SummaryThe Project Coordinator (PC) provides direction and coordination of a project. Project direction and coordination includes pre-project assessment and evaluation, development of technical scope of work, proposal reviews/approvals, initial project finance development, full life-cycle project cost monitoring and controls, performance management, administrative support, documentation, safety, and customer interface.
Key ResponsibilitiesMajor ResponsibilitiesPrepare scopes of work, coordinate with estimating, initiate operations, project documentation, provide point of contactDevelop and nurture relationships with clientele that can provide commercial opportunitiesProvide oversight and guidance to Project Managers (PMs) and Assistant Project Managers (APMs)Communicate with PMs to ensure each project is functioning as planned and that service quality meets the highest of Cotton’s standardsEnsure PMs and APMs understand and are operating in accordance with the PM/APM guidebook and Cotton policies and proceduresLead a team of project managers and ensure compliance with daily tasks including safety parameters, financial controls, operational protocols, as well as various other tasks as assignedSupport the execution of TSS Division projects (small to large) as needed for daily operationsMust adhere to company protocol, policies, accounting procedures, and reporting requirementsDetermine when to extend beyond standard protocol to resolve any potential issues in collaboration with the Director of Operations TSSCompletion of Change Orders and communication of them to the PMChange in scope and timely submittal of invoicesConflict resolution with customers / adjusters
Office DutiesThe Project Coordinator role is expected to maintain a presence in the office when not assigned and deployed to a specific project, or on a project in a coaching, training, or evaluation capacity to further develop project management team members. The expectation is that a Project Coordinator is in the office 5-days a week, Monday through Friday, except for the afore mentioned. This is to ensure the following:
Provide support and assistance to the Director of Operations TSSAvailability for enhanced communication and the necessary interaction between the various supporting departments such as Accounting, Quality Assurance, HSE, Fleet, etc.Assist in interviewing, evaluating, and training of PM and APM candidates/personnel to build the desired division teamAssist in reviewing, revising, and modifying existing TSS Division content to aid in the progress of the program(s) as well as assist in developing new content materialPerform regular audits of project folders, both physical and digital, to ensure compliance with TSS standard operating policies and proceduresPerform periodic audits of active projects to ensure PMs and APMs are holding their jobs to Cotton’s standardsProject(s) finance discussions to include production report meetings to ensure PMs are correctly tracking project costs and reporting accordinglyPolicy and procedure, strategic departmental initiatives, and departmental development discussionsLead coaching and correction initiatives
Understanding the cyclical nature, seasonal demands, and potential inconsistency of the operational needs allows for opportunities to work remotely. Provided the current business and operations’ demands do not dictate the need for the Project Coordinator to be either deployed or actively engaged in the physical office location, remote work may be performed on a case-by-case basis, day-to-day, or weekly basis with prior written communication, approval, and/or agreement by department leadership. The Project Coordinator shall communicate the specific remote work request for the upcoming week via email or text no later than noon on the preceding Sunday. Must be willing to travel up to 75% of the time.
