative Coordinator, you will play an important role in supporting the firm’s management team and ensuring smooth daily operations. You’ll work closely with senior management and department leaders to assist with projects, streamline processes, and help maintain a high-performing, mission-driven workplace. Key Responsibilities
Provide administrative support to senior leadership in the implementation of day-to-day operational strategies
Assist with firm-wide projects and initiatives to improve efficiency and client service
Track progress on key projects, follow up on outstanding items, and prepare status updates
Identify potential issues and recommend solutions or improvements
Support and contribute to a positive, professional workplace culture
Qualifications
Bachelor’s degree in business, management, or related field, or equivalent professional experience

Job Summary:
We are seeking a detail-oriented and proactive Office Administrator to support daily administrative operations at our Windows, Glass, and Doors company in Simi Valley, CA. The ideal candidate will have excellent organizational and multitasking skills and experience in administrative support within a fast-paced environment.
Key Responsibilities:
Perform general office duties including scheduling, filing, data entry, and inventory tracking
Assist with communication between departments such as sales, installation, and customer service
Handle incoming phone calls, emails, and in-person inquiries professionally and efficiently
Process accounts payable and receivable, assist with payroll, and maintain financial records
Coordinate vendor and supplier communications, including placing orders and tracking deliveries
Maintain organized records of job files, materials, and customer interactions
Ensure office supplies are stocked and ordered as needed
Support onboarding paperwork and administrative tasks for new hires
Ensure compliance with internal procedures and documentation requirements
Perform other clerical or administrative duties as needed to support operations
Qualifications & Skills:
Previous experience as an Office Administrator or in an administrative support role
Experience in construction, windows, doors, or glass industries is a MUST
Strong organizational and communication skills
Proficient in Microsoft Office Suite (Word, Excel, Outlook); familiarity with office software systems
Basic understanding of bookkeeping, payroll, or invoicing is preferred
Ability to multitask, prioritize, and work independently
High attention to detail and accuracy
Professional demeanor and strong customer service orientation
